Connectivity & Secure Network

AFNTS provides a secure network for patient records (or Electronic Health Records - EHR) & clinical telehealth connections in Atlantic First Nations telehealth locations. This network also provides the Membertou Data Centre the foundation they need to provide secure WiFi to all Atlantic First Nation sites.

In total there are 41 telehealth locations throughout our Atlantic First Nation communities. This number includes both health centres and treatment centres.

AFNTS coordinates with our Atlantic First Nation communities and Provincial health partners to ensure successful telehealth connections are made - to support the future of health care in First Nation communities.AFNTS also work diligently to ensure all of our 41 telehealth sites are equipped with top-of-the-line telehealth technology - with each location being equipped with Polycom videoconference units.

About Telehealth: Telehealth is the provision of healthcare remotely by means of telecommunications technology. It is a huge benefit to the community, as patients have the opportunity to receive healthcare virtually in their home community - providing convenience and accessibility to patients with mobility issues or who live in rural areas.

Zoom For Health Care

Recently, AFNTS started rolling out "Zoom for Health Care" in all of our telehealth locations.

Two accounts were offered to each health centre, with training being offered in person or virtually.

So far, this service is being used for education and admin purposes, but clinical sessions are also possible. To be used clinically, coordination is required with provincial health authorities.

Some of the benefits of Zoom for Health include:

  • Will work with existing telehardware in health centres.
  • Join via Zoom (meeting ID and passcode) or Device Mode with newer models.
  • Much more user friendly compared to RealPresence Desktop.
  • Aligns with provincial services for greater access and convenience.
  • The most secure video conferencing platform on the market.
  • Data Residency in Canada.
  • Basic or Zoom Pro accounts.
  • Better viewing experience for people safely distanced in your community health boardrooms.

Your community health site is equipped with a Poly X50 videoconference unit. Before a scheduled video conference please ensure TV monitor is on and connected to the correct HDMI. Ensure Poly X50 videoconference unit is on. Poly X50 has to be plugged into both a power source and an ethernet wall jack port.

Poly Studio X50 with TC8

With a TC8 device, you can control and manage aspects of a Poly video system. The device provides the following features and capabilities in Poly Video Mode:

  • Placing and joining video calls
  • Viewing and joining scheduled calendar meetings
  • Managing contacts, call lists, and directories
  • Managing shared content
    • Taking snapshots
    • Maximizing, minimizing, and stopping content
  • Adjusting camera pan, tilt, zoom and tracking settings
  • Creating camera presets
  • Adjusting display brightness
  • After a period of no activity, the system enters sleep mode (if configured by your administrator). You can wake the system by touching the screen of your paired TC8 device.
  • Because the TC8 device gets power through the LAN, the connection must support Power over Ethernet (PoE).Procedure: Connect the TC8 device to your network using the supplied LAN cable.If you purchased the device with your video system, the two automatically pair once the device powers on.

Join an existing Zoom meeting

  • Select Join
  • Enter Zoom Meeting ID.
  • Enter Zoom meeting passcode.

*Please note both Zoom Meeting ID and passcode can be found in the existing Zoom calendar invite or email.

New Meeting

By selecting New Meeting, you can start a new Zoom meeting and select a method to invite participants to your meeting.

*This option is good for last minute meetings and/or for staff that do not have an existing Zoom account.

New Meeting select Invite. Invite participants by selecting contacts listed or via email.

To get meeting info select the green shield top left hand corner.

Select Share Content, instructions will be displayed both on the TC 8 and TV monitor.

Select More for Chat and Break Out Rooms

Select Volume, Camera and/or View to adjust to your preference.

Select Record. You will be prompted to enter an email where the record will be sent.

How to record in-meeting

Recording admin and education meetings to the cloud

  1. Start an instant meeting or scheduled meeting on your Zoom Room controller
  2. Tap Start Recording on your controller:
    • If you are in an instant meeting you will be prompted to enter the email address where the cloud recording link will be sent.
    • If you are in a scheduled meeting, the cloud recording link will be sent to the email address of the host that scheduled the meeting.
  3. To stop the recording, tap Stop Recording or tap Leave and then tap End meeting for all.

*Clinical Sessions should not be recorded*

Chat Display Options in Zoom meeting

  1. When in new meeting or joining a scheduled Zoom meeting.
  2. Select More.
  3. Select Chat.
  4. To change the chat panel on the screen press gear at top and enable Show full Chat panel on TV.
  5. If you are the host and you want to chat using your laptop instead of the TC 8. Log into scheduled Zoom meeting mute mic and lower volume to eliminate feedback

How do you log into Zoom?

Where is the Zoom desktop client on Mac?

macOS

  1. Find the Finder icon in your Dock.
  2. Right-click on the icon, then click New Finder Window.
  3. In the new window, click Applications.
  4. Find and double-click the zoom.us application to start the app.

Zoom via Browser

Participants in Zoom Rooms can use one-click direct sharing from a Zoom Desktop Client (macOS or Windows). Ultrasonic sound proximity detection enables the Zoom Room controller to generate an ultrasonic signal that can be detected by the Zoom Desktop Client.

  • If the Zoom Desktop Client detects the signal in a Zoom Room, it automatically connects to the Zoom Room when the attendee clicks Share Screen.
  • Same feature available via Zoom App on mobile device
  • If proximity detection is not available, participants can activate direct sharing by entering a Sharing Key, which consists of a string of letters. This sharing key can be found on the top right hand corner of the TV or follow instructions that come up on TV.

Screen sharing via share.zoom.us in Zoom Rooms

You can visit share.zoom.us to share content from your laptop or mobile device to the Zoom Rooms display. Alternatively, you can also use direct sharing, Airplay, or wired HDMI video capture to share content from your laptop or mobile device to a Zoom Room.

  1. Start or join a meeting in a Zoom Room.
  2. Tap Share Content on the Zoom Rooms controller.
  3. Open a web browser on your laptop or mobile device and visit share.zoom.us.
  4. Enter the meeting ID or personal link, then click Share Screen. You can also click Enter a Sharing Key.
  5. When prompted, allow your web browser to open Zoom.
  6. Select the screen or application you want to share, then click Share.

Sharing Key

Sharing Key is used for an offline meeting, a participants who doesn't have the Zoom desktop app installed or the participant does not have a Zoom account. Follow Share Content instructions on screen and/or Tc 8 want to share content in the meeting.

Create a Zoom meeting using Google Calendar and Zoom Application

In order to use or connect the health site’s boardroom hardware to a Zoom meeting you need to add the room to the guest list for example vc.wagmatcookhealth@kinu.ca.

Find you site by typing in vc.yourcommunity and add your site to the guest list.

  • On TC 8, swipe left
  • Select Device Mode.
  • Next screen is BYOD (Bring Your Own Device) follow instructions that appear on TV and/or TC 8.

  • To join an upcoming ISC-FNIHB Let’s Talk First Nations Community Health. On the day of the session information will appear on TV Monitor and TC 8
  • Meeting ID 675 2171 0465 and Passcode 176547 enter it on the TC 8
  • Once connected make sure the far end can see and hear you.
