students who wish to register and charter a club, organization or publication must adhere to the following:

policies and procedures established by the offices of student activities and the college association.

cuny bylaws article xv(section 5.2) and article xvi.

clubs must open membership and meetings to all registered students.

In accordance with college association policy, the president, vice-president, treasurer and secretary must attend a CA workshop(scroll down to CA workshop), read the college association handbook, take the college association quiz and pass with a score of 200.

each recognized organization/publication is required to have :

1- a full executive board consisting of a president, vice-president, secretary and treasurer. (undergraduate officers must have earned a 2.0 gpa at hunter college and be registered for at least 6 credits. graduate officers must have earned at least a 3.0 gpa at hunter college and be registered for at least 3 credits. only currently registered undergraduate students may serve as officers in undergraduate clubs. only currently registered graduate students may serve as officers in graduate clubs. officers are expected to serve a full academic year{fall and spring})

2- at least 10 currently registered students as members. (including the executive board)

3- a constitution.

  • clubs may table 2 times before chartering.
  • clubs may hold one open house before chartering- event procedures apply.
  • clubs may reserve space for meetings before chartering.
  • the open house and meetings require special permission.
  • start dates for space reservations will vary from year to year. please check the newsletter for start dates.

in order to provide students with a well-rounded co-curricular experience, clubs are required to host at least 4 events and/or trips during the academic year.

event/trip paperwork must be submitted and approved by the office of student activities before the event/trip commences. a violation of this policy may result in sanctions and/or suspension.

meetings at which student activity fees(saf) are spent.

student club members and officers are expected to be complicit with university, college and club policies. please communicate policies to club members and encourage them to report any violations of policies, harassment, violence, threats, etc. any instances where club members have violated policies, harassed others and/or have become a threat to students or themselves must be reported. clubs may not suspend or terminate membership without administrative due process. please follow up with the office of student activities at 212-772-4908 or twooten@hunter.cuny.edu once you have filed a report.

title ix

on every cuny campus there is a designated title ix coordinator who is trained in investigating any complaints involving sexual misconduct. at hunter college the title ix coordinator is john rose (john.rose@hunter.cuny.edu) and he has designated other staff to make up the title ix team. the title ix team are the individuals on campus that investigate any reports of sexual misconduct including sexual harassment, gender-based harassment, sexual assault, stalking, voyeurism, domestic violence and intimate partner violence. the title ix email is: titleix@hunter.cuny.edu you may also use the complaint form to submit reports of sexual misconduct on or off campus.

the city university of new york’s (“cuny’s”) drug/alcohol use amnesty policy has two principal purposes. first, it is intended to encourage students to seek medical assistance related to drug and/or alcohol use without fear of being disciplined for such use. because the use of drugs or alcohol may be life-threatening, cuny wishes to reduce barriers to seeking and receiving medical help in those situations.

second, cuny wishes to encourage students under the influence of drugs and/or alcohol who may be the victims of, witnesses to, or otherwise become aware of violence (including but not limited to domestic violence, dating violence, stalking, or sexual assault) or sexual harassment or gender-based harassment to report that violence or harassment. toward that end, cuny’s policy is that students who seek medical assistance either for themselves or others and/or are reporting violence or harassment will not be subject to discipline under the circumstances described in the policy.

hazing:

  • refers to any activity expected of someone joining a group (or maintain full status in a group) that humiliates, degrades, or risk emotional and/or physical harm, regardless of the person’s willingness to participate.
  • Is illegal.
  • is prohibited and not tolerated.
  • is punishable by law in nys.
  • in summation, anyone participating in hazing may be subject to disciplinary action by the college, suspension or actions by your organization or criminal prosecution.

beer and wine

only student governments, earmarks, and graduate student clubs may serve beer and wine with a valid permit. undergraduate student clubs and organizations may not serve alcoholic beverages at any event, gathering, meeting, etc. student governments, earmarks and graduate student clubs may not co-sponsor an event to obtain a permit for a club not authorized to serve beer and wine. hard liquor is prohibited.

beer and wine may be served during an off-campus event at a venue with a valid liquor license or temporary beer and wine permit. undergraduate student clubs and organization may not serve alcoholic beverages at any event, gathering, meeting, etc.

promotion

governments, earmarks or graduate clubs may not promote the serving of beer or wine until the a permit has been issued by the new york state liquor authority. promotional materials may not explicitly state that beer and wine will be served.

SANCTIONS FOR RULE, POLICY AND GUIDELINE VIOLATIONS

Recognized student clubs, organizations and publications have a responsibility to obey rules, policies and laws set forth by your student government/media board and administration. Violation of rules, policies and laws put your organization/publication and students at risk.

Failure to follow approval procedures for events and trips may result in suspension of event hosting privileges or charter suspension.

Violations of College and University policies including sexual harassment, policy on alcohol and drug use, hazing, maintenance of public order, etc. may result in disciplinary action and club/organization/publication suspension.

As a club officer, it is your responsibility to communicate policies and procedures to other officers and club members.
