PREPARE AND PROMOTE

  • Reflections Chairs need to be listed TOTEM

  • Make sure your Reflections Chair has training, if they can’t attend in person share slides and training videos. We will email all the Reflections Chairs in TOTEM along with all the attendees of any training. If you would like additional training, please email me at reflectionsarea2gwinnettpta@gmail.com

  • Promote with flyers, posters, FB posts, morning announcement, video, reach out to teachers, especially art and music teachers. There are lots of resources on the National PTA website for promotions. There will be resources available from your Area 2 Council.

  • Involve not just students but parents, as well.

  • Create an email address for your school Reflections program so you can share login information for NPTA portal and make sure it’s on your flyers at the school.

  • Enroll your LU in the National PTA Program at PTA.org/Reflections August 31 - this is not required; however, it will allow the National PTA to estimate their needs for the coming entries.

It’s happened before where the child’s name is incorrect. This is needed to ensure awards have the correct name.

THEME SEARCH

The theme search is done through each State’s PTA Reflection Website. The State will submit up to 10 entries from all that have been submitted locally.

Currently, they are not accepting entries, but we will update you when they will be accepting Theme entries for the 2027 - 2028 Reflections program.

DIGITAL JUDGING

  • ART will not physically move on past the Council level, however, we wish to display any and all PH and VA submissions at an exhibition in December.

  • LU Reflections Committee complete online entry form and upload art to the Google Drive we have for each Unit

  • County/District judging occurs electronically

IMPORTANT INFORMATION

    • County/Council Submission deadline for Winners Log and entries are due by November 1st.
    • The Google Drive access will be emailed to each school that has completed the Participation Form.

    • Get out this information to students as soon as possible so you can give students longer time create art but they will have more responsibility:
      • The Reflections Chair/Committee will complete this on behalf of the student.
      • Create an account (use school email or create one) this way it can be shared with committee.
        • Entry form information is transcribed and visual arts and photography will need to be photographed (jpeg) if a digital copy has not provided by artist. Please read directions from entry packets for details on each type of entry because if the digital submission cannot be opened or played, it cannot be judged.
      • It takes about 10 minutes to complete a student entry and upload art.

EXAMPLE TIMELINE

  • Schools launch Reflections in August
  • Posters, Announcements, Flyers, Teacher Involvement, etc. August/September
  • Suggested Schools Deadline: September 27th ( receive submissions from students)
  • Reflections Chair/Committee organize art and prep work for judging (few days)
  • Drop art or give access to drive for judges for October 13 - 25 (12 day judging period)
  • October 26 - 31 take 1st and 2nd place winners per grade/category and all Accessible Artists and enter into forms and winners log to be uploaded to Google Drive.

THESE DUE DATES ARE SET

  • Winners Log and Entries to Council PTA Deadline: November 1st. A Google Drive link will be emailed to each Local Unit Reflections Chair.
  • November 26th County/Council will provide a comprehensive list from all the Schools Winners Logs to State, so access to files can be provided for judging by December 1st.
  • County/Council Winners Log due to State PTA December 5th, no art required because it is already in system. State Chair will indicate in the system art advancing to State PTA.

REFLECTIONS CHAIR/COMMITTEE

The key to success this year is prep work and technical ability

  • Create judges folders in advance
  • Create a timeline and let your Board/Committee know what is expected and when
  • Collect physical art (advertise at school and coordinate with the school to have a table or location where you will be available) and make a plan on how you will submit digitally:
    • Ask students to provide a digital copy of photographs and visual arts
    • Ask students to type entry forms and provide a copy (this way you cut and paste into the portal, especially the Artists Statement)
  • If you are not tech savvy or don’t have a computer recruit volunteers that can help you, “many hands make light work”
