Facilitation 101

Stay on Track

Keep the group focused on the task(s) at hand. Try to redirect tangents and kindly ask people to refocus when the group strays.

Prevent Cross-talk

Discourage participants from speaking over one another. Ask participants to save off-topic discussions for after the meeting.

Manage the Agenda

Help the group to get through everything by actively communicating what needs to be covered, and moving the participants from one item to the next.

Time Check

Watch the clock. Remind the group how much time is left for upcoming items, and watch out for any single topic eating up too much of the group’s time. Make a note for parking lot items.

Solicit Equal Participation

Make sure that all perspectives are heard. Invite quieter voices to share, and – if necessary – ask louder voices to make room for others.

Self-monitor your presence

Be conscious of your physical presence, tone and engagement and how it affects the energy in the room. Model active listening, mirroring and paraphrasing to encourage participants to engage more effectively.

Watch the Room

Keep a high-level perspective throughout the meeting - continually observe the energy in the room and be flexible in using different practices to meet the group where they are.
