Unifrog’s Placements tool - how does it work?

Automated chain of forms A series of digital forms for students, employers, parents, and coordinators that automatically email the next person in line once completed.

Real-time dashboardAn at-a-glance tracking system where school staff can monitor safety/insurance compliance, filter statuses, and send one-click email reminders.

Employer databaseAutomatically asks hosts if they will support future placements, building a tailored list of verified local employers for your school.

What do students need to do?

There are three main actions from students before the placement starts:

Find and agree a placement with an employer

Add the placement to their Unifrog account

Follow up with the employer and the parent/caregiver

  • Students will need to contact local employers and agree a placement.
  • They will need to gather the employer’s details: name, email, phone number and address
  • Students will need to log into their account, unifrog.org/sign-in
  • Find the Placements tool on their homepage and click ‘+ add new placement’
  • Complete the Student initial form and mark it as complete
  • Follow up with the employer and their parent/caregiver to ensure forms are completed quickly
  • Students can also send nudges to the employer and parent via their placement to help move the process along

Helping source and add placements

Tracking progress of the forms

Completing check-ins during the placement

  • Sharing contacts you know who may be happy to host students
  • Directly share the tool and relevant resources with students via the platform’s ‘+ comment’ function in the Advanced view.
  • Use the Advanced view of the Manage page to track the progress of the forms
  • You can use the Sort by and Filter buttons to view multiple placements at once and filter by the different stages and form groups
  • Check-ins are for you to check on the welfare of the student during the placement
  • Any teacher can add a check-in for a placement by going to the student’s placement on their account

Your role during the process

Tracking the progress of the forms

Use the Advanced view to sort and filter placements by different categories.

Send nudges to the employer or parent for incomplete forms

Add the filter ‘form name’ so you can see your own form group!

Helping students source and add placements

Share relevant tools and resources with students in bulk using the ‘+comment’ button in the Advanced view

You can use this to send the Placements tool to students with a custom comment

The Apprenticeships tool can also be shared as it’s a great tool for students to use to search for local employers in the area. Students in year 10 will need to click ‘All Tools’ to see this tool on their homepage

Completing check-ins for placements

Each placement has a check-in section where you can record the details of a check-in.

You can record the check-in type: in person, phone or email, and the date of the check-in. The rest of the fields are optional to complete.

13 of 17

You can track which placements need a check in through the Advanced view.

Use the filter Placement: Forms and then Outstanding check-in to see a list of students with this stage incomplete.

Click directly on ‘School check-in’ to be taken to the check-in section of the placement.
