  • Fill out your profile completely-most importantly - emergency contact!!

  • Schedules will be assigned to you via Homebase where you can view it.

  • Shower Daily – Wear Deodorant - No perfumes or body spray
  • Code Sensei t-shirt, and hoody which will be provided to you, is mandatory uniform. Make sure your clothes are clean and ironed.
  • Jeans or Kakis are okay.
  • Wear clean shoes.

Coverage & Lateness

  • Your hours will be set as agreed in your offer letter. We all work as a team at Code Ninjas so you may be asked to cover for your colleagues from time to time and in turn they will be asked to cover for you.
  • You are responsible for your schedule! If you cannot make it, you must find coverage for your shift and inform your Centre Director.
    • You will have access to your colleagues' contact details by joining the Code Ninja Aurora instagram group
  • Being on time is critical, but if something urgent & unexpected comes up and you are running late, take the following steps:
    • Call or text Center Director and Lead Sensei before you leave the house (Don’t text while driving please!)

Sensei Duties *Add any Opening or Closing Duties as you see fit. This is a basic list*

Opening Duties

  1. Clock in on Homebase
  2. Check to make sure bathrooms, floors, windows and tables are clean - clean if needed, let Director know
  3. Check in to see if there are any tours scheduled
  4. Sanitize your hands before touching the computers
  5. Greet every Ninja by name, smile and give “high five or fist bump”

Closing Duties

  1. Spend last 5-10 minutes of a Ninja’s session making sure they are having fun, are happy and want to come back!!!!
  2. Make sure computers are charging overnight
  3. Clean bathrooms, floors, vacuum, windows, tables and take out garbage – use the check list – work together (EMERGENCIES ONLY)

Ninja Expectations

This is the daily procedure for all Ninjas entering the Dojo, so we will need to help them to develop these habits!

  1. Check in at reception

  4. Get a wipe and wipe down your keyboard

Game-Building Session & Tour

  • 30 minutes long and totally free!
  • Parents take tour of Code Ninjas and find out more information on our programs.
  • Ninja-to-be comes into the dojo to complete a Scratch Card with you! You will need to guide them through the whole process and, most of all, make sure they have fun!
  • Important ”conversion” tactic – if the kid has a great time, the parent is likely to register.

Student Dojo- Grading 

  • Once you have logged into the Dojo, click the Menu button in the upper right-hand corner.  
  • Then select the Sensei Grading button. 
  • You will be directed to a screen that displays all of the submitted games waiting to be graded.  
  • To grade a game, click the Play & Grade button next to the game of choice.  
  • You then be taken to the Info screen. 
  • If there is a snapshot of the game, it will appear where the construction ninja is currently (see below).

  • Next to the game is a general info tab titled Properties. This will provide a description of what the student is to accomplish in the lesson.  
  • Click on the Start Game button to review the student’s submission. 
  • Once you have completed your review, you can close out of the game tab.

  • Click on the star to assign a grade for the game.  
  • Click the Submit Grade button once you have given the appropriate grade. 
  • The Info screen will notify you when the submission is successful (Grade Submitted Successfully will appear) 
  • Select the GRADING tab at the top of the screen to get back to the grading home screen.

GDP – Tracking 

A progress tracking feature in the GDP allow students to see their grades, and for Code Senseis to leave notes. 

  • This feature includes the following updates to the GDP:  
  • When a student submits a game for grading, the possible stars and notes submitted for grading will appear next to the games. 
  • Notes are limited to 140 characters due to the Student Dojo UI and will not show in the Parent Portal.

  • No parents in the Dojo.
  • DO NOT leave Ninjas alone in the Dojo – Always have coverage
  • No Food or Drinks allowed in the Dojo – Senseis may keep water bottles and/or snacks in the office.
  • *This is not a requirement, you will need to decide if you would like to allow phones in your dojo*Cell Phones are not allowed in the Dojo. This is for your safety and the safety of our Ninjas.
    • You may use your phone in the office or back hallway
    • Take phone calls or answer texts in the break room or hallway, not in Dojo or front lobby.

Behavior Management

  • Sometimes ninjas can get excited or rowdy.
  • This very seldom happens, but you need to be proactive and be prepared.

  • Never lose your cool or scream at ninjas.
  • Remove yourself from the situation if you feel yourself get to that point.
  • Remember with kids, there is always a reason to their actions.

  • A great way to do this is with an attention getter.

Best Practices

  • *This is an example. Some centers say that students must spend all 60 minutes on Curriculum. Whichever you decide will need to be included here for your staff*
  • 40/20 Rule: For a 1-hour Drop-In, Ninjas should spend 40 minutes on the core curriculum and 20 minutes on other STEM enrichment activities in the Dojo.
  • 30/30 Rule: For Younger Ninjas, you can do 30/30 if needed due to them not being able to focus on curriculum for 40 minutes.
  • *This is an example that has worked well in many centers. It allows the children to develop problem solving skills and to be patient*
  • 5-Minute Rule: If a Ninja has a question, ask them to spend 5 minutes trying to explore and figure out the answer themselves. If after 5 minutes they are still struggling, give them guidance.

  • Be Engaged / Know the Ninjas: Do your own ice breakers to get to know the Ninjas (favorite color, superhero, sports, etc.). Learn what they like, build rapport and trust, and be engaged.

  • Celebrate Every Win: No matter how big or small – whether it’s a belt graduation or them figuring out a small problem they were struggling with, give high fives all day!

Bullying and Misconduct

No Bullying

  • What is bullying?
    • Bullying is aggressive behavior that is intentional and that involves an imbalance of power or strength. Typically, it is repeated over time. A child who is being bullied has a hard time defending himself or herself. Bullying can take many forms, such as hitting or punching (physical bullying); teasing or name calling (verbal bullying); intimidation using gestures or social exclusion (nonverbal bullying or emotional bullying); and sending insults.
    • Online name calling, non-authorized account usage, or any other form of digital aggressive behavior.

BULLYING & MISCONDUCT

Rules to Avoid Misconduct *These are a few helpful EXAMPLES. Develop your own rules based on local laws and ordinances, and then insert that plan here for your Senseis to review*

  • Staff agrees that in the event they observe any inappropriate behaviors or possible policy violations with children or youth, such behaviors or violations will be immediately reported to the Director.
  • Staff is prohibited from using physical punishment in any way for behavior management of children and youth. No form of physical discipline is acceptable. This prohibition includes spanking, slapping, pinching, hitting, or any other physical force. Physical force may only be used to stop a behavior that may cause immediate harm to the individual or to a child, youth or others.
  • Staff is prohibited from participating in or allowing others to conduct any hazing activities relating to children’s or youth ministry or camp activities.
  • Staff agrees to avoid being alone with a child or youth where other adults cannot easily observe them unless it is an emergency or unavoidable circumstance. In the event of an emergency or unavoidable circumstance, staff member of volunteer shall notify the director.
  • Staff agrees that one-to-one conversations with children or youth will be done in an open or public or other place where private conversations are possible but occur in full view of others.
  • Staff agrees that they are not to go into the bathrooms alone with a child.
