THE FOLLOWING SLIDES WILL SHOW YOU HOW TO ENTER AN EVENT IN MEETUP

  • After all fields are entered successfully you will be able to publish and announce your event

  • Publishing will put the event on the calendar

  • Announcing will send out an email of your event to the meetup membership

  • Before publishing and announcing, you have the option of previewing or saving your event to a

draft or posting immediately

  • If you saved your event to a draft, you can then edit the draft. Once you are satisfied with everything you can then publish and announce your event

Slides 6 - 10 will show you how to add in the map and edit the map pin to the exact location where you want everyone to meet you

Slides 14 and 15 show how to mark a member as a no show

DIRECTIONS FOR CREATING AN EVENT IN MEETUP

In the CREATE EVENT button choose the appropriate action

You can be in either calendar view or list view

Instead of the red create event button you have the option of hovering your cursor in the upper right of any date in the calendar view and click the “+” sign

Enter all fields

note: PM is the default, make sure to change this to AM if your event starts in the AM

ADDING VENUE

To add the venue, you can start typing in the location or address of the start and if it previously has been added as a favorite it will come up automatically. The last few locations are also listed under the search box. You may choose either. You need to pay attention to where the red pin is located on the map.

Most members navigate to the start location by gps and if the pin is in the wrong location they may get lost. The following slides will explain how to pin the start location to the exact spot where you want people to meet you. If for example you want people to park in a specific parking lot, trailhead, etc. then you can put the location pin in the exact place in that lot.

In this example, Parvin Lake State Park, 701 Almond Road, Pittsgrove Township, NJ 08318 was chosen. Note: the map pin is not in the correct location, it needs to be moved to where the parking lot is.

You may type in an address or choose a saved favorite location previously used

You may also give more specific details to the start location (optional)

  1. Click “Edit map pin”

  • Zoom in or out so you see the details

  • Put cursor on map, it changes to a hand, then click and hold mouse and move map so pin is in parking lot….Don’t forget to Save….see next slide

If you are not sure the pin is in the parking lot, click on map, then click Satellite view

In satellite view, find the parking lot, then go back to edit map pin and move map so pin is in parking lot

To check the pin is in the parking lot click map then click satellite view, the pin should be in parking lot

Do not forget to click save, every time you edit map

You may add another host, have a limit to the number of attendees, allow/not allow guests, plus other fields are available.

When done you have the option to publish and then announce. Publishing puts it on the calendar, announcing will send out an email announcing the event. You may also “save as a draft”. This is helpful if you want to check your work before it goes on the calendar.

If you saved as a draft and want to edit it, go to the calendar view or list view

Click on “Create event” and then “edit a saved draft”, find your draft (edit if it needs it) and then publish and announce.

Congratulations! You have put in an event in Meetup.

If you need to edit your event or cancel it, see next slide

Sometimes you will need to edit or cancel your event

Open your event then click “Organizer tools” and in the dropdown choose the action you want to perform

  • Manage attendees
  • Contact attendees
  • Close rsvp’s
  • Edit event
  • Cancel event

If you want to duplicate this event, choose

  • Copy event, This will copy every field and you will just have to change the date of your new event...recheck that the map pin has not moved

Click “Manage”

Click 3 dots

After the event please mark anyone that was a “no show” to your event

OCSJ has a policy that if a member accumulates 5 no shows in a calendar year they will be removed from Meetup for 6 months
