INTRODUCTION

Congratulations on your appointment as a Global Schools Advocate. We are thrilled to welcome you to this passionate community and can’t wait to see the kind of impact this cohort of advocates can achieve.

The training you just completed aimed to equip you with the knowledge and skills you need to start your journey as an advocate. As you start your mission, you will see that the path will not always be smooth. But given the drive, dedication and autonomy you all demonstrated during this training, we are confident that, together, we can truly impact school communities all around the world.

We have made this guide to help you navigate the next five months, as you start reaching out to schools and driving change. ��Please read it all very carefully and familiarize yourself with all the elements. It is really a toolkit for you to use in all your tasks.

TOOLKIT USAGE & PURPOSE

This toolkit has been created to assist you in your mission as an advocate, to reach out to educational institutions. Kindly use this toolkit at all times during your journey as an advocate.

Feel free to contact us (see contact section) with any further question you may have, but please make it a habit to look through this toolkit and especially at the FAQ section, as we will be updating it regularly to reflect the answers we give to our most commonly ask question.

We ask that you DO NOT share this toolkit outside the network of the Global Schools Program (all Global Schools Program advocates). It is a sensitive internal document for and for your use ONLY.

We will be updating this toolkit and its different parts regularly so do keep an eye on it.

STEP-BY-STEP GUIDE

This is a literal step-by-guide for you throughout your journey as an Advocate. This guide lays out for you, the process of reaching out to prospective schools.

This is a crucial tool, and as such it is important that you not only read it, but also consistently use it.

TERMS OF REFERENCE (TORs)

Duties and Responsibilities:

The advocates will serve as official Global Schools Advocates from September 2019 to February 15th 2020 (5 months). As advocates, they will lead the local implementation of the Global Schools Program in their city, reaching out to schools and community of educators to help the Global Schools Program extend its reach globally and increase local implementation.

The primary responsibilities of the advocates include:

  1. Increase the program’s reach
    1. Reaching out to schools, educators and community of educators and/or educators’ networks
    2. Present the program to educators in schools and, if invited to, to students (this can include speaking directly to students about the SDGs in schools if invited to)
  2. Be a contact point for local communities
    • Answer questions the different stakeholders in local communities may have about the Global Schools Program
    • Introduce teachers and educators to the Global Schools resources and curricula�
  3. Provide information for Schools to sign the pledge
    • Serve as a focal point for interested schools and invite schools to sign the pledge and join the Global Schools Educators’ network.

KEY PERFORMANCE INDICATORS (KPIs)

The KPIs are a crucial way for you, and the Global Schools Team, to track your progress. It is very important that you meet your deadlines by turning in your KPIs on the 20th of every month.

  1. Number of schools reached out to about the Global Schools Program
  2. Number of presentations made to educators and/or school administrators about the Global Schools Program�
  3. Number of schools that sign the pledge on the Global Schools Program website after your engagement with them

⚠ AN IMPORTANT NOTICE ⚠

�The correct title and the only way to refer to yourselves is as an "Advocate for the Global Schools Program" or as a “Global Schools Advocate”. If you were to post about your appointment, you must alway use your FULL title. You CANNOT refer to yourself as part of the Global Schools Team or SDSN Youth as you are not part of the SDSN Youth assembly. You may NOT under ANY circumstances refer to yourself as "UN Global Schools Advocate". The SDSN is an initiative operating under the auspices of the UN Secretary-General, and the Global Schools Program is one of the many programs which the SDSN runs. It is therefore completely unacceptable to misrepresent that connection and title by referring to yourselves as "UN Global Schools Advocate".

All of this has been outlined in the training program. Please make sure you review all the information carefully.

You are allowed to put your Advocate activity as a volunteer position on Linkedin under the title: �Global Schools Advocate�

IMPORTANT:

You are only allowed to perform the tasks listed document. So if you have any doubts regarding the scope of your mission, please reach out. Violating the terms of your ToRs will cause your expulsion from the program.

Please also take particular care to present yourself correctly at all times, including in schools, in your outreach activities and on social media. Violations will be considered on a case to case basis, and repeated offence will lead to expulsion.

THE “DO'S” FOR GLOBAL SCHOOLS ADVOCATES

Do:

  • Use the Advocates toolkit at all times throughout your journey as an Advocate.
  • Read the ToRs carefully and always refer to them to understand your position and what your mandate is. You are ONLY able to perform the activities listed on the ToRs in your capacity of Global Schools Advocate.
  • Always present yourself as an advocate of the Global Schools Program, an initiative led by the SDSN Youth. Be precise and correct in your representation at all times.
  • Be polite and professional in your conduct.
  • Be diligent, especially when using facts / statistics and provide necessary citations.
  • Use the correct language (grammar, spelling, and punctuation).
  • Prepare your presentations in advance, practice, and get feedback from peers.
  • Adapt your presentation and your communication strategy according to the stakeholder that you will communicate with. For example, a presentation for teachers should be different to a presentation for school principals.

  • Use the Facebook Group to:
    • Report on the progress and success of your work/best practices
    • Clearing any doubts you may have during the process
    • Receiving information about internal coordination
    • Collaborate with the other advocates in your region to receive support for your mission
  • Submit your monthly Key Performance Indicators (KPIs) on time. The KPIs are a way for us to track your progress and will be the main way your work will be assessed. If you fail to submit KPIs every month, you will not receive the end-of-term certificate.
  • Know your job description in terms of your roles and responsibilities as a Global Schools Advocate.
  • Refer to the FAQ for any question you may have. We will try to update this document frequently with incoming questions, so it will be a valuable resource for you.
  • Remember to enjoy the journey and connect with fellow advocates!

THE “DON’TS” FOR GLOBAL SCHOOLS ADVOCATES

Don'ts:

  • Do not share this toolkit with anyone outside the internal network of the Global Schools Program.
  • Do not use the term “PARTNERSHIP when engaging with schools, as it has legal implications. Instead, use words such as “COLLABORATION” or “COOPERATION”. That being said, you do not have the authority to sign any type of documents in the name of Global Schools, nor to form partnerships without our supervision. You are to engage with schools through the Global Schools Pledge. If school managers or teachers are asking for formal partnerships, please let us know and we will be happy to assist you. �
  • Remember that if you are inactive for two months (or more), you may be excluded from the Program.

THE “DON’TS” FOR GLOBAL SCHOOLS ADVOCATES

  • Do not share any private information (or photos, videos, leaflets / posters etc.) that you may collect from schools, without prior permission from both the school and Global Schools Program team.
  • Do not use the SDSN Youth or Global Schools Program logo on any communication collateral other than the presentation we provided to you. Please only use the template we made for you when reaching out to school authorities / teachers / educators.
  • Do not create your own social media page/ account (Facebook, Twitter, Instagram, etc.) using Global Schools Logo or name. You may create pages with names such as "SDG education" and use SDG logos/symbols, but it is absolutely forbidden to use the Global Schools logo.
  • In case a school requests a copy of the presentation, please do not share it in Powerpoint or PPT format, please share only as a PDF
  • Do not modify the Global Schools logo and please respect the codes of use.

⚠ DATABASES ⚠

  1. This is a database of CURRENT Global Schools Advocates. In other words, this is the list of advocates that have successfully graduated from the training. The advocates have been organized by continent.
  2. This is a database of CURRENT Global Schools. In other words, this is the list of schools that have already signed the pledge, and are part of the Global Schools network. The schools have been organized by continent.
  3. This is a database of PROSPECTIVE schools. In each country folder you will find the list of schools that every advocate submitted for their assignments. In other words, in each folder you will see a list of schools that other advocates from your country are planning to reach out to. Please feel free to reach out to each other, especially if you are from the same city/country to coordinate your outreach to schools, and avoid duplication.
  4. This is a database of some of our former Global Schools Ambassadors.

LOGO AND BRANDING USE

You are allowed ONLY allowed to use the template logos that we provide you with. You MUST get permission for any non-template logo use, or there will be consequences. It is IMPERATIVE to use the Global Schools logo under these specific guidelines. Preserving the branding identity of the program is of paramount importance and you will be held responsible for following these standards. Carefully read the following:

Branding guidelines: this document includes what you can and cannot do visually with the Global Schools logo

Logo Use: You are allowed to use the presentation provided in this toolkit and build upon it. For other logo use, please contact us.

Color: Global Schools’ color wheel is based on the SDG color wheel. If you want to create documents with matching colors, please refer to this document. Global Schools’ red code is the following:

SDGs: You can find good quality downloads for each SDG here. Do NOT use the SDG logo�made for UN entities.

SDG wheel: If you do happen to use the SDG wheel, make sure to use the updated one�as presented on the previous document. SDG 10 is different on the old version.

T-shirt Logo

One of our very own advocates, Dorpaima Lumban Gaol, helped us design T-shirt templates! (Thank you!!!) If you do wish to create T-shirts and wear them when you reach out to schools, please use this template. Please do not add to or alter the design in any way.

Unfortunately, we don’t have the capacity to provide you with such T-shirts.

INFORMATION COLLECTION/RIGHT TO IMAGE

Information Collecting:

All private information (emails, contact information, etc.) obtained by the Global Schools team will remain private and will not be shared outside of the SDSN Youth network and in exceptional cases, its partners. We will ask for your authorization to share any sensible information.

Any information you collect from schools, that is not available to the public, (emails, contact information, pictures, etc.) should not be shared outside of the Global Schools Team and Advocates. You are not allowed to share information you collect from schools with other schools or other networks/initiatives.

Additionally, do not share any of the internal documents you receive from us to anyone outside of the Global Schools Team and Advocates.

What you CAN’T do:

  • Take any pictures of people in the school without permission
  • Share any picture that has a child’s face showing in it
  • Upload any picture that shows a child’s face onto social media
  • Upload a photo of another person without permission

What you CAN do:

  • Take pictures of yourself outside a school
  • (With permission) take pictures of yourself with teachers
  • (With permission) take pictures of boards or lessons
  • (With permission) take pictures of children as long as their face isn’t seen
  • (With permission) upload these appropriate pictures on social media

As you are representing the program, be sure that you are always professional when using this email address.

GLOBAL SCHOOLS LINKEDIN

To help you connect yourself to the Global Schools Program on a professional platform, we have created a Global Schools page and Advocates group on LinkedIn.

Think of this platform as another way for you to see what your fellow advocates are engaged in outside of the program and connect on any common interest!

Please note that we created this platform for you to connect professionally but that ALL communication regarding the Program will be done on the FB group and by email as it has previously been done. The Global Schools Team will not be active on Linkedin but we thought it would be useful for you to have that space.

As always it is important that you present yourself in the proper way on this platform. You are Global Schools Advocates or Advocates for the Global Schools Program. Please do not connect your title to SDSN, SDSN Youth, or the UN.

Joining the page or group is not at all mandatory. This is just a way to authenticate your work as an Advocate as professional experience on the site.

SHARING YOUR WORK/GETTING HIGHLIGHTED

To submit a blog post (which will be uploaded on the Global Schools blog), please write a post between 400-800 words and fill out this form.

To submit a social media post (which will appear on Global Schools’ Facebook, Twitter and/or Instagram), please fill out this form.

If you post on any of these channels, tag us!

Make sure to review your writing and check for grammatical mistakes. Grammarly, and Hemingway Editor are great tools for checking your writing. Include any photos that relate to the blog post or social media post.
