How we work as distributor or agent

We usually deal as an agent/distributor with companies that already have connections in Japan or where we already have customer base with a significant demand for that specific technology or company.

When signing a contract of agency or distribution, we usually request exclusivity rights for 18 months + customer protection for an additional 12 months.

When working as an agent, our commissions are to be determined case by case.

In case your company has never sold nor been present in the market at exhibitions or events and has little or no marketing material in Japanese, we usually request to exhibit at least one time in Japan. During the first fair in Japan, one of your salesmen must be at the fair.

A demo machine in Japan may be needed.

We usually take care of preparing marketing material, presentations, and manuals in Japanese.

Research local and foreign competition. Determine where your strengths are.

Do you need a distributor or agent? Is maintenance needed? Is a demo machine in Japan needed?

Is exhibiting at a fair needed? If so, which one is best for you?

Preparation of marketing material (catalogue, PDF presentation, data sheets, etc.)

Create a list of clients/partners, using our database and your contacts. Send a newsletter.

Join the relevant exhibition. Gather all the name cards of customers and potential partners.

Follow up after the fair. Discuss potential partnerships and inquiries.

Search for third-party Japanese distributor and/or customers

In case you are looking to be represented in Japan by companies other than us, we may look for distributors or big companies that are willing and capable to represent and work with you.

When looking for a company that may become an agent or distributor in Japan, we usually create a list of Japanese companies who work in the same market, have a significant number of contacts with final customers, have a capable after sales service, and good reputation. We do this job by creating a list of tentative partners/distributors and contact them by phone and/or mail one by one.

In case you are interested to find potential customers and deal with them directly, we can also create a list using our databases and other sources and approach each customer on your behalf. However, please bear in mind that most Japanese final customers may still require commercial and technical help in Japan.

Competitor research/assessment of your strengths/weaknesses in the Japanese market

When the foreign maker needs to know who are their main competitors in Japan (both local competitors and foreign competitors with representation in Japan) we create of a list of potential domestic competitors + a list of all foreign competitors already represented in Japan and analyze their strength and weaknesses.

Ideally, such list comprises of at least 50-100 potential competitors (both domestic and international with domestic representation) but the number of companies listed and the time required to retrieve may vary depending on the market.

This job is usually done in partnership with the foreign maker.

Support for business visits to customers and fairs in Japan and support in dealing with potential customers and partners by mail and video call

Visiting customers at fairs in Japan are the cornerstone for a successful sales activity in Japan and it is highly recommended to perform such visits together with an experienced Japanese salesman.

Many Japanese customers and even distributors may not be fully capable of dealing in English and this may lead to problems of miscommunication between the foreign maker and the Japanese partner or customer.

We offer support for mail exchange and video calls with bilingual personnel.

Accessory activities such as preparation of marketing material in Japanese, calls to customers for appointments, preparation of a newsletter or a text for invitation mails, etc., need to be discussed separately.

Maintenance service and storage of machinery in Japan

Most customers require on-site support for your machinery. Ideally, this support is provided by the distributor, but in case the distributor may be missing, then an independent technician or a maintenance support company must be involved.

For maintenance of small machines (usually monophase up to 50K euros in value) we can provide direct maintenance support. Translation of service manual in Japanese not included.

In case of transportation by truck to customer site and return, this cost is to be included.

For maintenance of bigger machines or production lines, a third-party maintenance company must be involved. This needs to be discussed separately.

Our services - Prices (1/2)

Exhibition at fairs: We offer areas of 1.5m. x 3m. at 8500 euros (when their co-exhibitors may be available) and 3m. x 3m. at 11500 euros*.

This price includes:

⇒ Market research of main competitors (both domestic and foreign with domestic representation) to present your company appropriately.

⇒ Newsletter to be sent to a selected number of customers before the fair.

⇒ Translation of PDF presentations, posters, translation and printing of the main company brochure.

⇒ Booth area including accessories such as stands, tables and chairs, TV set for videos, etc.

⇒ Japanese bilingual technical personnel for the fair.

⇒ We usually require an exclusive agency or distribution contract when exhibiting together.

⇒ A demo machine may be needed at the fair; this needs to be discussed separately.

⇒ We also offer remote exhibition join system: in case it is difficult for you, you can join the fair remotely (please note that there is a 7-8 hours time lag in Japan).

Research for Japanese distributor and/or customers: 500 euros per day. Minimum 3 days of work.

Competitor research: 500 euros per day for a minimum of three days of work.

Our services - Prices (2/2)

Support for business visits to customers and fairs in Japan: 650 euros per day for a full day of work of a senior Japanese bilingual salesman (not including transportation costs). Visits outside the Tokyo metro area need to be discussed separately.

Support in dealing by mail and video: 80 euros per hour, minimum 5 hours/month. In case of one-time consultancy (such as one-time conference call), conditions are to be determined separately.

Maintenance service: 500 euros per day or 80 euros per hour (not including training time). In case of any demo needed (in-house or at customer site), the technician and transport time and fees will be charged separately. Transport from and to abroad customs and shipping expenses are the customer’s responsibility.

Storage of machines in Japan: 250 euros per month, not including technician and shipping costs within Japan. Storage of larger machines (i.e. more than 500 kg. in weight) will be discussed separately.

Translation services: 80 euros per hour, minimum 5 hours. Double-checked by a Japanese engineer.
