YOUR UAT MISSION:

    • Take the opportunity to test and feel confident in:
      • YOUR configuration that you and your colleagues turned in as homework from the BPFG sessions.
      • YOUR data that was extracted from the legacy system and transformed and loaded into the PeopleSoft system.
      • Confirm YOUR decisions on your business processes.
    • Additional Mission Opportunities:
      • Recognize and discuss how ctcLink works. Document what that will mean in the first days or weeks of being on this system after Go Live.
      • Take the time to create or add any finishing touches to documents you will use after Go Live.
        • You’ll thank yourself later…
      • Consider how changes to your business processes can be shared early to help your colleagues, employees, students adapt.

WHAT DOES THE PROJECT EXPECT FROM YOU?

  • You have taken the required Self-Paced course(s).
    • You can always refer back to them as to begin each test step.
  • You have reviewed the minimum data scenarios and planned ahead:
    • How will you select the converted data?
    • What new transactional data needs to be entered to fulfill that data scenario?
    • What does YOUR college want to test that is beyond the project minimums?
    • What other departments are involved in the end to end business process?
  • You understand what needs to be tested first, then next, and finally, last.
    • We’re going to show you how each test fits into the big picture.
  • You will come to the WebEx Support Rooms when you need help.
    • We’re here for you with staffed virtual rooms from 9am to 4pm M-F.
  • You will report issues with screen shots and details in OTM.
    • We’ll cover what we need from you in today’s walk-thru.
  • You will mark tests ‘in progress’ when you start and pass/fail (when applicable).
    • We need to know what you’ve started. If something fails, that’s ok, mark it failed and file an issue. When the issue is resolved, put the test back to ‘in progress’ and keep going until you can pass it.

  • Testers Involved:
    • Person(s) knowledgeable and responsible for any/all of the college enrollment processes and has decision-making authority. This person would oversee the enrollment appointments, enrollment calendar, enrollment, waitlists, enrollment requirements, works with Student Financials for due dates, drop for non-payment, refunding, waivers, etc.
    • Person knowledgeable and responsible for the student records processes and has decision-making authority. This person would oversee grading, student groups, service indicators (unusual actions), academic standing, honors and awards, transcripts, etc.
    • Person(s) knowledgeable and responsible for any/all of Student Financials processes. This person oversees the variety of charges to student accounts including, tuition and mandatory fees, course/class fees, miscellaneous fees (parking, library, etc), billing, 1098-T, collections.
    • Person(s) knowledgeable and responsible for any/all Cashiers Office processes. This person may or may not oversee the opening and closing cashier sessions, accepting student and sponsor payments, refunds, waivers, etc.

Every college organizes differently around who puts information into OTM. Key points are someone must and it’s a lot of work, so organization and communication is KEY!

Your PM has until 12/6 to tell us who will need access to OTM in advance of UAT. You can always add more later if it gets too much for those you picked. Delays in OTM reporting will SLOW YOUR UAT progress and lead to cranky testers…

Testing metrics are sent out twice per week and will look something like this!

Test statuses that count as Complete and Passed are:

  • Passed
  • Previously Tested

These test statuses decrease the number of tests in the required list for your school:

  • Not Applicable
  • Decline to Test

NEXT STEPS

The purpose of UAT is for the SMEs to fully test their configuration that was selected during the BPFG assignments. This testing confirms that what you are experiencing is what you will experience on Go Live day.

  • What if I find some configuration changes that need to be updated??
    • Please submit an OTM ticket with the new request
    • The Project team will then make updates to the configuration
    • You will then test the configuration again to confirm it is correct
    • All configuration changes need to be submitted in OTM by 01/21/22
