PowerPoint Guidelines

Please start with Title slide with the presentation topic and presenter and the date

Please end with “Ending slide” to signify that presentation is over and any additional questions or topic can be discussed

Additional slide layouts are available by clicking the layout tab in the home screen

Appendix should be leverage for additional information that cannot fit in the presentation time (e.g., secondary topics)

Tips for Presenters

  • Thank you for being a presenter! This is a great opportunity to learn and to meet other officials – enjoy it!
  • Please introduce yourself before presenting – this is great chance to meet (albeit virtually) a large group of fellow officials in a safe environment – relax, have fun and enjoy it!
  • We will send you reminders prior to your scheduled meeting – please try to complete your presentation ahead of time and upload it as requested
  • Make sure you login to the Zoom meeting with your full name
  • We recommend you login early and attend the meeting from somewhere with suitable bandwidth/connectivity and minimal background noise or distraction/s
  • Try to avoid lengthy narratives in your slides – use talking points so your audience is listening and not reading
  • Don’t read slides verbatim – trust your audience to read what you want them to read (and give them time to read information if necessary – a few minutes of silence is okay)
  • Keep your presentation to 10 slides or less if possible – you don’t want to be rushing at the end to finish.
  • Use the appendix for additional information if needed – we will publish your presentation on our website
  • Take your time - the moderator will allow you plenty of time to finish your presentation. The time allowances in our agenda are guidelines that we adjust as needed
  • Please avoid using flashy graphics or transitions between slides
  • We recommend using “slide show” or “presentation” mode in PowerPoint
  • If you imbed video links in your presentation, please make sure to test them. Also consider having your plays saved in a shared playlist in DVSport in case the links in your presentation don’t work

Zoom Guidelines

  • To share your screen in Zoom, click on the Green “Share Screen” in the bottom of the window (if this feature is not enabled for you, please ask the meeting host to make you a presenter) – this will open the sharing window and show you all applications open on your computer
  • Select the application (such as PowerPoint) that you want to share, then click on the blue “Share” button. Viewers will only be able to see the application you share, so if you plan to transition from PowerPoint to a Web browser or other application, you will need to stop sharing (see screenshot at bottom) and then re-share that application.
  • Remember, if you select “Screen”, you will be sharing everything on your computer.
  • If you plan to share video, click on the box that says “Optimize for video clip” before you share your screen.
  • Do a “dry run” if needed with a friend – ask a member of the RefClinic team how
