Quick Reference Guide
This Quick Reference Guide (QRG) is designed to provide users with an understanding of the supplier onboarding process.

Upon completing this QRG, you will have a better understanding of the supplier onboarding process from the supplier’s viewpoint in Workday Strategic Sourcing.

Once a supplier has been invited to populate their onboarding forms, they will receive an email that looks similar to what is shown above. The supplier will need to click on the View Form button on the email login.

Following the link will send the supplier to the supplier login page. From here, they can enter their email address register in the system. They will need to set up a password and utilize an Authenticator app to verify the user. Once registered, they will be able to come back to this link and enter their email address and password , along with their Authentication device.

The user will then be presented with the onboarding form similar to the one above. From here they will be able to quickly navigate from section to section with the menu on the left, or send messages from the message center. To complete the form, they should select the “Edit” button.

From here, they can continue down the form populating the various sections, such as Supplier Information shown above, where they can provide the name of the supplier, a generic description of services, and their website, if any. At any time, they can “Save as Draft”.

The next section to be completed is the Business Information, which includes fields for addresses, phone numbers, and tax information.

The next section to be completed is the Banking Information, which includes information for bank account information, currencies accepted, and payment types (ie. ACH).

The next to last section is the contact information for the supplier, which will include some initial information about the contact at the supplier based what was submitted on the initial project that indicated who and where to send the onboarding information to.

The last section is the Attachment section. IRS Form W-9 and other required documents should be uploaded here. Similar to the buttons at the top, Save as Draft and Submit appear at the bottom and once all information is completed, the Submit button should be pressed to complete the form and send it back for approval. Any errors will be displayed at the top of the screen in red after clicking Submit

After submittal, the onboarding form will move to approval pending if any approval is needed.

The form will then move to Submitted status while final review is completed.

Finally, once final approval is received and the supplier is created in Workday, the onboarding form will no longer be able to be edited by the supplier and they it will inform the user to contact the central office for additional edits. If the supplier clicks on the Workday button at the top left, it will take them to their Supplier dashboard where they will be able to view all Profile Requests, Action Items, Responses (for RFx events, etc.), and contracts.
