STEPS towards Salary Advancement / Credit Changes.

What process you must follow in order to take classes/courses towards Credit - Lane Changes?

Process into Three Steps:

  1. Actions to take Before the Class
  2. Actions to take After completing the Class/Course
  3. Actions to take to apply for Salary Advancement

Actions to take Before Taking The Class

Before Completing the Class.

  1. Submit a Course request in Professional Growth (Frontline) at least ten (10) school days prior to start date.
  2. The exception to the 10 school days prior to the start date are courses provided by OTIS and VSTA Teacher Center Courses. However, you must still enter the courses as soon as practicable.
  3. Make sure all fields are completed in the form, including dates, time and provider. This will help facilitate the process.
  4. Once your courses/classes are approved you can start the class.
  5. All Courses that you intend to use for Credit/Salary Advancement must be pre-approved by Administration.
  6. 6 of the 15 credits need to be from a College/University
  7. Only 9 credits can be In-Service courses

Before Completing the Class.

Regarding the exceptions:

  • OTIS courses need to be entered in MLP by the 15th of the following month after the course was completed.
  • VSTA Teacher Center Courses MUST be entered prior to the start of the course.
  • You do not need pre-approval for a Masters Degree (Moving from Bachelors to Masters), however, we highly recommend that you enter the classes in Frontline as you can move in the salary schedule to Bachelors + 15 credits, Bachelors +30 credits, etc.

Go to Professional Growth:

  1. Under the Navigation Pane Select “Forms”
  2. On the Pop-Up menu select “*Graduate Request Form”

  • Complete all the fields requested, including
    • Dates
    • Course Title
    • Course Description
    • Provider
    • Goals
  • Important to remember:
    • In Service Hours are not equal to Credit Hours
    • 1 Credit = 15 hours

  • Review and complete the entire form. �Some fields on the form are required. These are highlighted with a light pink background color. Values MUST be placed into these fields.
  • Submit the completed form
  • When the Submit button is clicked, the request will be submitted and forwarded for approval. When a form is submitted, the screen will show a summary of the approval process for the submitted request.

If you do not receive approval prior to the start of your class, check with your administrator.

If your administrator was missing information they would generate a notification from the system. You should have an email from Frontline with that information.

What to do after the Course / Classes?

  • After you complete the course in Frontline/Professional Growth - Make sure to “Mark Complete” and Upload a copy of your certificate/transcript to the course - this can be an unofficial transcript
  • The Administration will review and approve if all requirements are met
  • You have to upload a copy of your completed course:
    • It can be an unofficial transcript
    • It can be an picture / image of the completed course

When adding your file, please make sure that your “FILE NAME” does not contain special characters such as dashes, hyphens, etc.

How to Apply for Salary Advancement?

  • Once you are ready to apply for the salary advancement, sign or complete the Online form shared by HR regarding Credit Advancement before the deadline on the Second Friday in October and Third Friday on February. (This form is shared by HR early September and January.)
  • We have established a Google Form to enter the request for Transfer
  • Finally, you must submit OFFICIAL TRANSCRIPTS from College and CERTIFICATES to the HR office:
    • If there are Graduate Credits - Official transcripts from the College/University to the HR Department.
    • In-Service Credit Certificates can be dropped off or interofficed
  • The HR Department will place your name on the Board Agenda for the Salary Advancement.
  • If something is missing, the HR Department will notify you of what actions you need to take to remedy the situation.
