Important: PII and Confidentiality

Data displayed in DRPs are not for public dissemination
Cells may have small n-sizes that constitute Personally Identifiable Information (PII) making it a confidential document
This data is only to be accessed and used by the district DRP team for the purpose of continuous improvement and implementation planning

During the DRP process, you will have access to district level data through ACHIEVE.

�It’s important to remember, that only those team members who are participating in the DRP should be granted access to the data.

�As a representative of your district, you must be aware of and understand the sensitive nature of this data. Cells may have small n-sizes that constitute Personally Identifiable Information (PII) making it a confidential record. This data is only to be accessed and used by the district DRP team for the purpose of continuous improvement and implementation planning and dissemination of this data outside of the DRP process is prohibited. If a team member decides they absolutely need to download, screenshot, or print the DRP data, for whatever reason, it should be handled, stored and destroyed with the same level of security as we would provide for a student specific IEP.

Please take a minute to discuss the importance of keeping this information confidential with your team. A slide identical to the one you see on the screen is included in the powerpoint that is available to use with your team.

Facilitator Preparation Checklist

Purpose

Support the Data Review Protocol (DRP) facilitators as they prepare for the onsite data reviews.

��

You will have access to the Facilitator Preparation Checklist for Designation Year Activities. This checklist is intended to support facilitators in organizing, preparing, and facilitating the IDEA-DA Data Review Protocol.

The checklist is split into 2 sections: Team Prep and Ensuring Fidelity of Implementation.

Team preparation includes recommended activities including the identification of team membership, scheduling adequate time for work sessions, gathering of necessary data prior to the review process and ensuring online access for the team if it’s needed.

During the review process, the fidelity checklist may be referred to by the facilitator to structure periodic self-checks to ensure teams are working through the protocol, activities and tasks as intended, and with integrity and purpose to ensure the fidelity of implementation.

The checklist also contains hyperlinks to materials you will need as you are facilitating the DRP, which we will discuss on the upcoming slides.

Let’s talk about the team and roles that need to be assigned during this process.

In the top, left quadrant is the Facilitator. The facilitator role is to keep the focus on the topic and on the data. They also consider the pace of the work and moves the process forward as needed.

The Facilitator will need access to the DRP Facilitation Guide and the Facilitation Slides to project.

�In the top, right-hand quadrant is the Data Expert. This is the person, or persons, who has the knowledge of the data sets and how to interpret the data in a user-friendly manner. The Data Expert should review the IDEA-DA Data Elements Guide and Data Cheat Sheets prior to participating in the DRP.

Since the Mathematics DRP is not located in ACHIEVE, it will be important for the Facilitator and the Data Expert to meet prior to the team meeting to organize and gather the data needed to engage in the DRP. We will talk about how to find the data you need in just a few minutes.

�The Notetaker is the team member who captures the group’s discussions around next steps and big ideas that will be helpful in creating the district’s implementation plan at a later date.

This role will need access to the DRP Notetaking Guide.

The District Team is who we refer to as the DRP leadership team. These are the individuals who understand the data and have experience working with K-12 students.

All district team members need to have access to the IDEA-DA data elements and the Data Cheat Sheets.�As a collective, these team members work through the data with an end goal of selecting a grade band level of focus in the area of Mathematics. Along the way, they discuss next steps and potential goal areas/action items - which are included in the notetaker.

IDEA-DA Data Elements Guide

Two data sheets you will refer to during your DRP are the District Implementation Support Rubric and the IDEA-DA Data Elements Guide.

�The data elements that make up the ISR are a combination of some SPP/APR indicators and additional data points that are results-based. The Implementation Support Rubric was used to determine levels of support of each district in the state. The ISR for the 2025 and 2022 designations are two documents that you will need to locate before you facilitate the DRP. Links to find the reports are in your facilitation guide. For both reports you will follow the links and then select your school district. It is recommended that you replace these general links with links that connect directly to your data when possible.

�The IDEA-DA Data Elements Guide provides a description of each ISR data element, along with the data source, years of data included in that data source and how that data is calculated.

Other Data Sources Needed

In addition to the reports discussed so far, you will need to access the Iowa School Performance Profiles for your district and buildings. This site will allow you to see how the students with IEPs in your district compare to students without IEPs along with comparing your district to the state averages.

Access to the Ed Portal will be important for the facilitator or the facilitator will want to work with someone in the district that does have access to prepare or view reports in ACHIEVE and Panorama Student Success. Your team will be looking at what percent of students in your district have an IEP goal in mathematics. Directions on how to pull this report from ACHIEVE are included on the mathematics cheat sheet. In Panorama Student Success you will be analyzing mathematics screening data from the fall of 2025. If you have screening data prior to this fall it might be helpful to look at this data to see trends. Also depending on the timing of your facilitation of the DRP you may have winter screening data.

Finally, you will be looking at data from your district around students with IEPs and their enrollment in Algebra I. Please connect with your school’s counselor or curriculum director for assistance in gathering this data.

Step 1A: Collect and Analyze Data

Purpose: Getting to know your data leading to a shared consensus of data outcomes.

In Step 1A districts are analyzing their ISR data.

�The purpose of this section is to provide an initial look at district data.

�This step includes objective and reflective questions and is sometimes the setting for emotions that surface as teams begin this work.

Teams will begin by exploring the data for K-12 mathematics and capturing their responses to the prompts in the Notetaking Guide.

Then, the team describes common data themes they notice in their data as they work through the question prompts, again recording team responses in the Notetaking Guide.

�The Facilitation Guide includes the reflection questions for the district team to consider when analyzing the data. You will also find facilitate prompts that can be used to help teams as they dive deeper into the data. I have outlined where to find the prompts in red on this slide.
