IMS Overview - Value Statement

  • Value / Benefits of the new IMS system
    • IMS is built on a Microsoft platform that is customizable and will last into the next 20-30 years.
      • Users can create their ‘view’ of data according to comfort level and usage patterns.
    • Mobile availability: Accessible on your cell phone.
    • Scalable - Extendible to more resources at grass roots, Cluster Groupings, Subregions, Locality coordinator access added.
    • Growth of Clusters - Assists all protagonists (individual, community, institutions) in the teaching work.

How requester records get into IMS

2023-2024: In a 12 month period about 70 percent of all registrations to become a member come through the form on Bahai.us Become a Baha’i

There are just two online forms for seekers:

Bahai.us Contact Us- this one offers free introductory literature and an e-newsletter sign up for the US Baha’i News, written for people who are not members of the Baha’i Faith.

Bahai Teachings Connect with Baha’is in Your Area on each page of their website. It pops out from the side as you scroll through their content. It is also linked to Facebook campaigns/ads.

Quick terminology:

Inquiry: Information a person wants to know about the Faith

Interaction: The actions coordinators take on the Inquiry in order to respond to the seeker.

Requester: A person who fills out a form at Bahai.us or Bahai Teachings (seeker, member, registant).

Registrant: Someone who fills out a Become a Baha'i form on Bahai.us who wants to become a member. (Declarant and Registrant mean the same thing in IMS, but Registrant is the record type).

Resources: Appointed Seeker Coordinators, area agencies in your local, cluster, subregion, region who may assist with responding to seekers. (ATC, RGP LSA)

Contacts: Local members and teaching teams who will reach out to seekers and update coordinators about their efforts and connection with the seeker for the online record.

Record Auto-Assignment Structure

  • Each Resource (coordinator)is assigned to a particular geographic area, such as a locality, a cluster, a grouping of clusters, a sub-region, or entire region.
  • When a Requester (seeker or registrant) record enters the system, either through an online form or manually created, the Locality, Cluster, and Region are determined based off the zip code provided (and full address if available).
  • The system assigns Requesters to the closest Resource, in this order:
    • Locality Coordinator
    • Cluster Coordinator (a single cluster or a group of clusters)
    • Sub-Regional Coordinator
    • Regional Coordinator
  • If the Requester is a Registrant, the system assigns to the Sub-Regional or Regional Coordinator.
  • If the Requester is a Member, regional coordinators assign it to the IQS team.

Role Email Address: Assigned to you by the National Assembly.

  • This is a secure gmail email address ending in bahai.us.
  • Please use for all correspondence about seekers and registrants because we handle sensitive information about seekers and registrants.
  • A Google Workspace email is sent to you a asking to set your password.
  • Take action to set the password. It expires in 48 hours. To request a new one: IMS-help@bahai.us
  • National does not keep track of your password, please keep it in a safe place.
  • Add the role email to your existing gmail account or sign in on your browser through Gmail.com.(quick start guide: Set up your role email account)
  • Add to your cell phone mail app. This way you will receive email notifications that you have a new requester as they come in.
  • Do not forward the role email to your personal account.
  • If you are suspicious of activity in your role email address, please reach out to you IQS Team member and email IMS-help@bahai.us

Implementation Preparation:

Allow Browser Pop-ups

  1. Find your browser Settings. (use Safari, Chrome or Firefox, -not Explorer/Edge)
  2. Click into Privacy and Security
  3. The next step may be Site Settings or Pop-ups and Redirects
  4. Add training-ims.bahai.us and ims.bahai.us to the websites Allowed to send pop-ups and use redirects

IMS Sign-in

  • Live Environment: ims.bahai.us
  • Username is your role email
  • For the password: a one-time, passcode will be emailed to your role email address each time you sign in.
    • It may be helpful to access your role email on your phone, to make looking for the passcode easier.
  • Each session will timeout after 24hrs of inactivity and you will need to sign-out and sign-in again.

Tutorial

  • The first time you log into IMS an onboarding tutorial will start, showing you around the system.
  • Each step has instructions of when and where to click.
  • The onboarding tutorial can be canceled by clicking the x at any time.
  • You can also restart the tutorial, at any time, by clicking on the circle with your initials, in the upper right hand corner, and then click Tutorial.

Authenticating your Role Email Address

Locate in the Upper right hand corner in IMS the circle with your picture or initials: In order to be able to send and receive emails using the System, you will need to do a quick one-time procedure. Emails will be “Pending Send” until you do this. Anytime your password is reset you will need to do this again.

Once you have completed the directions and receive the message: You have completed!...there’s one more step..

Please send an email to IMS-help@bahai.us to let Nicole know that you have completed the process in IMS. There is still a process to be completed by the tech team before emails can be sent and received in IMS.

Inquiries

Online form submissions at Bahai.us and Bahaiteachings.org create records in IMS.

    • A new Requester record and corresponding Inquiry record are created.
    • Automated email is sent to the assigned cluster coordinator.

Four Inquiry Types:

  1. Talk to a Baha’i
  2. Request Free Literature
  3. E-Newsletter Sign-up
  4. Become a Baha’i

Request Free Literature: Automated email sent to the Mailroom. An Interaction is added to the Inquiry automatically with an update, and Inquiry is ‘concluded’.

Become a Baha’i: Automatically changes the Seeker into a Registrant and an automated email is sent to the regional or subregional coordinator.

Adding Interactions on the Inquiry: Remember: all Interactions are ‘outgoing’ until you hear back front the seeker! Example: if you are in conversation with a local resource/contact, all of your emailing and texting are ‘outgoing’ with that contact -until the seeker responds to the contact. That would be an incoming interaction.

Adding Interactions

  1. Within an Inquiry record, click on the Interactions tab.
  2. Click on +Interaction.
  3. The Interaction Type field indicates how the interaction was made. ( one choice only)
  4. The Interaction Details field identifies the nature of the interaction.
  5. The Comment field is for adding further information about the interaction.( these are ‘notes to self’).
  6. The Interacted On field automatically fills with the current date and time. If the interaction happened in the past The date/time can be entered manually in the format: MM/DD/YYYY hh:mm AM/PM
  7. Remember to Save the record. The interaction is automatically attached to the Inquiry and will prompt status changes.

Note: You enter add a ‘summary’ instead of creating separate interactions for email, call, and text. These are notes to yourself about the actions you took on the ‘Talk to a Baha’i Inquiry.

Interactions: How adding them automatically changes statuses in INQ and RQS

  • When the first Outgoing interaction (not of type Comment Only) is added to a new Inquiry and new Requester
    • Inquiry status changes from New to In Progress
    • Requester status changes from New to Approached
    • Last Interaction field is updated with the date of the Interaction

  • When the first Incoming interaction (not of type Comment Only) is added to an Inquiry
    • Requester status changes from Approached to In Conversation
    • Last Interaction field is updated with the date of the Interaction

Resources and Contacts

  • Where to find them:
    • On each Requester record: Area Agencies -this data is imported from the National membership database and is updated each election/Ridvan.
    • Left Hand Menu tab: Resources- this is where you will find your own resource record and more in your region.
    • Left hand Menu tab: Contacts- These are your hand-entered local contacts. Adding them here will allow you to send email to them in the IMS.
    • Left hand Menu tab: Dashboard- this is a short list of Resources available to you in your region.

Resources - you are a Resource!

Updating your own Resource record

  1. Click on the left-hand menu item Resources.
  2. Search for your name in the search bar.
  3. Click on your blue, hyperlinked name.
  4. Click Edit.
  5. Fill in the empty fields, particularly the required information:
    1. First and Second Name
    2. Zip Code
  6. Save your record.

Note: If you add your personal email address, it will receive notifications for seekers in addition to the role email.

Contacts - Adding a Local Contact- The Formula

  1. Click on Contacts in the left-hand menu.
  2. Click on +Contact, upper right corner in the grid-view.
  3. Enter information accordingly:
    1. First Name Field: Cluster code, Cluster name, Locality name
    2. Last Name: Last name of person
    3. Middle name: First name of person
  4. Save the record. This way you can use the search bar in the gridview (upper left) for any of the information in the first name field to find the Contact.

Contact Assign and re-Assign

  1. Contact records are automatically assigned to the coordinator who created the record. These records can be re-assigned to the coordinator closest to the seeker.
  2. All coordinators who can see the same requester records can also view the same Contact records.
  3. Only the person who created the Contact record can edit the Contact record.

Create a Reminder on the Inquiry: These are automated emails that get sent to you and the local contact.

  1. First time only: Within an Inquiry record, open the More tab and select Reminders
  2. Once in the Reminders tab, click +Reminder to create a new reminder record
    1. Enter date/time information for when you would like to schedule the automatic reminder email. The date/time can be entered manually in the format: MM/DD/YYYY hh:mm AM/PM
    2. The To field allows you to send this reminder to multiple Resources and Contacts. This field is automatically filled with the current Assignee of the Requester record and the Resource that is creating the reminder.
    3. Add a note as if you are writing a short email and ask for an update about the seeker. This will be seen by the person you forwarded the seeker to.
    4. Upon creation of a reminder, a notification can be sent to each Resource or Contact in the To field letting them know that a reminder has been created for them. (cont….)

Setting a Reminder - cont.

  1. Reminder records can be seen in the Dashboard and on the Requester record.
  2. Statuses of the Reminder are (3):
    1. Upcoming - Reminder date/time is in the future, all fields can be edited
    2. Action Needed - Reminder date/time has passed, automatic email has been sent, only date/time field can be edited
    3. Completed - If you choose this option for the reminder it will open up an Interaction record to fill out and it will be added to the Inquiry automatically.
    4. If the action cannot be completed then reminder records can be Deleted.

NOTE: You can edit the reminder over and over again, updating the date and the text for as long as you need it, and just delete later on. Each time you edit/update the local Contact will receive a new reminder and you will get a copy also.

Email: Creating Templates

Creating Email Templates

  1. Go to your own Resource record.
  2. Click on the Templates tab within your Resource record.
  3. Click on +Template to create a new email template.
  4. Fill in the Title (for easy identification), Subject (email subject), and Body (email body).
  5. When creating an email and selecting a template to use all information in the Subject and Body fields will be overwritten with what is in the selected Template.
  6. Once a Template has been selected then the email can be personalized for the recipient(s).
  7. Regional and Sub-regional coordinators can create Templates for their cluster and locality coordinators and assign templates to them. Make as many copies of the template as you want to share with each first before assigning.

Inquiry: Email Sending and email

  1. Select the Emails tab in the Inquiry record.
  2. Click on +Email. This will open a new email form.
  3. The To field is automatically filled with the Requester email information. If the email should go to someone else, this field can be emptied, then start typing in the name of the Resource or Contact and select them from the list of options.
  4. Fill in the Subject and Paragraph of the email or select an email Template that you have already created.
  5. To add an attachment, select Browse and select from documents on your computer to attach or drag and drop the document in the attachment area.
  6. The Regarding field is automatically filled with the current Inquiry record.
  7. Save as a draft to finish later, or Send the email.

Note: Sending an email in the Inquiry record will change the status of the Inquiry from ‘New’ to ‘In Progress’ without adding an Interaction that you sent the email.

Email Tips - Where did my email go? - And the importance of filling in the Regarding Field:

  • If you send an email while in the Inquiry record, then you will see it on the Inquiry record under ‘email’, and in the left-hand menu Emails tab.
  • If you create/send an email on the Requester record, it will be listed under emails on that record and and in the left-hand menu Emails tab.
  • If you send an email but do not fill the Regarding field you will see the email only in the left-hand menu Emails tab and not on the Inquiry.
  • If you send an email while in the left-hand menu Emails tab, and the Regarding field is filled, then you will see it on the Inquiry that was selected.

Expand and Truncate Columns

  1. The cursor icon needs to resemble:

Hovering over the short vertical lines separating each column header changes the cursor icon.

  1. Click, hold, and drag to the right (expanding) or left (truncating).

Sorting

  1. Click on the down arrow next to a column header
  2. Choose a sort:
    1. A to Z (Oldest to Newest)
    2. Z to A (Newest to Oldest)
  3. Up to 5 columns can be sorted at a time, the number in the column header determines the order in which the columns are sorted

Edit Columns

  1. Click on the Edit Columns with a gear icon. A list of available column titles will be displayed, scroll down to see the full list.
  2. Click on the slider next to Unselect All, will turn off all columns (white slider)
  3. Select a few columns to , the slider will turn blue for the columns that are selected.
  4. Click on the pushpin icon to pin a couple of columns, this will lock their position when scrolling to see more information.
  5. To reorder the columns:
    1. Click on the up or down arrow to move the column one space at a time.
    2. Select and hold the 3-dot icon then drag and drop to move several spaces at a time.
    3. Click on the 3-dot icon to open a menu allowing any column to be moved all the way to the top or bottom at once.
  6. Once all changes are made, click the Apply button.

Filtering

  1. Click on the Filters with a funnel icon, next to the search bar.
  2. Click on + Add Filter.
  3. Click in the top field, usually filled with “Additional Note” and type in the field you would like to filter.
  4. Click on the drop down arrow next to Equal and select a condition that you would like filter by.
  5. Enter any value that you would like to filter by or select from a drop-down menu of options.
  6. Add another filter if you would like.
  7. Click the blue Apply button.
  8. Clear the filters by clicking on the X next to Filters.

Save a Custom View

  • Saving a custom view will keep the Sorting, Edit Columns, and Filtering configurations for future visits to the current grid-view.
  • Click the down arrow next to Default, left of the gear icon.
  • Select the blue Save Current View
  • Give the view a name and optional description
      • If you make a custom view that you really like, this can be moved to the Live environment by naming it with the prefix: #4Live (example: #4Live Newest to Oldest)
  • Click Create
  • Any view can be set to apply automatically when the current grid-view is opened.
  • Click on the down arrow next to Default
  • Select the pushpin icon next to the view that you want to see automatically

Change Requester Type:

Changing Requester type follows the same process as changing the status. There are four Requester statuses that change the Requester type:

  1. One-off Request transitions to General type.
    1. Unique status: One-Off
    2. Status details: House of Worship, Interfaith, School, Media, Property, Burial/End of Life, Other
  2. Still Seeking transitions to Seeker type.
    • Unique statuses: Approached, In Conversation, and Paused
  3. Declared transitions to Registrant type.
    • Unique statuses: Needs Verification, Verified, Enrolled, On Hold
  4. Possible Member transitions to Member type (automatically assigns to IQS).

Change Status: Manual and Automatic:

Within a Requester record, click Change Status (above large RQS#)

  1. Click on the down arrow in the Status field
    1. Manual status changes: Paused, Unreachable, Do Not Contact, and Archive
    2. Automatic status changes: New, Approached, In Conversation
  2. Select optional Status Details to help with quick referencing
  3. An optional Additional Note detailing why the status was changed can be helpful. This field appears in the Main Data box of the Requester record and is replaced each time a status change is made.
  4. Save the record.

Re-Assigning Requesters:

  • Manually re-assigning a Requester record will automatically re-assign all connected records to the same Resource.
  • An automatic email will be sent to the new assignee notifying them of their new Requester with a link to the record. Additionally the connected Inquiries will appear in the new assignee’s Dashboard in the New Inquiries box.
  • Open a Requester record.
  • Click on Assign, above RQS#
  • Click on the down arrow in the Assign To field. Select User Or Team.
  • In the User Or Team field, start typing in the name of the Resource you would like to assign to this Inquiry.
  • Click the blue Assign button.

Setting a Reminder on the Requester Record

  • On each Requester record, look for the tab that says: Reminders
  • Click on that tab, and then click on +Reminder in upper left corner.
  • Fill out. Choose the future date and add who the reminder goes to: start typing a name that is in the IMS as a contact, or type your own name if this is a reminder to self.
  • Describe or compose in the Action Notes such as: ‘follow up with LSA about seeker’ or ‘Dear Jenny, thanks so much for reaching out to (name of seeker). Please let em know if there are any further updates. With appreciation, (your name) Text an update: (your phone number).
  • In regarding field, start typing the name of the seeker and choose the inquiry to attach this to.
  • SAVE
  • You and/or the local contact you added will get an email reminder that there is a reminder to follow up on this record. You can see the Reminders gridview on your Dashboard.

Requesters

Merging Duplicates:

  1. To check if a Requester record has a possible duplicate, click on the Duplicate Manager.
  2. Click View Duplicates. This brings up a box showing the current record and a number of possible duplicates to choose from.
  3. Select the radio button for the record you want to merge with the current one and click the Next button.
  4. Full information from both records are displayed with radio buttons to select the different pieces of information you want to keep for the merged record. Rows highlighted in blue indicate differences in the displayed information.
  5. When finished, click Next. The new record that will be created is displayed for review.
  6. Finalize the process by clicking Merge. Merging cannot be undone.

Exporting a Single Record

  1. Open the Requester record that you want to export, by clicking their blue hyperlinked name or RQS#.
  2. Click Export to export a Word or PDF file.
  3. A dialog box will ask what components you would like to export. Information on the General tab is included in all exports.
  4. The file will be downloaded to your computer with the title:
    1. Requester Full Name_Date_User Full Name
  5. Or Open PDF in Browser, which will only open the PDF in a new tab of the browser you are using.

How to create a New Requester and corresponding Inquiry(-ies) at the same time.

  • Go to the Inquiries tab on the left hand menu.
  • Upper Left corner: Click ‘+ Inquiry’
  • In the third field on the form ‘Requester’ click, and from the drop down menu select ‘+Requester’
  • Fill out the form. You need a minimum of: Name, email address and/or phone number, city and zipcode.
  • Click Save at the bottom.
  • Right behind that will be the Inquiry form.
  • In the first field, choose one or more types of Inquiries by checking the little boxes.
    • Note: If you choose ‘Become a Baha’i’, this will create a Registrant record and there will be additional information needed for the Requester Record: Date of Birth, Country of Birth, and Gender in order to submit the form.
    • Note: if you choose Request Free Literature, a street address will be required to submit the form.
  • You can fill in the Inquiry Comment if the seeker had one, and a note to the responder in the Resource Note space.
  • Click ‘Save’ at the bottom.
  • You will see these once the zip code/locality is calculates and assigned to a Coordinator in the Requester and Inquiry grid views.

Advanced Features

Sending Mass Emails

  1. Open Requesters grid-view from the left-hand menu.
  2. Sort or Filter for the Requesters that are to be included in the mass email, such as sorting by Reminder Date/Time or Last Interaction.
  3. If there are specific Requesters that should receive the email, select the checkbox next to each record. If all displayed Requesters should receive the email, select Send to All with the email icon.
  4. When ready, click Send to Selected with the email icon. A warning may appear if there are missing email addresses or if some Requesters have status Do not Contact.
  5. A new email form will open with all selected in the BCC field. Fill in all fields necessary.
  6. Send or Save the email.

Advanced Features

Exporting Multiple Records

  1. Click on Inquiries or Requesters in the left-hand menu.
  2. The column headers that are present in the grid-view, is the information included in the export.
    1. Select or deselect the needed columns in Edit Columns
    2. Sort or Filter for the Requesters that are to be included in the export, such as sorting by Origination Date, Status, or Last Interaction.
  3. If there are specific Requesters that should be included in the export, select the checkbox next to each record. If all displayed Requesters should be included in the export, skip this step.
  4. Click Export and an Excel file will be downloaded to your computer.

Creating an Event

  1. Click on “Events” in the left-hand menu.
  2. Click on “+Event”
  3. Enter all required event information.
    1. Adding a Category and Sub-Category will help with seeing trends and patterns.
    2. Designating a Contact and Host will help direct questions from the invitees.
    3. Event Type will alert your invitees as to if the event is In-Person, Hybrid, or Virtual. Depending on the type chosen address or video conferencing link will be required.
  4. Save the Event. You can see/edit the Event in this tab.

Events- Inviting Participants

  1. Go to the Requesters grid view and filter for the seekers you want to invite to the event.
  2. Click on the little boxes next to each seeker/requester you want to invite.
  3. Click ‘email selected requesters’ (located at the top - do this once all boxes of seekers you want to invite have been checked in that grid view).
  4. Fill out the email form.
    1. Notice that the invited seeker/requesters are all bcc’d. You can add other resources or local contacts who are in the IMS to this email.
  5. VERY IMPORTANT: At the bottom, in the Regarding field, start to type in the name of the event and choose it to attach.

On each Requester record it will show that the seeker/requester has been invited to the event. You can also see the event email in the left hand menu Emails tab.

Setting up Coverage for when you are away:

Contact the person you want to cover for you first before doing this….

  1. Open your Resource record, found by clicking on your blue hyperlinked name, or by going to Resources menu page and selecting your name.
  2. In the Coverage tab, to setup a new coverage for yourself click on +Coverage.
    1. Covering Resource - search for the coordinator who will be taking care of your records while you are away
    2. Coverage Resource - select the reason for your time away
    3. Start Date/Time - required
    4. End Date/Time - not required, but until there is an ending then your coverage coordinator will continue to get your records. (Minimum of 1 day needed for a coverage record.)
    5. Comment - enter in special information/instructions
    6. Click Save
  3. Click on Covering For tab to see who all you are covering for and when.

  • Regional coordinators can cover for anyone
  • Sub-regional coordinators can cover for anyone
  • Coordinators who handle registrants can cover for regional and subregional coordinators that also handle registrants
  • Cluster coordinators can cover for other cluster coordinators and locality coordinators
  • Locality coordinators can cover for cluster coordinators
