Tips for a smooth Zoom Experience

  • Before an event/meeting, send participants instructions on how to use the app along with the meeting number and password (if applicable). 
  • Cushion in time at the beginning of your event/meeting to give your participants an overview of the the tools they will be using on the call.
  • Get on the call at least 10-15 min early to check in, test sound, and adjust lighting. If you’re computer sits low, elevate it using books to bring it up to eye level.

Host and Co-host controls

You as the host and co-host control various aspects of a Zoom meeting, such as managing the participants.

In meetings, hosts and co-hosts can control the following features:

  • Mute participants
  • Request that a participant unmutes
  • Stop a participant's video and request that a participant starts their video
  • Prevent participants from screen sharing
  • Rename a participant
  • Put a participant on hold (if enabled)
  • Choose to play an enter or exit chime
  • Lock the meeting to prevent anyone new from joining
  • Place participants in waiting room or admit/remove participants from the waiting room

Only hosts have access to these features:

  • Give a participant the ability to record locally
  • Make a participant host or co-host
  • Enable waiting room

  1. Mute/Unmute: This allows you to mute or unmute your microphone.
    1. Audio controls (click ^ next to Mute/Unmute): The audio controls allow you to change the microphone and speaker that Zoom is currently using on your computer, leave computer audio, and access the full audio options in the Zoom settings.
  2. Start/Stop Video: This allows you to start or stop your own video.
    • Video controls (click ^ next to Start/Stop Video): If you have multiple cameras on your computer, you can select which Zoom is using, access the full video controls, and select a Virtual Background.
  3. Security: Access in-meeting security options.
  4. Manage Participants: Opens the window to manage participants and invite others to join the meeting.
  5. Chat: this will allow you and the participants to communicate privately and openly without unmuting.
  6. Share Screen: Start sharing your screen. You will be able to select the desktop or application you want to share. When you are screen sharing, the controls will appear at the top of your screen, but you can drag it to another location.
  7. Polling: Allows you to create, edit, and launch your polls. The options to create or launch polls will open up the Zoom web portal in your default browser.

8. Record: Start or stop a cloud or local recording.

9. Closed Caption (only available to the host): If you have enabled closed captioning for your account, click here to access the closed caption options.

10. Breakout Rooms (only available to the host): Start breakout rooms.

11. End (only available to the host): Display the following two options.

    • End Meeting for All: End the meeting for yourself and all participants.
    • Leave Meeting: Leave the meeting. You will be prompted to assign a host so that the meeting can continue.

12. More (...): Clicking on More will give you access to additional options.

Chat

Can the host see private chats between participants?

No, but the meeting host can limit who participants can chat with in the meeting. To do this, the host has to click on the dropdown menu in the chat box (depicted as ) and chose the best chat option for that meeting.

Breakout Rooms

How can you randomly assign participant to breakout rooms?

The host can do this in meeting! Click on the breakout room icon and select the ‘assign automatically’ option on the first pop-up window and Zoom will randomly assign people to rooms. Before launching the rooms you’ll get a second window pop-up with the rooms prepopulated where you can edit the room names, delete the rooms, or assign/rearrange people.

Polling

  • The polling feature for meetings allows you to create single choice or multiple choice polling questions for your meetings.
  • Polls can be conducted anonymously, if you do not wish to collect participant information with the poll results.
  • You also have the ability to download a report of polling after the meeting.

Requirements:

  • Licensed Zoom account
  • Hosts needs to be using the desktop client to edit polling.
  • To have a record of the polls you must be using your personal meeting ID

Tips for when to use polls:

  • If you are looking to keep records of votes or other measures, set up a poll using your personal ID.
  • If you are looking to get quick feedback from the room use the non-verbal buttons

Live Close Caption

There is no magic solution for live closed captioning on Zoom. For true live close caption, the UUA recommends hiring a captioner (or find someone in the congregation) who can be assigned to caption the event.

Other F.A.Q

Can the co-host still control the mute button in a breakout room? Yes, as a co-host you will still have all for your co-host controls when you go into a breakout room. Note, co-host can’t unmute people, but they can ask them to unmute.

Can members using only an iPad fully participate in hosting a meeting? Yes! You can host and participate in a meeting using an iPhone/iPad/other tablet devices. Note, you will need to be on a computer to edit polls.

I don’t see/ can’t find the polling, breakout rooms, closed caption, or other option(s) when I’m hosting a meeting? If you don’t see the polling, breakout room, or closed caption icons when you’re hosting a meeting they may not be enabled in your account settings. Using the web portal, sign in to your Zoom account and got to settings to turn on these features. Note, sometimes your Zoom window may not be big enough to display all of the icons, so you will find these features under the ‘more’ tab in your navigation bar.

Spotlight V. Pin video --When you pin a video of a person talking, you to disable active speaker view and only view a specific speaker. Pinning another user's video will only affect your local view in the Zoom Room, not the view of other participants and will not affect the recording. When you spotlight the video view a the person speaking, it puts a user as the primary active speaker for all participants in the meeting and recording. To spotlight, you need at least 3 participants in the meeting with their video on and can only be done by the host.

Other troubleshooting tips

  • If the sound is coming in choppy for folks, recommend turning off the video. Video takes up a lot of internet bandwidth and can slow down the sound. Or use the dial in feature to call listen to the call using your.
