The Venues at IOMRC

IOMRC Auditorium

IOMRC Interactive Space

IOMRC Courtyard

The Auditorium seats 120 people in a flexible, flat-floored theatre style room. The IOMRC Auditorium can be booked during business hours as well as outside normal operational hours including weekends.

Our dramatic high ceiling interactive space is perfect for cocktail functions or as catering area for conferences and seminars in the Auditorium.

The Interactive space stands up to 75 guests. The IOMRC Auditorium and central courtyard feed into the interactive space creating an ideal space for registrations, catering and displays.

The more casual atmosphere of the central courtyard would suit summer BBQs and sundowners. The courtyard stands up to 50 guests. The IOMRC central courtyard feeds into the interactive space.

The air conditioning has been tuned to ensure a comfortable temperature, whilst minimising energy waste.

Climate control is operated manually, if you find your venue cold, hot or stuffy turn on your climate control using the Air Conditioning button. It will stay on until turned on during business hours and has a timed shut off afterhours. REMEMBER……Allow the AC time to heat or cool your venue, it is not instantaneous and in winter may feel a little cold to begin with. The thermostats are set to maintain a temperature between, 21 – 24C, however, other factors may influence the temperature.

Auditorium -

    • Light controls are located to the left of the entrance door from the IOMRC Foyer
    • Air con button is next to the door in the north east corner of the Auditorium

Interactive Space

    • Light controls are on the wall next to the IOMRC Reception office door
    • Air con button is on the north end of the wall in the kitchenette

Parking & Vehicle Use at IOMRC

Please Drive Carefully

Drivers must take EXTRA care when entering and exiting the facility at Fairway entrance 3 & 4. The carparks and service roads around the building are high traffic areas for both pedestrians, cyclists and vehicles.

Parking at Crawley

There are parking areas in the vicinity of IOMRC Crawley.

    • East side of Fairway (City of Perth pay & display parking)
    • Carpark 17 (approx. 500m away)
    • UWA uses the EasyPark digital parking system, making it easy for visitor to manage parking.
    • At the end of the time limit on the app, the vehicle must be moved from the carpark.
    • All payments are managed through the EasyPark app.

1. On hearing the evacuation alarm immediately prepare to leave the building – end all event activities and ask attendees to calmly collect their personal belongings in preparation to leave the venue.

2. If the evacuation alarm sounds, or if instructed to do so by a warden or UWA Security personnel, leave the building by the nearest and safest exit route.

3. Assist any person with a disability requiring help to leave the building.

4. Do not attempt to carry people

5. Walk quickly and calmly to the designated assembly area for the building or as advised by a fire warden, UWA Security or emergency services personnel.

6. No one is to return to the venue until the all clear is provided by the Chief Fire Warden.

Medical Emergency Instructions

1. in the event of a medical emergency,

Personal injury - minor

    • Contact the IOMRC Support Team at Reception for assistance (during business hours). After hours contact UWA Security (08 64882222)
    • Send the injured person to the Campus Medical Centre if necessary (business hours only) or nearest hospital if necessary.
    • Complete a confidential incident /injury report form.

Personal injury - major

    • Care for injured person(s) – call for assistance.
    • Send someone to phone 000 emergency services and then CUWA Security (08 64882222)
    • Provide support and assistance to the injured person until the ambulance arrives. This may include obtaining a defibrillator or guiding the paramedics to the patient.
    • Ensure that the area is clear to allow paramedics direct access to the injured or ill person.

Provide all information to emergency services personnel

    • Name;
    • Venue Location (building, level, room number);
    • Nature and type of injury;
    • State of consciousness of the injured person(s);
    • Age and gender of the injured person(s);
    • If possible, the names of the injured person(s); and
    • Any relevant information – breathing/not breathing, chest pains, bleeding.

Audiovisual Instructions

There are two options for setting up to present in the IOMRC Auditorium

1. Presenting to the auditorium only (no videoconference)

2. Videoconference presentation (MS Teams or other)

• Computers are not supplied by IOMRC to run presentations in the Auditorium, you must bring your own device/devices (BYOD)

• To use the IOMRC AV system you must install the Display Link software on your device using the link, https://www.synaptics.com/products/displaylink-graphics/downloads.

• If you intend to present, including a videoconference (MS teams, Zoom, Webex or another video conference platform), then you must ensure the relevant videoconference app/software is also installed on your laptop.

• Ensure your presentation is saved on your desktop and easily accessible (if there are multiple presenters, it is recommended to load all presentations to the desktop of a single laptop)

Before you Arrive

Auditorium Presentation Only (no videoconference)

Projection

1. Go to the lectern at the front of the auditorium

2. Plug your device in using the HDMI cable supplied.

3. Wake up the lectern screen by touching screen/pressing the start button.

4. On lectern screen, click “Lectern HDMI” to turn on the two projectors. This may take a minute or two as the projectors boot

up and the cameras swivel into position.

5. The auditorium projects the presentation on to the wall, both to the left and right side of the lectern.

6. Change display setting on your laptop to either “Duplicate display” (same image on both screens) and “Extend display”

(different images on each screen)

Microphones

7. The room is equipped with the following microphones:

• Two sets of lapel microphones

• Two sets of handheld microphones

• One fixed lectern microphone

8. These are identified as “Dante USB” on your computer

9. Tap on “Mic Volume” to adjust individual sound levels of the microphone

Speakers

10. The room is equipped with the two speakers.

Videoconference Presentation

Projection

1. Set up device on the rear end of the auditorium

2. Plug your device in using the USB C cable supplied. (USB C to A converter available from reception) for projection & audio

3. Plug either of the USB A cables supplied to use either Front Camera or Rear Camera.

4. Wake up the lectern screen by touching screen/pressing the start button.

5. On lectern screen, click “Rear USB” to turn on the two projectors. This may take a minute or two as the projectors boot up

and the cameras swivel into position.

6. The auditorium projects the presentation on to the wall, both to the left and right side of the lectern.

7. Change display setting on your laptop to either “Duplicate display” (same image on both screens) and “Extend display”

(different images on each screen)

Microphones

8. The room is equipped with the following microphones:

• Two sets of lapel microphones

• Two sets of handheld microphones

Checklist for Exiting the Venue

Tidy Up Venue

Remove all rubbish and dispose of it in designated bins.

Collect and remove all event materials, decorations, and personal belongings.

Return furniture and equipment to their original positions.

Check for Damages

Inspect the venue for any damage or spills.

Report any issues to IOMRC Support Team (iomrc@uwa.edu.au) immediately.

Return Borrowed Equipment

Gather all borrowed IT/AV equipment.

Ensure all items are accounted for and in working order.

Return equipment to the IOMRC Reception desk.

Final Walkthrough

Conduct a final sweep to ensure nothing is left behind.

Check restrooms and storage areas.

Contact Security if exiting after 4pm

Notify UWA Security (6488 3020) to lock up the venue after hours.

Wait for security to arrive and confirm the venue is secure before leaving.
