How to Amendments/Endorsements are currently handled with Utica First

  • The UFN platform is NOT available at this time for agents to ‘self-service’ endorsements.

  • Amendments/Endorsements MUST BE Sent to CL@UTICAFIRST.COM

  • Current processing time 5-7 business days.

  • Complete information must be submitted to ensure efficient processing.

  • Missing information/required information delays the processing, resulting in extended processing business days.

Current Utica First workflow process for Amendments

  • Amendments/Endorsement sent to CL@Uticafirst.com will be scanned and processed (if within authority) or it will be assigned a task (out of authority).
  • Amendment/Endorsements can be processed within authority:
    • Mailing Addresses
    • Loan numbers
    • Premium Finance information
  • Amendments/Endorsements outside authority (some examples):
    • Name Changes
    • Building additions
    • Coverage changes

Current Utica First workflow process for Amendments

  • Once assigned (if outside authority), it will appear in the UW’s workflow for a future date (3-5 days).
  • On the designated task date, it appears for the UW to work the request.

  • If information is missing, this results in the UW requesting information from the agent.
  • The information is submitted back to CL@Uticafirst.com and then it is re-tasked.
  • If the information is still missing or incomplete, this cycle continues, resulting in extreme delays.

Necessary information required

  • Not all changes are the same. While most are straight forward, there are some amendments that require specific details to process.
  • All amendments require:
      • The effective date requested;
      • Specific policy number;
      • Insured name

Specific Endorsement requirements – Waiver of Subrogation (WoS) ART policies

  • The ART policies include reference to WOS within the AP-100 edition1 & AP-100 edition 2.
  • This is found on page 21&41 in the AP-100e2.
  • This requires a written agreement in place before an occurrence takes place.
    • The agreement must state who they are waiving subrogation for. This remains in the agent's file.
  • This does not print on the Dec page.
  • This is not a blanket form.

Waiver of Subrogation (WoS) on Named Basis (Additional Insured) - ART

  • Requesting the WoS for an AI – we now offer this. This requires the following to be requested to be added:
    • AP-0338 – Owners Lessees or Contractors – Ongoing Operations Additional Insured; &
    • AP-0341 – Owners Lessees or Contractors – Completed Work Additional Insured (must have the AP-0338)
      • Job description must be listed for each address
      • Address for each site must be listed
      • Missing either the description or address results in not being able to process.
  • The AI will appear on the Dec Page for WoS.

  • Utica First does not use ISO forms, so requests to add CG 20 38 (AI Ongoing Operations & CG 20 37 (AI Completed Operations) require the AP-0338 and AP-0341 to be added.
  • The ISO form CG 24 04 (Waiver of Subrogation) is built into the AP-100 form, so is not added.
  • The AP-0338 can be added stand alone.
  • If only a county is listed – this can’t be processed.
  • Each location requires the AP-0338 & AP-0341.

Waiver of Subrogation (WoS) for BOP policies

  • The form is different for BOP accounts.
  • The AAIS form – BP 0731 (01 04) is used.
  • Entry for this is the same as the ART.
  • No cost for this, but UW will require when adding it is an acceptable eligible insured.
  • Due to being a BOP – there can’t be multiple states, due to contract jurisdictions.

  • The BOP and ART product offer Additional Insureds.
  • These are different due to the product and forms.
  • The forms aren’t interchangeable.
  • Costs for AI’s will vary by type, product, and State.

Why is this not allowed at Utica First?

  • Utica First is restricted by the current policy forms. We use AAIS forms, and they do not allow for variation.
  • When requests are made for COI wording – we don’t issue the COI and can’t approve verbiage for these.
  • Underwriting CAN ADVISE on Coverage questions.

Why is this not allowed at Utica First?

  • Requests often received to add 30-day NOC wording for COIs – Utica First uses the legal number of days determined by State DOI’s for cancellation & non-payment cancellation.
  • We don’t alter the legal number of days.
  • Dates are included in the Amendatory Endorsements for each State and Product
  • We don’t issue COI’s.

  • Utica First does not require the signed applications to be submitted to Home Office.
  • The agency is required to keep signed copies of all applications (ART, BOP, Umbrella) on file and may be required to pull at time of loss or audit.

  • All Artisan & BOP policies automatically renew 65 days prior to the renewal effective date
  • All Umbrellas renew out 45 days prior to the renewal effective date
  • If the insured is direct bill – any renewal invoice is generated 21 days prior to renewal, due on the renewal date.
