Deleting an Email

  1. In your Gmail, you can delete emails that you do not want anymore to clean up space in your inbox.
  2. To do so, you have multiple options
    1. You can click to open the email and click the trash bin icon near the top, right under the search bar to delete it
    2. In your inbox, you can click the checkbox on the left side of the email, and click the trash bin icon at the top, under the search bar.
    3. Hover over the email, and click the trash bin icon at the right side of the email.
  3. Deleted emails will appear in the Bin folder located on the left side of your Gmail. You can recover them by taking them out of the Bin within 30 days.

Archiving an Email

  1. To archive an email, follow the exact same steps and options as Deleting an email, except that you will click the archive button
  2. When you archive an email, it will not go to the Bin folder as that is only for deleted emails.
  3. To retrieve an archived email, locate the All Mail folder and it will be in there
    1. You will have to scroll on the left side and click more to find it
  4. Alternatively you can search your entire email for a specific email by searching keywords from the email or the sender email address

Labelling an Email

  1. To label an email, follow the exact same steps as deleting or archiving an email, except this time you will click the label icon
  2. Check off any labels you want to give the email. If you do not see a label you would like to label the email as, you can create a new label.
  3. Labels are like folders. When you label an email, all emails with that label can be found in that label folder on the left hand side of your email
  4. Gmail also often recognizes emails coming from the same organization and will often automatically label them for you if you have done it before

Searching for an Email

  • To search for an email, you can use the search function by typing keywords into the search bar of your email located at the top.
  • Examples of some keywords are:
    1. Companies - Walmart, PC, etc. this will find all emails from Walmart or PC
    2. Specific email addresses - programs@strathconaplace.com, this will find all emails that include this person
    3. Names - Albert, Jesse, etc. this will find all emails that include these names

Summary

These functions are useful to keeping your email clean and tidy so it does not become messy or overwhelming.

Archiving allows you to keep emails hidden away so it keeps the email clean, but still easily accessible by looking in the All Mail folder or searching for the email you want to see.

I advise that you only delete emails you are sure you will not need to see again (e.g. promotional emails from stores, spam emails)
