Digitize Work

  • No matter what is done, it needs to end up in a digital form, and then saved in the club GoogleDrive space.
  • The first step is done - all of your staff already have a district Gmail/Apps account.
  • Documents and spreadsheets are easily created as per current specs in diaries , etc.
  • Regional/National can upload relevant checklists , audits , etc.

CLUB Folders

  • Quick Tip:
    • Staff/Regional should navigate in Drive to their club folder BEFORE creating the document, spreadsheet or presentation.
  • Once the document is created, they’ll be asked if they want to ‘Create and share’ the new document with the same sharing rights as the folder - which is�EXACTLY what is �needed in the first place.

  • National/Regional can organize these shared folders in Google Drive however they'd like
    • By Club
    • By Department
    • By Period
  • Work is all organized, and not an email is sent or book printed

Regional Folders

  • Regionals create folders for sharing
  • The first is a 'Hand Out' folder
    • Shared with Clubs as View Only
    • Assignments, instructions and/or templates for Clubs to access and view.
    • If it's an assignment template, the Clubs can use 'File --> Save a copy' to save the assignment outline to their own Google Drive to edit accordingly prior to uploading in relevant folder as we would on the Work Drive. Uploaded as per deadlines and permissions given to Regional/National to view.

It is essentially the work drive on the go. Can be managed remotely , wherever , whenever.

  • It is easily shared via mobile.
  • Anyone can view or permission to view certain documents can be given to specific individuals.
  • It works similar to the Work Drive.
  • Work Drive in mobile format.
  • Remotely monitor what has been completed and what has not.
  • Specific information on user edits , ie. GM can’t go and fill in Reception Manager’s diary as it will display that the GM has done so. So this ensures everyone Is doing their part.
  • Cost effective if all employees create a free google account.
  • It is User Friendly
