What is WolfieONE �

WolfieONE is a Business Transformation Initiative:

WolfieONE is a strategic transformation initiative that will design and implement an Enterprise Resource Planning (ERP) ecosystem at SBU, supported by Oracle, to better support our financial, budget, HR and business operations.

The new, cloud-based software will replace some of our systems, but will also seamlessly integrate with many existing systems.

WolfieONE is Stony Brook's enterprise transformation initiative to modernize how we manage HR (Human Resources), Finance, Budgeting, and Planning.

It is not just a system replacement. It is a shift in how we work. This is in line with our Strategic Plan.

Human Resources in WolfieONE

All employees should be familiar with the new areas of the system that will replace emails, forms, and offline documents (whether it be paper, pdf or excel), as well as the employee side of SOLAR.

Awareness of what systems are staying in place (“boundary systems” previously mentioned in the What is NOT Changing slide) will help you navigate where to go for your day-to-day business needs.

Many of the employee requests which are currently initiated via email will be initiated in WolfieONE, once we go live.

Presently, some of this data resides in PeopleSoft Finance, some of it in WolfMart, and some in EBS (E-business Suite). EBS will continue to be used (by the Research Foundation), but it will send data to WolfieONE.

The CoA is the basic structure used to categorize financial transactions to provide meaningful reporting in Oracle Cloud (WolfieONE). Employees who use WolfMart, Concur and E-RAS will also need to use the new COA!

Impact

In PeopleSoft, the department “accounts” correspond to SUNY values. Most employees only use one or two COA segments (primarily the department account) to label a financial transaction so that “it goes to the right place”.

The new values that were created are specific to Stony Brook and work with Oracle Cloud, the system that powers WolfieONE. In WolfieONE, instead of just using your “department account”, we will use other segments (7 in total): Entity, Org, Fund, Account, Classification, Commitment, and Budget Year.

Each segment has a designated purposed and a fixed order. Each financial transaction has a string that looks like this, which allows the system to sort the transactions by department, by “type”, or by any other attribute.

Change Champion Role

As the Change Champion for our area, my responsibilities are:

  • Be the first to know of any WolfieONE updates
  • Stay in contact with the Change Management team (OCM)
  • Be knowledgeable about the main components and features of the new system
  • Select what to communicate to all employees in the department
  • Inform colleagues, peers and direct reports of anything in particular that the OCM team highlights for broad distribution
  • Collect questions and feedback from all in my department and bring those questions back to the OCM team
  • Understand status quo bias (the tendency to prefer the current state of affairs, even when alternatives may be better) and help others overcome it

This is the phase in which Stony Brook Subject Matter Experts (SMEs) are being trained.

This is the phase in which all employees will be trained. Some of the training will be self-paced, while some will be instructor-led. There will also be in-system guidance and tips in a tool called Oracle Guided Learning.

In this phase, new behaviors will be reinforced. Any gaps in training or adoption that are identified will be bridged with residual training and support.

Guidelines for presenters/facilitators

  • Do rehearse! All your talking points are in speaker notes.​

  • Encourage your audience to read through sections of the WolfieONE website prior to joining your session, even if they can only spend ten minutes on it. ​

  • Don’t read every word on the slide, give a moment for the audience to read, pause, after delivering your talking points from the notes section. Mention that the slides will be sent out after the session. ​

  • Know that you are not expected to know the answers to all questions, state that candidly at the start of the presentation.​

  • Appoint a notetaker to collect questions that can be submitted to the OCM team. ​

  • Watch the COA video before delivering this presentation.​

  • If there is a particular process or task that is common for your department to have to perform and you aren’t sure if that will be in WolfieONE in the future, ask the OCM team about those types of “common tasks” before delivering your presentation. ​

  • Reassure your team that all their concerns will be brought back to the functional experts by OCM.

As a Change Champion, you play a critical role in helping your department navigate the transition to WolfieONE. You are a trusted local resource during this transition. Your understanding of the project will directly influence how your department experiences and adopts this transformation.

The Psychological Aspect of Change

It’s normal for all employees to feel unsettled at first upon go-live. Even those who are confident in their knowledge and have attended training can feel uncomfortable with change. Your role is to help them make sense of what’s changing, what isn’t, and what it means for their day-to-day, while emulating a constructive response, rooted in both data and empathy.

This is proposed verbiage to help colleagues acknowledge their initial discomfort and move towards adoption:

“Some parts of this change are not optional. The choice we have is how we respond: where we focus, what we choose to learn, and how we support others through it.”

OR

“We can’t control the fact that change is happening, but we can control our next best actions: the questions we ask, the habits we keep, and the standards we model, and the new skills we choose to gain, many of which are going to be portable skills for the rest of our careers.”
