Fall 1 Deadlines

  • Amendment window closes January 20, 2023
  • SPED and SSRV errors that were previously switched to warnings were reverted to FATAL errors on December 20, 2022
  • CALPADS Flash #246 - CALPADS Update FLASH #246 - California Longitudinal Pupil Achievement Data System (CALPADS) (CA Dept of Education) - LEAs that have an LEA Approval or a SELPA Approval status on a revision dated between November 30 and December 20 need to disapprove that revision and work on a most recent "Revised Uncertified" revision to view and clear errors that have now been reverted to Fatal.

Reminder - Extension for Free or Reduced-Price Program Records

  • CALPADS Flash 242
    • NSLP applications or Alternative Income Information Forms received and date stamped on or before 11/30, regardless if application was approved before or after 11/30 will be considered eligible for LCFF apportionment. HOWEVER, in order for these records to count on Report 1.17, the NSLP Program Start date should be on or before October 31st.

SPED File Redesign

  • File formats were changed slightly, but have been finalized and can be found in the meeting materials folder:
  • Notable changes
    • Settlement Agreement Indicator has been REMOVED – no longer being proposed for collection
    • SELPA Code has been added to all file types
  • User acceptance testing is slated to begin in March 2023
  • Expected to be pushed into production September 2023

Data Discrepancy Reports

  • Data Discrepancy user interface and extract of errors are expected to become available after Fall 2 submission closes (tentatively end of March)
  • The purpose of the Data Discrepancies is to:
    • Run data discrepancy checks on data in the Operational Data Store BEFORE the submission window opens
    • Identify data discrepancies that will become Certification Data Discrepancies for specific submissions (e.g., Fall 1, Fall 2, EOY)

Parent/Guardian Highest Education Level

  • Beginning Fall 2023, Parent/Guardian Highest Education Level will be collected for both Parent/Guardian 1 AND Parent/Guardian 2 in the Student Information (SINF) File if both Parent/Guardian fields are populated
  • The Socio-Economically Disadvantaged subgroup calculation will now include:
    • Students eligible for free or reduced-price meals AND
    • Students where BOTH Parents/Guardians are NOT high school graduates

Parent/Guardian Names

  • Beginning Fall 2023, if the First Name is populated for a Parent/Guardian, then the Last Name will be REQUIRED to be populated and vice versa
  • LEAs are encouraged to analyze the parent/guardian name data in their student information systems to ensure that both First and Last Name fields are populated

New Language Codes

  • New expanded Language Code set will be implemented for the 2023-24 academic year

New Transitional Kindergarten Grade Level

  • Beginning with school year 2023-24, LEAs must submit a new grade level of “TK” for students attending transitional kindergarten.
  • The existing TK program will be retired.
