INI1 – NEW CASE REFERRALS

  • Cases on CWW go through end of the month processing or updates based on changes that would be made throughout the month.
    • Referrals may come while the case is pending for approval of benefits.
    • Generally if a parent is still on their parent’s case, watch for cases with incorrect participants.

2. In additions, our county policy is to have both parents listed on these type of cases, I would add the other parent with a role as OTHR

1. Most common error is CWW building new cases with adjudicated father as a POTF still, this goes back to IM worker not updating the APGI screen to read paternity established.

Create a relationship with your IM workers. Email is the preferred method in our county. Send them what needs to be updated.

Check the current participants on the case, parties may be living together

  • CWW workers do not put them as the POTF unless they are specifically told this.
  • This is the case even if they have other children together on the case

Adams County will also regularly check on Facebook for who the mother may be in a relationship with.

WHY DID A CASE NOT BUILD?

Some assistance types will not build a case for an automatic referral

  • Foodshare only cases – not eligible
    • Participants may believe it should’ve built
  • FPW – family planning cases – not eligible
    • If participant does not update case when they are pregnant, case will not build
  • Certain levels of medical assistance

Other reasons for a non-referral

  • Participants report absent parent in household and worker sets referral to “n” even when paternity has not been established
  • Absent parent screen not updated when a parent leaves the household

Not all public assistance is eligible!!

What happens if the CARES case is not updated correctly………This happens when the pregnancy for the unmarried mother is not ended when they add the new child to the APGI screen.

INI2 – ASSESS EXISTING ORDER

When a KIDS case is changed from a non-assistance case type to a non-arrears, assistance case type, and the case has a court order in effect but there is no open/effective child or family current support order and subaccount present, the system will generate the following worklist.

Worker Action:

Asses the current order on the case:

  • When case goes from CONT to MAOF – do you have a health insurance order in place?
  • When a case goes from MAOF to WWIQ or other form of W2 – check your order

CPAD – UPDATED ADDRESS FOR PRIMARY PERSON

  • This will come as an “OTHR” or a “RES” address on 04, 04.
  • Worker needs to review and see if the update is correct as a new “MAIL” or “RES” address and update.
  • Worker needs to work these to ensure the correct address is on file for the CP

To view what has been sent, go to – 04, 13

  • Quick acceptance by entering “Y” in the process of this response

DGUP – Updates sent with Name, DOB, SSN, etc.

This example is providing a middle initial for a name.

  • Many times the name that CWW sends over is not correct so I do not auto accept a name, in addition we prefer to have the full middle name as part of the primary.
  • A SSN update I auto accept, generally these come for the child.

Worker Action:

Review CARES case to see updated address and new county.

  • Make sure and update the MAIL address for the CP to match the new address.

TRAN – IVA Case transferred, recommend IVD transfer

Follow your counties steps to transfer the case to the new county.

  • I put a note on the TRAN case event that states why case is being transferred.
  • If you have any relevant documents in file that should be mailed to new county, create the document prior to transferring the case.

Worker Action:

All of these worklists are related to good cause and the process in CWW.

  • Review the APGI (Absent Parent Screens) in CWW to determine status.
  • Also keep in mind that the child support worker can make an independent determination for good cause.

GCCL, GCGR, GCDN, GCPG, GCWD Worklists

  • GCCL – Good Cause Claimed
  • GCGR – Good Cause Granted
  • GCDN – Good Cause Denied
  • GCPG – Good Cause Pending
  • GCWD – Good Cause Withdrawn

Follow your counties process for a case that is granted good cause.

Review CARES absent parent screen to review the updated address.

  • The address will be on 04,04 and listed as “OTHR”.
  • Do your own research to determine if the address is valid, for example:
    • Check Fast People Search
    • Check CLEAR
    • Call NCP and ask about address change
    • Send a postal verification

What information can I find in CWW?

  • SSN, DOB, address, phone number
  • Who is living in the home and all of their information (SSN, DOB, etc.)
  • Income information (SSI, SSDI, self-employment, employment, CSUP, W2)
  • Tribal affiliation
  • Pregnancy information, absent parent information, demographic information

Once the baby is born, the “legal parentage status” will update, it will no longer say “M.” It will update to the child’s name and Y or N for “is paternity established.”

No Referral? Check on these two things:

  • Are they receiving MAGE?
    • Query
    • Confirmed Assistance Group

  • Did the pregnancy get end dated?
    • Individual Non Financial
    • Pregnancy – check to make sure the pregnancy was end dated. Sometimes one does not get ended and the mom is pregnant again a year later.
