Short-Term Independent Study

What Is It?

  • Short term independent study can be requested for students who will be absent from school for a period of 3 to 15 days. Students are only allowed to miss a total of 15 school days per year while on an independent study contract.

  • Students will only receive credit for work satisfactorily completed as determined by the course teacher. If the assignments are not returned or completed in accordance to agreement between the teacher and student, the teacher will mark the progress in Aeries as “no” and the attendance will be coded as an absence in Aeries.

To recoup ADA funds.

How

  • Nicole processes parent requests for ISP and will email teachers with the name of the student and the dates of the ISP contract.

  • Foster sets up the short term ISP in Aeries

  • Teachers will receive an email notification requesting a digital signature. After clicking the link in the email, teachers will need to click the box and then scroll down to signature box and type/click their name

  • Teachers: On the Independent Study Work Product Evaluation page: Teachers will assign hours based on the completion of work that is turned in when the student returns. For example, if you assigned 6 worksheets that should equal 4 hours of work and they complete 3, then you would give them a time valuation of 2 hours. If they don’t turn in anything then they will get 0 hours.

  • In “Notes” section, include the name of the assignment titles/assignment numbers of the completed assignments.

  • The work does not need to be graded for a teacher to give a time valuation in the Work Product tab.

  • Foster reviews teacher’s comments and awards ADA as appropriate

  • Nicole changes Aeries codes. An “R” will indicate that a student successfully got credit for attendance and an “F” will indicate that the student does not get credit for that day.

How to Find the Work Product Evaluation Tab

  1. Type in the student’s name and then under the student data tab, locate Programs.
  2. Click on the Programs tab and find “Independent Study Agreements”
  3. Locate the student who you want to enter the work product evaluation for and click the tab under “Work Product Detail.

Click on the Work Product Detail Tab to enter the student’s work product.

In Review:

  • Teachers will receive an email with notifying them of the ISP request, name of the student and dates of the ISP contract.

  • Teachers will receive an email with a link to digitally sign the ISP contract. After contract is sign there will be nothing else required to do until the student returns.

  • To view or return to the work product page please type in the name of the student into Aeries and follow the instructions on slides 7 and 8.

  • After teachers receive student work, they will enter a value for the number of hours and days that student completed the assigned work. Teachers will list the assignment names/numbers and any comments regarding student completion of work in the comments section in the work product evaluation page in Aeries.

  • If a student completes all of the assignments then you will only need to list the assignments in the comment box and mark Yes in the progress box.

  • If they do not complete all of the assignments please record the assignments that they did complete in the comments section and a comment for why they did not meet Satisfactory progress and mark No in the progress box.

  • Please assign hours based on assignment completion/non completion only. The hours are not based on the grade the student receives on the assignment.

The image belows shows what the Work Product Evaluation page will look like after you have entered the assignments, hours/days and progress. Notice that time values may differ based on how the teacher put a time value on the work that was completed. If the student completed all of the assigned work then they received the total amount of hours missed and a YES in the progress box. If a student did not complete all of the work then they received a No on the progress box and the teacher determined how many hours of work they completed and recorded that in the Hours box.

  • Foster will review the work product evaluation page and assign attendance days based on the hours that were reported by the student’s teachers.

  • Foster reports the attendance days that student is credited based on Work Product Evaluation to Nicole

  • TBD- Process for collecting work samples

Teachers will need to provide work when a student goes on ISP including electives and PE. The work product evaluation time should not be based upon make up work that the student completes when they return.

Turning in the work

Students who enter into a short term ISP contract will be able to complete and receive a grade on assignments and classroom work that the teacher assigns during the absence period for excused and unexcused absences.

Student will complete and submit assignments according to the schedule developed with the teacher and in accordance with Board Policy (BP 6154) and California Education Code (EC 48205).

If an individualized assignment schedule is not created, the default maximum length of time to complete assignments shall be two days for every day of absence from school for excused absences.

For unexcused absences, the work is due upon return to in-person learning per Board Policy
