Before You Begin: Meeting Roles Explained

Meeting Organizer - Person/Account who generates the meeting (may or may not be the actual host)

Host - Primary controller of the meeting session.

Alternative Host - not a role; in meeting creation, this field is used to designate a person who can start the meeting on the host’s behalf

Co-Host - a role designated after meeting begins; similar functionality to host MORE ABOUT ROLES IN MEETINGS

Important Notes about Meeting Roles...

  • Host privileges may be delegated in a meeting using the participants tab.
  • Only the host role can start breakouts and assign participants to breakout rooms
  • Co-hosts can neither start breakouts nor assign participants to breakout rooms
  • Co-hosts can float from breakout room to breakout room only after they have first been assigned and join a breakout room
  • Participants will be able to move from room to room if enabled in an update coming soon.

  • The ‘Options’ menu is available in meeting independent of breakout room assignment method

  • Clicking ‘Open All Rooms’ prompts participants to join or moves them automatically if that option was selected

  • You can make manual changes to room membership as needed using ‘Move to’ or ‘Exchange’

    • Sessions with a low volume of participants
    • In-class virtual activities ‘on the fly’

  • Not suitable for:
    • Sessions with a high volume of participants

Tech Tips & Tricks

  • Participants who lose internet connectivity during breakouts will not auto-join their previously assigned room

  • Breakout rooms have recording functionality; See Recording Zoom Breakout Rooms

  • You can ‘reset’ or ‘recreate’ breakout rooms over the course of a single session

  • Practice and identify the desired breakout room assignment pathway prior to using these in Zoom.

Breakout rooms enable instructors to organize:

  • Group distribution
    • Random vs. intentional
    • Short term vs. long term
  • Roles
    • Facilitator, time keeper, recorder/reporter, devil’s advocate, questioner, prioritizer, etc.

To use breakout rooms effectively:

  1. Clearly define the task (with instructions and deliverable)
  2. Provide time estimates (and monitor groups’ progress)
  3. Plan for whole class reporting/discussion

Managing Breakout Rooms: Challenges

  • Shared info from the main room is lost when going to breakout rooms
  • Zoom does not provide a way to monitor or have meaningful communication between breakout rooms and the host
  • Breakout rooms cannot communicate with each other

  • Google Slides
    • Critical information (task and instructions) shared in speaker notes area
    • Instructor observes progress by monitoring all groups’ work on their designated slides
    • Google’s in-document chat as whole class communication tool during the activity
