Part of the ADVANCE retention plan which proactively and reactively communicates with students:

  • When they are not meeting certain milestones of the ADVANCE Program

  • The repercussions of not meeting these milestones vis-a-vis timely degree progress, completion, and matriculation

ADVANCE Warning Policy & Process

  • Student data is pulled by NOVA ADVANCE Team from ADVANCE student enrollment records in SIS at end of each semester

  • Students who are not meeting one or more of these milestones are included in data pull

  • ADVANCE Internally documents which milestone(s) students are not meeting and make this information available to ADVANCE Success Coaching Team for intervention

  • Student receives an e-mail communication to NOVA e-mail address from ADVANCE Operations, sent approximately 3-4 weeks after end of semester

  • ADVANCE Team puts note regarding student's ADVANCE warning status into Mason student system, which are then copied into NOVA Navigate within a week after upload for NOVA frontline staff

ADVANCE Termination Policy

What is ADVANCE Termination?

  • Fall 2018-Spring 2021 Cohorts: ADVANCE enrollment milestone requires that "students must complete at least six degree-applicable credits with a C or better each fall and spring semester"

  • Students who have not been enrolled at NOVA for the last three semesters (excluding summer terms) in credit-bearing or developmental courses will be terminated from ADVANCE at the end of the third missed semester

  • The process of terminating students will be repeated each fall and spring semester. Once a student is terminated from ADVANCE, the decision is final, although students are welcome to complete their degree at NOVA and pursue standard transfer admission to Mason

ADVANCE Termination Policy

What is ADVANCE Termination?

  •  Fall 2021 Cohort and Future Cohorts: ADVANCE enrollment milestone requires "students must complete their NOVA degree within 4 years of being admitted into ADVANCE"

  • Students who have not completed their associate’s degree at NOVA within four years of their first enrollment semester in ADVANCE will be terminated from ADVANCE at the end of the fourth year (not yet implemented)

  • NOTE: Due to these changes in the ADVANCE termination policy, the ADVANCE Leave of Absence policy is defunct

  • NOTE: ADVANCE also terminates matriculated students who fail to attend Mason in the fall or spring semester immediately following graduation from NOVA (unless student has approved deferral from Mason Office of Admissions)

ADVANCE Termination Policy

Request for Exception Policy:

  • If a student is eligible to be terminated from ADVANCE and they would like to file a request for an exception due to extenuating circumstances, they may complete the Request for Exception form

  • Students must file a request for exception at least two weeks prior to the end of the NOVA semester in which they will be terminated

  • A sub-group of the ADVANCE Curriculum Committee will review the request and make a final decision

  • The ADVANCE Director will contact the student with the decision following the review

ADVANCE Termination and Request for Exception Process 

  • Student data is pulled by NOVA ADVANCE Team from ADVANCE student enrollment records in SIS over last three semesters

  • Students who have not been enrolled at NOVA for the last three semesters (excluding summer terms) in credit-bearing or developmental courses included in data pull

  • Student receives an e-mail communication to NOVA and Mason e-mails from ADVANCE Operations as well as a Navigate text regarding impending termination
    • E-mail and text sent twice; two weeks apart

  • The ADVANCE Director will contact the student with the decision following the review

  • Termination Exception from ADVANCE Request Form must be submitted to ADVANCE Operations no later than 11:59PM 2 weeks prior to the last day of the end of the semester.

ADVANCE Milestone Monitoring Spring 2022

  • 1/11: ADVANCE students on warning and urgent warning received e-mail notifications
    • Over the next few weeks, ADVANCE students on warning and urgent warning will have a note regarding status on student record in NOVA Navigate
    • 2/1: Follow-up text to students on urgent warning

  • 1/13: ADVANCE students not enrolled for Spring 2022 at NOVA received e-mail notification and text via NOVA Navigate
    • Students not yet on warning

  • Beginning to Mid-February: ADVANCE will terminate students not compliant with enrollment requirements as of Spring 2022
    • NEW: ADV 5: ADVANCE Termination student group will be added to SIS to inform NOVA faculty and staff of termination status in addition to Navigate notes

  • 3/28: Spring 2022 Initial Termination Notification and Request for Exception Comm and Text will be sent
