RETENTION INITIATIVES

Club Support System

The Navigator (Buddy Club)

Club Incubation Centre (CIC)

• Two types : CIC Leadership Advisor, CIC Communication Specialist�
• CIC volunteers will help the club to achieve membership/education goals. Minimum support for 3 months or 12 meetings.

Club Coaches

• A club must have at least one but not more than 12 members to qualify for a club coach appointment.
• Up to 2 Club Coaches are assigned per club who shouldn’t be a member of the club at the time of appointment.
• A club coach is recognized and receives credit if the club to which she/he is assigned achieves Distinguished Status by June 30^th provided they have served for at least 6 months in the role. The club coach term is for 2 years.
• Cadence calls every month with the club coaches and existing Toastmasters International resources to be used
• District Officer credit is valid for the Club coach if the coach helps the club achieve 20 members and Distinguished (or above) status.

The Navigator - Buddy Clubs

The navigator club : A strong club (20+ members) supporting struggling clubs with 13<=members<=19 and less quality meetings

For Navigator clubs to be awarded

1. The club should support at least 3 months ; 12 meetings
2. Minimum 4 members from navigator club to support , mentor members etc.
3. The club assigned a navigator club has to be a Distinguished Club
4. Nominate your club : Become A Navigator Club

Club Collaboration League Rendezvous & Linkers Redefined - with Point system

1. Host maximum of 2 joint meetings per quarter with minimum 2 or maximum 4 clubs
2. Exchange min 3 role takers per meeting
3. Co-host one educational session/new member induction
4. Attach poster picture and/or meeting picture
1. Bonus : Include one new club
2. Bonus: Struggling Club (8-12) or (13-19 Member Club) in Rendezvous - List of struggling clubs to be given by CGD office

Forms should be filled within 15 days of conducting Rendezvous meetings

Clubs should not repeatedly conduct rendezvous meetings with the same clubs.

Every quarter CGD office will publish rankings to build excitement!

MEMBERSHIP GROWTH INITIATIVES

Open Houses

​

1. Open House Sessions or Membership Drives
1. Help clubs to conduct open houses
2. From the CGD office - DOs' and DONT's of an open house
3. D92 Toastmasters' Speakers list - In collaboration with the PQD team
4. Tracker by the growth catalyst team
5. Posting the open house snippets on social media - clubs should fill the form within 15 days of conducting the open house. For example : a club conducted an open house on 1st May or 15th May, they should submit the form by 15th may or 30th may respectively to be featured in the June month and so on.
1. It is recommended to invite a non Toastmaster as keynote speaker (Corporate senior leaders/College faculties/Influential). However this is not a mandatory criteria.
2. Clubs can also look at having stalls in cafeteria and have different sections - Why Toastmasters Desk, Pathways Desk, Mentor-Mentee Desk etc.

NEW CLUB INITIATIVES

Mentors & Sponsors

• Allocation of Mentors and Sponsors via a pool of interested members which would be collated through a volunteer nomination form shared by the CGD office
• Workshops to be conducted periodically to train the sponsors and mentors and checklists to be provided to help them better understand their roles and responsibilities
• A specific sponsor workshop to be planned for all members of D92 so that lead generation is a process and not a task
• Monthly Calls with New Club Mentors & Sponsors ensuring that all the new clubs are well on track with required support by the Growth Catalyst team. ADs to drive the discussions with the Excom!!
• Coordinating with the Club Sponsors to help facilitate the basic educational sessions in the beginning and to push participation for first 3 months.

Awards

CLUB AWARDS

​

• Eligibility: Any Toastmasters Club of District 92

​

• Criteria: Date of Open House, picture of Open House Session in progress along with promotion material used has to be submitted within 15 days of organizing the session.

Following number of members to be added within 60 days of conducting Open House Session.

​

Gold - Minimum of 10 members to be added in the next 60 days of the Open House.

Silver - Minimum of 8 Members to be added in the next 60 days of the Open House.

Bronze - Minimum of 5 Members to be added in the next 60 days of the Open House.

​

1. Addition of new, dual and reinstated members all count towards the award

• Eligibility: All Active Clubs of District 92

• Criteria: Add 8 new, dual or reinstated members from 1st July - 30th September 2025
• Award - Club Executive Committee Pins for 8 Club officers
• Presentation of Award : Shipped to clubs directly

Diamond Award

​

• Eligibility: Those Clubs of District 92 who have won Smedley award in the past 2 years

​

• Criteria: Make a hattrick of winning streak - Smedley Award - Clubs who have been winning the TI Smedley Award for the consecutive 2 years and this year stand a chance to create a hattrick

• Criteria: Clubs that have minimum 10 members renewed by 15th September 2025 / 15th March 2026

​

• Eligibility: All Active Clubs of District 92

• Criteria: Clubs that have minimum 20 members renewed by 15th September 2025 / 15th March 2026

Early Renewal - Power of 20

​

• Eligibility: All Active Clubs of District 92

• Criteria: Awarded to 1 club per division
1. Retains 70% or more members in both renewal cycles (Oct–Mar, Apr–Sep) - (as of 31st October 2025/30th April 2026)
2. Has the highest retention percentage in the second renewal cycle (April–September 2026)
3. Minimum Final Strength: 20 or Base+5

Titan Award - Retention Excellence

​

• Eligibility: All Active club of District 92

​

• Criteria: Add new/dual/reinstated members with the start date between November 2025 - January 2026 till March 2026/September 2026

What’s New?

Introducing a one of a kind “Club Credit System” in which the clubs get specific credits for adding members and after the deadline - they get a chance to redeem their credits by buying club merchandise from Muskurado (our official vendor)

• Momentum Award – Level 1 - Add new/dual/reinstated members with a start date between Nov 2025 - Jan 2026 and payments made till Mar 2026 300 Credits
• Momentum Award – Level 2 - Add new/dual/reinstated members with a start date between Nov 2025 - Jan 2026 and payments made till Sep 2026 700 Credits

Super Club Award

​

• Eligibility: Base Clubs with 12 or less members or new clubs chartered on or after 1st March 2025 and did not achieve Distinguished Status in the 2024-25 Program Year
• Criteria:
• Phoenix Spark Award : For clubs reaching Distinguished/Select Distinguished status
• Phoenix Soar Award : For clubs reaching President’s Distinguished/Smedley Distinguished status

• Deadline : 30th April, 2026
• Presentation of the award: Coronation 2026 (for clubs which achieve the criteria by 30th April, 2026 & the clubs who achieve it by 30th June, will receive the awards directly)

Phoenix Award

​

• Eligibility: All Active Clubs of District 92

​

The navigator club : A strong club (20+ members) supporting struggling clubs having 13 to 19 members and low-impact meetings

• Criteria:
• The navigator club should support at least 3 months ; 12 meetings
• Minimum 4 members from navigator club to support , mentor members etc.
• The club assigned a navigator club has to become a Distinguished Club by 30th June, 2026

• Deadline : 30th June, 2026
• Presentation of the award: Coronation 2026 (for clubs which achieve the criteria by 30th April, 2026 & the clubs who achieve it by 30th June, will receive the awards directly)

• Eligibility: All Active Clubs of District 92

• Criteria: Top 3 Clubs in the district which :
1. Conduct maximum 2 joint meetings per quarter with minimum 2 or maximum 4 clubs — 2 clubs (5 pts) , 3 clubs (6 pts), 4 clubs (7 pts)
2. Exchange minimum 3 role takers per meeting — 5 pts
3. Co-host one educational session/new member induction — 2 pts
4. Attach poster picture and/or meeting picture — mandatory
5. Bonus : Include one new club — 5 pts
6. Bonus: Struggling Club (8-12) or (13-19 Member Club) in Rendezvous — 7 Pts

Commitment Champion Award

​

• Eligibility: Any member of District 92

​

• Criteria: Successfully complete the requirements of a CIC volunteer by supporting the club for a minimum of 3 months or 12 meetings

1. Super CIC - Foundation : Make the club distinguished or select distinguished in the program year 2025-26
2. Super CIC - Guardian : Make the club president’s or smedley distinguished in the program year 2025-26

• Deadline : 30th April, 2026
• Presentation of the award: Coronation 2026

​

PS : Award will be directly shipped after coronation for the ones who meet the criteria by 30th June, 2026

Super CIC

​

• Eligibility: Mentor of any new club of District 92 that got chartered on or after 1st March 2025
• Criteria: Should ensure the club achieves Distinguished or above status in the program year 2025-26.
• Platinum - If the club achieves Smedley’s Distinguished status. (For the PY 2025-26)
• Gold - If the club achieves President’s Distinguished status.
• Silver - If the club achieves Select Distinguished status.
• Bronze - If the club achieves Distinguished status.

Note: The Club President should acknowledge the efforts of the mentor via the form which will be shared from the CGD office

​

• Deadline : 30th April 2026
• Presentation of the award: coronation 2026.

Club Mentor Champion Award (New Club Support Award – Mentors)

​

• Eligibility: Any member of District 92

​

• Criteria:
• Any member who identifies a Club Lead in the territory of District 92
• The club needs to be chartered in 2025-26 Program Year
• The “Notify a Club Lead” form needs to be filled by the member
• The member can also request for a Club Sponsor role and be actively involved in the club chartering process

• Presentation of the award: Coronation 2026

‘LEAD’er Award

AD/DvD AWARDS

​

• Eligibility: AD or DvD of D92 who has charters at least 1 new club in the in the first 90 days (September 30th, 2025)

​

• Criteria:
1. First 12 clubs chartered in the 2025-26 Program Year to be considered
2. The AD/DvD must have played an active role in chartering of the club regardless the source of the lead
3. The club should renew for the April - September 2026 renewal cycle during the 2nd term renewals

​

• Deadline : 30th September, 2025 (for chartering the club)

• Presentation of the award: Trophy to be presented at Coronation 2026

Expansion Trailblazer Award

• Eligibility: AD or DvD of D92

​

Criteria

• Term 1 : 70% member retention in Oct–Mar
• Term 2 : 70% member retention in Apr–Sep

• Deadline: 31st October 2025/30th April, 2026

​

• Presentation of the award: Trophy at Jamboree & Coronation

​

Retention Radiance Award

​

• Eligibility: AD or DvD of D92
• Criteria: No net club loss

​

1. 8% membership growth = Bronze
2. 10% membership growth = Silver
3. 12% membership growth = Gold

​

(Based on payment growth over Area or Division Base at the start of the year)

​

• Deadline : 30th April, 2026
• Presentation of the award: Trophy to be presented at Coronation 2026
