Angela-These individual monthly meetings are with the supervisor, there may be more than one supervisor at an affiliate so all supervisors should attend the meeting. In some cases, affiliates might like to have their lead parent educators attend also. That would be wonderful. The more affiliate leadership is involved the better informed they will be about using their data to improve practice.

Each meeting should include a review of the past months and year to date data, covering the service delivery data at a minimum. If an affiliate missed another type of Essential Requirement such as staff meeting or advisory committee meetings then that data should be discussed also. Visit Tracker has an APR report that can be run. This would cover all the Essential Requirements. The affiliate would have a month-by-month view of how they are meeting or not meeting all the Essential Requirements.

Please invite all affiliates who missed one or more Essential Requirements to meet with you individually. If you are a state office and this is not possible for you, please reach out to your PATNC implementation support provider and work out a plan that specifies who will support which affiliates.

Start by November, October is better, and meeting through at least May. First meetings should start by November, so affiliates have plenty of time to make changes in service delivery to meet all Essential Requirements.

Angela-Feel free to get started now. You can begin planning your approach this month. You can reach out the affiliates who missed Essential Requirements on the APR and invite them to fill out the success plan. Begin scheduling those meetings and invite affiliates to participate.

Tatiana provided a list of affiliates who missed at least one Essential Requirement. You will notice on the spreadsheet that there are columns to enter the dates affiliates were invited to participate, if they accepted, and when the meetings were held.

Please report to me the number of affiliates invited and the number of affiliates that accepted individual meetings by November 14^th. You can fill out the spreadsheet and send it to me. At the end of the project, send the completed spreadsheet so we can track who received Target Fidelity and how it is impacting their data.

If you are providing additional support such as group meetings, please include that in your report to me. We want to know what activities are happening.

There are intro letters, agreements and meeting plans provided to make the process simple. There is an invitation letter you can cut and paste or adjust to suit your style, to an email inviting the affiliate to participate in the TFP.

There is a welcome letter and agreement the affiliate can sign so they know what to expect during the project. We also have plans and records. Plan for week number one introduces the project, give space to establish rapport, gives the affiliate time to talk about their data system, their missed ERs and review the success plan. The plan is to be used as a guide to walk you through the process. There are reflective questions embedded in the plan to aid your discussion.

The plans are for your use they can be adjusted to suit the affiliates needs and your relationship with them. You probably already have relationships with the affiliates, and this may not be the first time you have done TFP with them so some of the suggested parts of the plan would not make sense in those situations. There has been some controversy on the signed agreement, so it is up to you if you want to use it. If you find it helps with understanding and commitment, then feel free to use it but it is not required.

At a minimum, meetings should review the service delivery data and any other Essential Requirements the affiliate may have missed. This is a key piece of the program. Reviewing their data ensures a knowledge of how well the program is doing to ensure families are getting the visits, screenings and assessments they were promised.

Discuss the strategies they are using to make improvement in their practice. These strategies should relate to the goals they have set on the success plan and address the Essential Requirements that were missed.

Meet at least 6 times. If you start now and meet monthly until the end of the program year that will be more than 6 times, but we are asking for a minimum of 6 because we know things happen.

Share how improving service delivery helps families. Share why we are reviewing the data. It is not just to give them something else to do. It is not about checking a box. It is not about only looking at the numbers. It is about ensuring families are receiving the full services that they signed up for and deserve. It is about helping the families meet the outcomes they are promised by the Parents as Teachers model.

Record the dates of each meeting. This will give us additional data to help us understand the effectiveness of the program.

To go along with the great data check guidance that Denise just shared with us, Parents as Teachers also provides helpful documents that you can access through Canto.

The TFP Sample Intro email letter is a great way to begin the TFP relationship process with your affiliates. Definitely adapt it to suit your needs and the needs of your affiliates, but it’s a helpful start on how to introduce TFP to programs.

The Essential Requirements Success Plan Worksheet is a goal setting sheet that highlights the parallel process and encourages organization of TFP targets into SMART goals. As we know, goal setting is an integral part of the Parents as Teachers process, and it can be just as effective when implemented by programs themselves.

The TFP Sample Agreement is a great way to set expectations of both sides to ensure clear understanding of what TFP is and increase commitment from programs.

Going back to the parallel process, the TFP Meeting Plans function in much the same way that the Foundational Visit Plans do in the sense that they work to foster a relationship as both sides connect, reflect, and agree through the meeting.
