ACADEMIC COURSE

MANAGEMENT TOOL

  • PURPOSE:
    • Create new courses to be added to the Course Catalog
    • Request that new courses or existing courses be approved for the new University Core Curriculum

  • DATES AVAILABLE:
    • Spring New Courses: August prior - May afyer
    • Summer New Courses: October prior - August after
    • Fall New Courses: January prior - December after

Access Troubleshooting

  • Browser: Internet Explorer is not a recommended web browser for this application

  • Connecting off campus: Connecting to the ACM Tool from off campus requires a VPN network connection

Authorized users will use their NetID and Password to access the ACM Tool

Determining Role Assigned

Click on your name to view your assigned role(s).

If you have no roles, you will only be able to view forms on your dashboard which you have created.

If you have a role, i.e. Department of Theology, you will be able to view all forms with subject codes which fall within your role. They will appear in your open, pending processing or closed tabs.

WHICH FORM DO I USE?

Are you creating a new course which has never existed in the University’s Course Catalog?

Use the New Course Form

Are you creating a new course which has never existed in the University’s Course Catalog and also would like to have this course reviewed by the University Core subcommittee for one or more University Requirements?

Use the New Course Form

Are you creating a new course based upon a course which already exists in the University’s Course catalog for the purpose of creating crosslisted sections of the course in CourseLeaf?

Are you requesting that a course that already exists in the Course Catalog be reviewed by a University Core subcommittee?

Creating a NEW COURSE: Term Code

Default will be set to the next future term but other choices available in dropdown menu

Creating a NEW COURSE: Campus, Subject, Course Number, Title and Division

IMPORTANT: Always enter your subject and course number first. Division will automatically populate for undergraduate courses. Campus will determine the campus code of the students allowed to register for this course.

Creating a NEW COURSE: Depart., College, Credit Hrs, Grade Type, Long Title and Description

Dept and College fields will auto-populate based upon your subject and course number.

NOTE: If you want your course to have an exam room assigned, you will need to choose ZTST as an attribute for the course. All new sections will inherit this attribute and get an exam room.

Creating a NEW COURSE: Repeatable Courses

If choosing Yes for Repeatable, the standard option would be “No limit” for both.

Creating a NEW COURSE: Additional Course Fees or Expenses

If you choose Yes for Course Fees, the Office of the Registrar will follow up pursuant to the guidelines above.

The dropdown course listing is limited to courses which are already in existence. Please use Comment field below to have the Registrar add co-requisite requirements to courses which are still in the process of being created.

Up to three separate University Requirements may be requested when creating a new course. Additional may be requested once course is created using the separate University Requirement form.

Creating a NEW COURSE: Comment Field

Intended audience is the reviewing dean, subcommittee member, registrar, etc. Examples of helpful comments:

  1. simple changes needed after initial submission, i.e. typos
  2. identifying co-requisites by subject and course number
  3. identifying any cross-lists by subject and course number
  4. identifying course level restrictions or pre-requisites that should be added to the course

Creating a NEW COURSE: Approvals

Submitting the form by the Department or Instructor acts as the department’s approval of the request. Other required approvers will be listed as above. If a submitted New Course Form included requests for University Core requirement review, then separate New University Requirement Forms will automatically be generated for the relevant University Core subcommittees after the dean’s office approves the New Course Form.

Use the New University Requirement form for adding a University Requirement to a course which is already in the course catalog. Use a separate form for each University Requirement you want to add to a course

University Core Process Summary

Step 1. New University Requirement Form submitted – Each University Core subcommittee gets a daily email if there are any ACM forms pending their review.

Step 2. New University Requirement Form reviewed – Each University Core subcommittee then chooses one of the following actions.

(a) post comment(s) which will trigger an email to the original submitter or previous commenter. (The subcommittees are asked to be as detailed as possible in their comments – especially if a submitter's response is needed.)

(b) leave the form “as is” in the “Open” tab if the subcommittee is waiting for additional materials or revisions

(c) click on Approve or Decline as appropriate.

Step 3. New University Requirement Form decision reviewed by forwarded – The chair of the Core Curriculum Committee sees the subcommittee decision, post comments if needed, and clicks on Approve or Decline. This triggers another email to the original submitter, and the New University Requirements Form moves to the "Pending Processing" tab.

Step 4. New University Requirement Form processed - The Registrar's Office implements the approval/decline decision in the University’s records and codes cross-lists as approved as appropriate. This triggers a final Change of Status ACM email to the original submitter.

Dashboard

Based upon your role, the dashboard displays courses from your assigned department or dean role. Use your dashboard to check on the status of the New Course or the New University Requirement forms you have submitted.

Timeline:

  1. User completes New Course form including any requested University Requirements (alternatively, one user can create New Course and another user can later create separate New University Requirement form);

  • Dean notified of New Course request, accesses ACM Tool and approves course;
  • Separate New University Requirement forms are generated for each UR requested (if applicable);

  • Registrar adds course to Course Catalog;
  • Overnight refresh required before course will appear in CourseLeaf;

  • Core Subcommittee(s) review New University Requirement form(s) (if applicable) and approves or declines;

  • Core Chair reviews New University Requirement form(s) (if applicable) and approves or declines;

  • If approved, Registrar will code the course with Way of Knowing attribute(s).
