Accessible template
You should start with an accessible template but your PowerPoint will only be accessible if you keep it accessible.
Review ribbon > Check Accessibility
Adding ALT text
Right-click (or on Mac control-click) on an image, figure, or group to "Edit ALT text".
ALT here means alternative text. You must describe why an image is on the page if the page content and caption don't already describe the purpose of the image. Images can also be "decorative" which just means that their only purpose is to be eye candy.
ALT text – words in images
If there are words in an image, every word must also be found elsewhere on the page, in a caption, or in the ALT text.
Arrangement order
The arrangement order is the screen reader order. It is read from the bottom of the list to the top. To check/arrange, go to Home ribbon > Arrange in right of ribbon > Selection Pane and put slide content in order from the bottom: Title, Placeholder Text, Other text, Images, Captions, and then anything else at or near the top.
Export PDF
Export PDFs for better accessibility.
Avoid Print to PDF.
And provide the native PPTX as well for better accessibility.
Check Outline mode
Change your view in the menu with:
View > Outline View
You should see titles and your main text content on the left.
Change back with View > Normal
Unique Titles
No two slides can have the same title. Every title must be unique.
Copy/Paste Slides
Copy/Paste Slides to make your own slides. This copies the goodness.
Always Be Checking
Check your accessibility as you work.
It is much easier to do a little accessibility every hour than when you're rushing just before a presentation.
Ask for Help!
Reach out to chandler@vt.edu or the TLOS Accessible Technology team for help, confirmation, and questions.
There are also Professional Development classes on PowerPoint and Document Accessibility (Word).
