Before You Start

Key Considerations for Managers

✦ NEW THIS CYCLE

  • Digital Twin AI provides individualised customer recommendations — your Reps’ plans reflect these AI-generated call frequencies.
  • For the Digital Twin Plans you need to Approve / Reject each individual change made by the Rep, not just their overall plan.

Your Role

Review each Rep’s proposed changes to their call plan

Approve or Reject changes individually

Check that your Reps’ Adoption Rate stays above 90%

Use the Change Log to understand what was changed and why

Review your consolidated team view after completing all Reps

Caution

It is recommended that you review Reps’ changes after they have submitted their plans

Rejected changes revert automatically — the Rep does not need to undo them

If you reopen a plan after approval, the Rep must resubmit before you can act again

Reps can reopen and resubmit at any time, even after your approval

Follow these steps in CEX360 to review, approve and manage your team's plans

Login and navigate to your Team's Adapted Plan

See which Reps have submitted — editing, submitted, approved

GETTING STARTED

Login to CEX360

Go to main.cex.solutions and sign in with your corporate email

How to Log In

Open Google Chrome and go to:

main.cex.solutions

Enter your corporate email address and click Sign in

You'll land on the CEX360 dashboard

If you log in but see no features, contact your admin — you may not have a role assigned yet.

Accessing the relevant plan to work on

After login, use the top navigation menu to reach the Team Planning area

How to Navigate

In the top menu bar, click Planning

In the dropdown, click Team

Select the plan for the next cycle to work on

1. Click Planning

💡 Tip: In the list of Plans you can see the current plan to work on as well as past Cycle Plans you were part of. Use the filters to restrict the list only to what is relevant at any moment in time

Understanding the Master Plan guidance changes

About the Master Plan

Provides a view of the “ideal” plan, before Rep refinements

By Segment and consolidated

Customers recommended by DT are treated as a segment called Digital Twin

💡 Tip: The Master Plan section provides an overview, you can skip it and focus on the Adapted plan, where you will do your review work.

Traditional Segments

One frequency is set per segment — all customers in that segment get the same target frequency prepopulated in their plan.

Digital Twin Segment

Each DT customer has their own individualised frequency, set by the AI. The plan guidance shows the average across all DT customers.

Read-only in Plan Guidance

DT frequencies in the guidance table are not editable. Reps adjust them customer-by-customer in the Customers tab — and must provide a reason.

DT Has Priority

If a customer appears in both a traditional segment and Digital Twin, they are treated as a DT customer — DT takes priority.

Browse a Rep's customer list. See DT-recommended customers (✦), reasons for change, and the change dashboard.

Summary

STEPS 3–4

Review the Change Log and Change Details sub-tabs. This is where you Approve or Reject individual changes.

Use the top-left selector to choose the perspective from which you see the plan

  1. Select yourself (1) to view the plan consolidated at your level – no action is required at this level
  2. Select a Rep territory (2,3,..) reporting to you – to view and review the respective Rep’s plan

Check Plan Statuses

Adapted Plan → Status Tab — see every Rep’s current status at a glance

What to Do

Go to Adapted Plan → Status tab

Focus on Submitted plans — these are ready for your review

Editing

Rep is still working on their plan. You cannot act on it yet.

Submitted

Plan is ready for your review. Approve / Reject buttons are visible.

Approved

You have approved the plan. Rep can reopen to make further changes.

Rejected

You have rejected one or more changes. Plan reverts accordingly.

Start reviewing the submitted plans. Select a Rep from the top left selector, review their plan, then move to the next one.

Reviewing Capacity

Use the position drop-down to switch to a Rep’s view, then check their vacation days

Reps cannot modify the number of Calls per Day, they adjust their capacity by specifying the number of days allocated to vacations and other type of activities.

  • You will see the consolidated capacity of your team
  • For each entry - i.e. vacation days – the displayed number represents the average across your Reps
  • Vacant positions do not contribute to the capacity

SELECT A REP

  • You will see the particular capacity for that Rep
  • Each entry represents the adjusted number of days assigned to a specific activity
  • Check that adjusted days allocation per entries reflect your expectations and discussion with the respective Rep

STEP 2

Review the Customers Tab

With the Rep selected — review their customer list, changes and plan vs guidance

What to Look For

DT customers (✦ star icon) — confirm key ones are targeted

Use 'Recommended = Yes' filter to see DT-only customers quickly

Check reasons for change — visible next to frequency updates

Review the Change Dashboard alongside the Plan Dashboard for a summary of additions, removals and frequency changes

Identify any gaps: customers who should be targeted but are not

You are in read-only view when looking through a Rep’s perspective — you can see everything including reasons for change, but you should not edit frequencies or add/remove customers on their behalf.

STEP 3

Review the Change Log

Adapted Plan → Summary tab — understand what the Rep has changed before you act

The Change Log shows only that Rep’s changes — every addition, removal and frequency update, with the reason provided and the date made.

WHEN TO USE

Use this view when reviewing a specific Rep’s plan before approving or rejecting their changes.

Yourself Selected

Consolidated team change log

The Change Log shows a concatenated view of all changes made by all your direct reports — useful for a team-wide overview of deviations from DT recommendations.

WHEN TO USE

Use this after reviewing all Reps individually to see the full picture across your team.

Each change entry shows:

Customer name (✦ if DT) · MDM code & brick · Specialty · Change type (Added / Removed / Freq Update) · Date · Reason for change · Rep name

Read through the Change Log before moving to Change Details — understanding the reasoning behind changes helps you make better approve / reject decisions.

Approve / Reject Changes

Summary → Change Details sub-tab — select changes then act on them individually or in bulk

How to Approve or Reject

Select a Rep from the position drop-down

Go to Summary tab → Change Details sub-tab

Tick the checkbox on one or more change rows

Approve and Reject buttons appear — click to act on selected changes

Repeat for all changes until none remain as Pending

You can select all and bulk-approve/reject if appropriate.

Rejected changes revert automatically — no action needed from the rep to undo them.

STEP 5

Review Your Consolidated Team View

Switch back to yourself to see team-level statistics and overall plan health

How to Access the Team View

Use the position drop-down and reselect yourself (your manager position)

Go to the Summary tab to see team-level statistics

Review the consolidated Change Log to see all changes across all Reps

Check that the overall Adoption Rate % is healthy across the team

Change Log

Consolidated view of all changes across all Reps — scroll to spot any patterns or outliers.

Adoption Rate %

Team-level acceptance of DT recommendations. Flag Reps with low rates for follow-up conversations.

Plan vs Guidance

Summary tab shows how the team plan compares to Master Plan guidance at segment level.

STEP 6

Approve the Rep’s Plan

Summary Tab → Approve/Reject button — notifies the Rep that their plan is approved/rejected

Accept/Reject Plan

After all the changes have been approved / rejected, you can Accept or Reject the Rep’s Plan.

Once all Rep plans are approved, your Manager can Finalise the Team Plan — which locks all plans and prevents any further reopening.
