1. Send a message: Messages > Add New Message

Enter message title - Make this about 5 words or less

Enter message body - The most important sentence should come first.

Select audience - Who gets your message? Is it the entire school or specific groups?

Schedule Message - Plan ahead and send the message for a future date and time! Leave blank if the message goes out right now.

2. Update App Content: App Setup > Schools/Orgs

Update Banners - Upload photos of your school or promotional banners to personalize your page and match your school culture and branding

Click Upload Image. The image content should be centered because all phone screens are different sizes, and you don’t want content cut out. Text should be large, and our recommended image size is 400 x 200.

Enter a link to make a tappable banner

Click Save

Update Resources - When you add a new resource or form, send a message to families or upload a banner to promote it.

Click the section you want to edit to expand

Click the + icon to add more links; Click the trash icon to delete old links

Toggle a section on/off to turn it on/off the app without deleting

Click the Remove icon to delete an entire section

Click Add Custom Menu Item to add a new section. Create a name and choose an icon

Update Contact Us Section - Tap to call, email, and find the school on a map.

Edit contact information, including phone number, email, address, website, hours of operation

4. Manage Groups: App Setup > Groups

Add New Group - Create a new group by clicking the Add New Group icon in the top right corner

Enter Group Name, Description

Choose visibility:

  • Public Opt-In: Families choose to join the group.
  • Public Opt-Out: Anyone who follows your school will be added to that group. Families may opt-out.
  • Private: Org admins assign families to groups. All families will get calls/text/emails but only verified app users will get app messages.

Upload a Group Banner > Click Save

Update Groups

Click the trash icon to delete old groups

Click the pencil icon to edit existing groups name, description, and group banner

5. Manage Admins: Users > Admins

You may create admins at the level below your own. If you are a School Admin, you can only create Group Admins. If you are a District Admin, you can create School and Group Admins. If you need to create an Admin at or above your level your own, contact your ReachWell administrator or support@reachwellapp.com..

Add New Admin - Create a new Admin by clicking the Add New Admin icon in the top right corner

Enter email, first and last name, state, and organization.

<Contact Sync Schools Only> Toggle off chat functionality, if you don’t want this admin to have chat capabilities with families

Click Save

Update Admins

Click the trash icon to delete old admins

Click the pencil icon to edit existing admins’ profiles

3. Manage Calendar in Google

Your school should have a family-facing calendar synced to the app.

When adding events to the calendar, make sure it is on the family-facing calendar, not in your own personal calendar.

Have about 2-5 events a week.

Fill out all event details, including time, location and description.

Components of a Great Message on ReachWell

We’ve done the research, and our analytics show that schools who send messages to families regularly have the most subscribers.

Research shows that sending three messages a week can increase student outcomes.

Not sure what to send messages on? Parse out your weekly newsletter into digestible notifications. Families prefer reading several 30-second to one-minute push notifications over the course of a week, rather than an entire newsletter once a week.

  • Get teacher engagement

Families are the most engaged at the classroom level. They want to hear from teachers on what students are learning and what is going on in the classroom. Train your teachers to send weekly ReachWell messages to families to keep them up-to-date.

  • Most important information first

If a family only reads the push notification, but does not open your message, be sure they get most of the information they need. Make your first sentence count! For example, “Conferences are on Friday, February 7th from 3:30-6:00 PM. Make sure you have signed up for your time slot. If you haven’t yet, click here.”

  • Add personality with gifs, emojis, and photos

Messages don’t have to be just informational! Families get more engaged the more personality your messages show. Insert photos and gifs directly into your message.

  • Send actionable instructions

Do you want families to take action on your message? Tell them in the subject! Subject lines like “Tap to View” and “Click Here to Sign Up” get higher open rates.
