Sponsor Benefits & Event Day Best Practices

Event day is one of the most visible opportunities to deliver the benefits you promised sponsors and make them want to come back next year.

Before your event:

  • Review & track each sponsor’s committed benefits
  • Confirm all names & logos early, verify their guidelines
  • Communicate event day details and confirm who will be attending

Sponsor Benefits & Event Day Best Practices

Before event day, you also need to consider that you can’t be everywhere on event day - assign a specific staff member, committee members, or trusted volunteer to serve as a liaison.

Their role should include:

  • Greeting the sponsor representatives as they arrive
  • Helping sponsors locate and set up their space
  • Answering questions and troubleshooting
  • Walking the event and checking in with sponsors
  • Making sure promised event-day benefits are being delivered
  • Serving as a primary point of contact throughout the event

Sponsor Benefits & Event Day Best Practices

Sponsors participating on event day should receive clear logistical details before they arrive. Ideally, share this information 1-2 weeks before the event and send updates as needed.

Key details to communicate

  • Event date, schedule, and recommended arrival time
  • Parking and unloading instructions
  • Where to check in and where their booth will be located
  • What is provided vs. what they should bring
  • Day-of contact name and phone number
  • Any event-specific expectations or restrictions
