Logging In and Navigation

Logging In�

Open your internet Chrome browser and go to the following site: your country name.primero.org

To log in first to Primero/CPIMS+ you will need a username and password (should be either assigned to the user by the System Administrator or check your email and use the Welcome email in your inbox and go to step 1 and 2). Click in the username box and type in your unique username. Then, enter your password in the field below in Step 3. Afterward click the Log In button.

Note: If you work for Save the Children, International Rescue Committee, Terre des Hommes, UNICEF or UNFPA you will be able to log in without this information and you can click directly on your user organization if you see it on the list.

Navigation Bar��

The navigation is the gray bar on the left side of the screen in which you can navigate to your home page (or dashboard), cases, incidents, tracing requests and exports. It also includes links to support, to your user profile and the log out button. At the bottom of the navigation you can switch languages.

The Home Page button is where you can quickly find information about the cases you have access to.

At the bottom of the Navigation, there are links that bring you to pages that allow you to logout of the system, help to manage your account and contact information, as well as find out who you can contact for help.

Support

When you click on “Support”, you will view three sections:

  • The 1st section is “Contact Information” which provides you with the contact details of the System administrator.
  • The 2nd section “Terms of Use” will allow you to see CPIMS+/Primero Terms of Use that was signed by your agency.
  • The 3rd section provide you with the code of conduct that you need to respect when using CPIMS+/Primero.

Your User

When you click on your user name (1), you will have a preview of your user information. You can edit this information by clicking on “edit” (2).

You can change the language, password, phone number, services provided, position within your organization and location (3).

After making changes please make sure to click on the “save” button.

You cannot change your user name nor your role or user group within CPIMS+ Primero. If your role within CPIMS+ changed (for example from case workers to supervisor) you should contact the system administrator to update your role.

Email Notification

Email notifications need to be ticked for CPIMS+ to send you notifications to your email inbox about the following:

  • Cases assigned, transferred or referred
  • Requests from other users to transfer one of your cases to them
  • Managers approvals and requests for manager approval

Log Out

Click logout when you want to leave the system.

If you are using the system offline, please do not click on log out until you are connected to the internet and the modifications you made are synced into the online system.

Case Workers Dashboard

When you click “Home” the cases dashboard appear on your screen.

The dashboard provide a preview of the number of cases you are responsible for, where each case is in its workflow and a summary of the approvals you have sent and received from your supervisor. The dashboard provides workers an easy way to monitor their daily work, scheduled activities, and flagged cases.

Supervisors and Managers Dashboard

In addition to the overview and approvals, the dashboard includes:

  • Number of cases shared from the team with the supervisor team for purpose of referrals, pending or rejected transfers.
  • Number of cases shared by the supervisor with their team for purpose of referrals, pending or rejected transfers.
  • Number of overdue tasks by case worker.

The manager’s dashboard monitors workloads and follow up. The incident monitoring dashboard provides aggregates, tracks issues for follow up.

Quick Access to Cases Under a Dashboard Category

When you click on a certain category this will give you quick access to the corresponding cases under this category.

Example if you wish to go to the high risk cases, you click on “High” under “Cases By Assessment Level”, you will be directed to the 6 cases you have that are high risk.

Overview�

  • Cases by Assessment Level: Give you a preview and a quick access to cases by their level of risk whether high, medium or low.
  • My Cases: Gives you a preview and quick access to the total open cases you have and the new ones or the one you recently updated.
  • Shared with Me: Give you a preview and quick access to the total cases that were referred, the new referrals and the new transfers that await you to accept them into your caseload (unlike assignments, transfers must be either accepted or rejected by recipients).
  • Shared with Others: Give you a preview and quick access to the total cases that you referred to others and the transferred cases you made to other agencies that are still pending the recipient's approval and the one that were rejected by the recipients.

Workflow�

Gives you a preview and direct access to cases by the step of case management in which they are in. For instance, if you want to go to the cases that are in the case plan phase, you click on the corresponding number under this category.

Approvals�

Let's the case worker know whether their manager has approved their case assessments, case plans or case closures that they submitted for approval.

In the example below, the case worker has 8 case plan submitted for approval: 3 are pending the supervisor approval, 0 were rejected by the supervisor and 5 were approved. The case worker can click on the 5 Approved cases, and he/she will be directed to the list of these 5 cases.

Search for a Case

  • Before registering a case, verify the child has not been registered by another case worker by searching for the child using CPIMS+.

To search for a case or several cases with a similar element:

  • Go on cases preview
  • In the search box on the top right of the screen, type in an element of the case such as the case number
  • Click on the magnifier symbol or press “enter” on your keyboard
  • The case or cases you are looking for will appear in the preview

Saving Filters/Deleting a Saved Filter

Users can save filters for future use:

Flags serve as reminders to case workers to perform tasks or for case workers to reply to their supervisor flag. To put a flag on a case:

  1. Go on the case
  2. Click on flags
  3. In section “Add new flag” input your comment
  4. Pick a date

Flagged cases in cases preview appear with a small symbol of a flag and a number. The number indicate how many flags are on a specific case.

From Cases, you can filter cases by flagged:

  1. At the bottom at the “Filters”, click on “More”

You can only remove a flag that you created. A flag created by another user should be removed by that user.

To remove a flag:

  1. Go to the case
  2. Click on flags
  3. In “flags” click on resolve button.

Creating a Case: Checking for Duplicate

You can search for the unique case ID of your case to see if there is a case with the similar case ID. Enter the ID and then click search. In case of duplicate the system will take you to the suspected duplicate case. You will need to call the agency managing the case and clarify whether it is an actual duplicate or not.

  • If the case is not a duplicate, make sure you have the required consent of the child and caregiver as agreed in the Date Protection and Information Sharing Protocol.
  • Please make sure not to select field on which you did not get the consent of the child and caregivers yet.
  • Select the fields on which you received consent and than click on “create case”.

Consent form

The consent/assent of the child and family need to be provided prior to the case management process. On the consent form in CPIMS+ Primero, the consent needs to be provided separately for each of the following aspects:

  • Consent to participate in the case management process
  • Consent to share non identifiable data and information for reporting
  • Consent to collect and store personal information about the case
  • Consent to disclose information for tracing purposes for unaccompanied and separated children
  • Consent to share information with service providers

Field Formatting

Some fields have formatting requirements.

Error messages for these fields will appear at the top of the form when user attempts to save.

Some fields, like “Case ID” are filled in automatically. If you move your mouse over these, your mouse will become a “Not Allowed” symbol. This is okay. You do not need to fill in this field.

“Refer” means temporarily giving the other user access to your case.

Once a case is closed, you can reopen it by clicking (1) “Actions”, (2)“Reopen” and then clicking (3)“OK” in the confirmation modal. Once a case is reopened, the status will change to “Reopened.” This status will occupy the place in the Workflow Status Bar formerly occupied by the “New” status.

Managers can add notes to a case workers record as well to provide feedback on a case. All notes appear under the “Notes” form.

You cannot delete a case in CPIMS. The alternative to deletion when a case is incorrect or if the child or their caregivers request to remove their file is to disable the case. In order to disable a case:

1. Go on the case preview

The recipient can click the on the Referral, and then either Accept or Reject the Referral. If they Reject, they will lose access to the Case.

Once the recipient has accepted the referral, they can implement the service in one of two ways:

Users can perform an External Referral by clicking the button at the top of the page, then clicking the Refer action OR can go to the services form and create a service as mentioned in slide 114 and 115.

Check the box for Are you referring to a remote system? Note that this changes which other fields appear in the modal. For Type of Recipient, select whichever option best describes the person you will refer the case to.Note that this will affect which forms appear in the external referral PDF export.

Add details about the type of service and who is providing it. Leave a note about the referral. Click Refer. A PDF file will download, containing information about the Case. You can print this out and give it to the Service Provider.

Clicking on this number next to one of the three categories (assessment, case plan and case closure), the manager will then be taken to a list of all cases with pending approvals for this specific category. They will all be marked with an alert (yellow dot).

After a transfer, a new user manages the case, and the old user loses access to the case.

Only supervisors and managers can transfer a case.

From the case preview, select (1) “Action” than (2) click “Transfer Case”

(3) If you are doing the transfer outside CPIMS, tick the box next to the first question.

(4) Make sure you have the consent to complete the transfer and then click on the box next to the second question.

Upon login, the new case worker user will see the “Transfers Awaiting Acceptance” in their dashboard under “Shared With Me” in the “Overview Section”.

Assignments vs Transfers

“Assignments” are essentially the same as transfers, except that the receiving user in an assignment does not have the option to accept or reject the new case. In an assignment, the case belongs to the new user no matter what.

Situations Where Alerts Appear

Alerts appear in any of the following situation:

  1. When you request approval for assessment case plan or closure. The alert will appear on the designated form. Once the approval is provided by the supervisor, the alert disappears.

  • When the supervisor adds a note to the case an alert appears. Once the note is reviewed and the case edited accordingly, the alert disappears.

  • When another user edits a service provider sub form, you receive an alert. Once you edit and save the case the alert disappears.

The Case Log Tracks all changes made to a case as well as the name of the users that made those changes. Changes can include updating fields, adding forms or actions such as submitting or receiving approvals.

To access the case log, from the case preview:

Exporting cases

  • To export information from CPIMS+ follow these steps:
    • Click on Cases in the header navigation bar.
    • Check the box(es) for specific case/s. If you are exporting one case you can go into the case itself. Not selecting any case is equivalent to selecting them all.
    • Click on Actions in the anchored header bar.
    • Click on Export.
    • Choose the type of export and create a password and a file name.

Making a Case Available Offline

In order for a case to be available offline, the user need to make sure they opened while they were still logged in and online. These cases will appear in black (1)

The cases that were not open when the user was online will appear in gray (2) and won’t be accessible while the use is offline.

Note: we are building a functionality in 2022 that will allow you select multiple cases from a case list and save them as available offline.

  • While other roles will see numbers which reflect all cases in the system.

Reports are better for:

  • Relatively few attributes
    • Example: “How many cases are at each step of the workflow, at each agency.”
  • Large number of records

Exports are better for:

  • Analyzing data over time

  • A large number of attributes and conditions
    • Example: “For each governorate, of the cases without a case plan, how many are high risk or have more than five vulnerabilities?”

Tips for avoiding export problems:

  • Instead of including all fields in your export, use the Custom Export feature to only include the fields you need.
  • DO NOT export all of the system’s cases at the same time. This may crash Primero.
    • Instead, for large exports, try exporting about 100 or so Cases at a time.
  • Avoid running exports during peak usage times (working hours).
