Poly X50 or Poly X30 Videoconference Unit

  1. Before a scheduled virtual meeting turn TV on, ensure

Poly X50/X30 HDMI is connected to the correct TV HDMI.

  • Ensure Poly X50/X30 videoconference unit is on and plugged into both a power source and an ethernet wall jack port.

Click on “New Meeting.”

    • This will start a Zoom meeting immediately

Invite Participants:

    • Once the meeting starts, click on the “Participants” button.ďż˝
    • Then select “Invite” to send an invitation via email, copy the meeting link, or dial out to someone by phone.ďż˝

Tip: This option is ideal for last-minute meetings or for staff who do not have a licensed Zoom account.

🛡 2. Get Meeting Information

  • Click the green shield icon in the top left corner of the screen.
  • This will display the meeting ID, passcode, and security settings.

📤 3. Share Content

  • Select “Share Content”.
  • Instructions will appear on both the TC8 controller and the TV monitor to guide you through the process.

đź’¬ 4. Access More Options

  • Click “More” to access additional features such as:
    • Chat
    • Breakout Rooms
    • And more settings

🎛 5. Adjust Volume, Camera, or View

  • Use the “Volume, Camera, and/or View” options to customize your meeting experience to your preference.

⏺ 6. Record the Meeting

  • Select “Record”.
  • You’ll be prompted to enter an email address where the recording will be sent after the meeting ends.

1. Invite Participants

  • Click “Invite” to bring others into the meeting.
  • You can invite participants by:
    • Selecting contacts already listed
    • Sending an invitation via email
    • Dialing out by phone

Inviting Participants to a Meeting:

  1. Email Invitation:ďż˝
    • Click on "Invite."ďż˝
    • You can either:ďż˝
      • Enter the participant’s email address to send the invitation directly, orďż˝
      • Send the invitation to your own email address and forward it manually using your regular email service.ďż˝
  2. Phone Invitation (Dial-Out):ďż˝
    • Select the phone icon.ďż˝
    • Enter the phone number of the participant you wish to invite.ďż˝
    • The system will call them, and they can join the meeting via audio

*Participants who join the meeting by phone, whether dialed out to or calling in themselves, will have access to audio only and will not be able to view video content.

How to record in-meeting : Recording admin and education meetings to the cloud

  1. Select “New Meeting” on TC 8 Controller or Select a scheduled meeting on the TC8 controller (Only If you are the host you can record.)
  2. Hit Record on TC 8 Controller
  3. Start an instant meeting or scheduled meeting on your Zoom Room controller
  4. Tap Start Recording on your controller:
      • If you are in an instant meeting you will be prompted to enter the email address where the cloud recording link will be sent.
      • If you are in a scheduled meeting, the cloud recording link will be sent to the email address of the host that scheduled the meeting.
  5. To stop the recording, tap Stop Recording or tap Leave and then tap End meeting for all.

*Clinical Sessions should not be recorded*

Chat Display Options in Zoom meeting

  1. When you are in a “New” meeting or you selected “Join” to join an existing Zoom meeting.
  2. Select More.
  3. Select Chat.
  4. To change the chat panel on the screen press gear at top (next to “x”) and enable Show full Chat panel on TV.
  5. If you are the host and you want to chat using your laptop instead of the TC 8. Log into scheduled Zoom meeting mute mic and lower volume to eliminate feedback. Select “Stay co-host”

Sharing Content: Select Share Content and follow instructions on TV and/or TC 8 controller

Screen sharing via share.zoom.us in Zoom Rooms

You can visit share.zoom.us to share content from your laptop or mobile device to the Zoom Rooms display. Alternatively, you can also use direct sharing, Airplay, or wired HDMI video capture to share content from your laptop or mobile device to a Zoom Room.

  1. Start or join a meeting in a Zoom Room.
  2. Tap Share Content on the Zoom Rooms controller.
  3. Open a web browser on your laptop or mobile device and visit share.zoom.us.
  4. Enter the meeting ID or personal link, then click Share Screen. You can also click Enter a Sharing Key.
  5. When prompted, allow your web browser to open Zoom.
  6. Select the screen or application you want to share, then click Share.

Share Content

Sharing Key is used for an offline meeting, a participant who doesn't have the Zoom desktop app installed or the participant does not have a Zoom account. Follow Share Content instructions on screen and/or TC 8 controller if you want to share content in the meeting. Sharing Key is found on main screen or when you select share content.

Device Mode

  • On TC 8 controller, swipe left
  • Select Device Mode.
  • Next screen is BYOD (Bring Your Own Device) follow instructions that appear on TV and/or TC 8 controller.

Details for the three ISC Virtual Sessions are sent by email. On the day of each sharing circle, Zoom information will appear on the TV screen and TC8 controller a few minutes before the session begins.

How to “Join” a Let’s Talk First Nations Community Health Session

  1. Check the Equipmentďż˝
    • Make sure the TV and Poly X50 are plugged in.ďż˝
    • Ensure the Poly X50 is connected to the ethernet wall port.ďż˝
  2. Before the Sessionďż˝
    • A few minutes before the session starts, meeting information will appear on the TV monitor and TC8 controller.ďż˝
  3. Join the Meetingďż˝
    • On the TC8 controller, tap “Meeting Info.”�
    • If a passcode is required, you can find it in the email sent by Sarah Doucette.ďż˝
  4. Confirm Connectionďż˝
    • Once connected, check that the other participants can see and hear you clearly.ďż˝
