  • We specified we did not want Esploro to publish to our (live) PrimoVE until we turned it on. But we are currently publishing to Primo anyway. Have ticket open with FL consortium.
  • At present, we're predominantly focused on researcher and organizational management and harvesting research outputs to build our repository. The next phase will focus more on development of Esploro's researcher profiles and RIM functionalities.
  • We are implementing Esploro. The go live date is schedule to January 2023.
  • We have other systems for ETDs, projects, grants, activities and Research Resources.
  • We would like to use Smart Harvesting, but the initial test didn't yield very good results. Hence, we haven't tried again. We would like to see better functionalities to support data sets and linking between asset types in the Researcher deposit form

Any comments regarding your use or non-use of letters in Esploro?

  • Not decided yet.
  • We just aren't ready for the letter stage yet. But I'm sure I'll use some, but not all of them.
  • We think the Research ORCID Letter would be more useful if it explained exactly what updates were made to the researcher's profile. More generally, we think it would be ideal if researchers could manage their notification preferences directly from their researcher profile without staff intervention.
  • The letters have been switched off as feedback from researchers has indicated they are considered spam.
  • The Research Deposit Action letter was turned off as the newly entered theses records that generated this letter, were not showing up in time in the portal for this letter to be useful. Recipients thought we were sending them junk mail.
  • We've had lots of problems with the letters and are very careful about turning them on.
  • Letters are confusing and problematic. It's hard to know exactly what's going to go out, when. Hard to test.
  • The extended time it takes for a new ETD to appear in the public repository renders the link to the thesis in the Researcher Approval Notification Letter broken, so we stopped sending out this letter.
  • We tried to set up approval notification letter, but we encounter difficulties to get the right format. We had to wait for Esploro's response. Then, the person who was dealing with this left the university. I find the process of configuring functionalities in Esploro are time-consuming.

In what ways would you like to customize the interface?

  • It would be nice to be able to re-arrange elements of pages - like for each page of the Researcher's profile. To be able to move those elements around to match what researchers encounter as they are filling out information.
  • Ability to add custom CSS
  • It would be great to be able to have a a full text editor available as well as the ability to remove the search option at the top left hand side of the screen. This is irrelevant for us and provides a very poor experience for users who wish to use a screen reader.
  • An advanced search option is notably absent and its re-instatement has been requested by users of our repository.
  • The ability to provide a customisable pop-up cultural advisory notice would provide a safer and more inclusive experience for Traditional Owners or Indigenous researchers and users alike.
  • Downloads statistics. Download statistics for each paper. Furthermore, search results can not be exported.
  • Would like to be able to manage the css

  • We would like to apply the style of our Institution to have the same look and feel across the ILO website, Primo and Esploro.

For cultural safety reasons, I would like a pop-up with a cultural advisory statement to appear when users enter the front page of the public repository. I would like there to be a tick-box for all publication records where a pre-populated cultural safety warning can be activated (ideally, by the author).
  • The ability to configure the position of elements on the page. For example, to move the thumbnail to a different position - maybe left center & right.

Are you tracking any non-traditional scholarship/assets in Esploro? If so, are there additional needs for these assets that are not currently built into the platform? Please explain.

  • Yes. Centers, Trusts, and all the other offshoots from the university produce many assets that aren't linked to any one individual. Also, Researchers submit Theses & Dissertations also. These submissions are not the same as ETD's issued by the university.
  • webpage/online article - this is different than blogs and podcasts, written as an article, but not actually published in a newspaper or journal.
  • We need the ability to host a portfolio of Non Traditional Research Objects
  • Allowing a different submission form for NTRO vs research assets would provide more flexibility in customisation.
  • Missing types for NTROs
  • We will accept any kind of file. We would like to get more creative works into the system.

  • No, but we have historically allowed researchers to deposit more than one version of an asset. However, we've found version control in Esploro somewhat lacking. For example, in order to make their work available as quickly as possible, some might start by depositing their author's original, followed months later by their accepted manuscript, and finally (if allowed by the publisher) the version of record. However, our previous repository included a workflow that allowed researchers to submit new versions of a previously deposited work and merge them into one record. In Esploro, these versions appear in the portal and in researcher profiles as separate records (often perceived as duplicates). We've tried to link multiple versions using asset relationships but the results have been less than satisfactory.
  • We have a very awkward workflow for CDs. There's no asset type for audio recording, so we have it in as a musical performance, which is not ideal.

Do you have any assets that require restricted access (beyond embargoes)? If so, how are you managing access (e.g. IP, user authentication)?

  • IP access but would like to see options similar to authentication in Primo VE so that the same user experience can be expected.
  • Items under copyright - users have to login; Passworded collections - don't know; I haven't gotten to them yet.
  • No, we typically only use embargoes to restrict access. We have not yet encountered a scenario requiring more granular restriction by user group or IP address.
  • Yes. It's classified material and saved on a closed network.
  • yes, through Single-on, VPN authentication.
  • Not yet, but we anticipate some datasets that will require a Data Use Agreement.

  • Have used temporary links however had problems. We're planning to use URL key for ERA (in development).
  • We have copyrighted materials that we make undownloadable. It was a struggle getting this to work.

What resources would you find useful as you implement and maintain your Esploro platform?

  • Centralized discussion that isn't email-based.
  • A configuration dictionary/database of some sort. Just something to help me find where the config table/code table/label table for something is located.
  • More community workshops on practical applications and best practices, more timely responses to support tickets, and more careful review and testing of new features prior to release.
  • A faster response from the Support Team.
  • To have more in-depth training about Esploro.
  • Definitions of asset types. More granular information about roles and permissions.
  • View of read-only configurations for users without admin roles.
  • Examples of what others have done. Perhaps a showcase of what's possible.

  • A support centre that was significantly more responsive and had significantly more product knowledge. The Support team try their hardest, but are frequently hampered by the lack of lack of communication from developers regarding the development stage of newly rolled out functionality. Newly released functionality that is not faulty, but works properly.
  • Improved documentation
  • Webinars on how to implement a Esploro functionality and what the benefits are; not just to show what new functionality is available as it is currently given in the Release Webinars.
  • Analytics has so much potential, but there is no enough training for someone who doesn't have knowledge on Oracle.

What topics would be helpful to discuss broadly across the Esploro user base?

  • Smart harvesting, campus collaborations, analytics and reports.
  • I'm too new to have an answer to that yet.
  • At the moment the topics we're most interested in include smart harvesting/smart expansion, researcher management (particularly previously affiliation researchers), version control, and organizational management.
  • The very slow indexing in Primo, difficulties in promulgating Esploro content to other services such as Worldcat and Unpaywall, lack of useful metrics on the portal pages and the inability to extract information from the portal by members of the public.
  • Smart Harvesting and Researchers Profiles, Non-controlled vocabulary vs controlled language.
  • It'd be great to hear more about others experiences with the ORCID and WOS integrations. Also how they are using Collections, Projects, Activities, Media Mentions, etc.
  • Known issues reported by other institutions.
  • OAI-PMH harvesting, cultural safety, integrations, searching capability.
  • Make Data Visualization more open in terms of functions. Many of the functions, like the Data Flows or AL/ML, are unavailable to us. These functions can help us validate and import more assets and publications.
