What to expect for meets

  • Coaches will share the lineup the day of the meet (Tuesday or Wednesday, depending on the meet day)
  • Parents are responsible for ensuring their swimmers know what events they are swimming, and for getting them to the correct event and lane for their events. Coaches will help but cannot wrangle all 75 swimmers ☺ We recommend printing a copy of your swimmers’ meet sheet (will be emailed to you).
  • In case of weather, we will send all communication through SwimTopia. If you have the app, you’ll get a notification. If you do not, you’ll get an email.
  • If the meet is called before event #46 is completed, the meet has to be re-scheduled. The meet will then be started on the next event where we left off and swim as before with regular heats until event #86.
  • Ages 5-6 are typically done early, but everyone else should expect to stay through 9:30-10pm.

Required Volunteer Roles

  • One parent/guardian for each swimmer is required to work a shift for every meet your swimmer attends. You are exempt from this if you stepped up to one of the main volunteer roles! THANK YOU!
  • Available roles:
              • Concessions – home meets only; selling food/drinks in the concessions tent alongside our Concessions co-leads.
              • Place Judge – sit on one end of the pool and call out the finishing places. You sit next to a place judge from the other team and write on a scorecard.
              • Timer – stand at the end of the race and time each swimmer with a hand-held timer (hit start & stop). Involves walking back and forth at the pool sometimes, depending on number of timers. Write the time on the timer sheet and hand to the runner.
              • Runner – Runs the score cards from place judges along with corresponding timer sheets to the scoring table so the times and places may be entered in the computer system for scoring the meet.
              • Ribbons – sit at the ribbons/scoring table sorting and marking each place ribbon with a sticker as the score cards come in and filing them by swimmer.
              • Score Keeper – sit by the ribbons/scoring table reconciling the score cards as they come in and providing them to the computer data entry people.
              • Event Board/Starter – flip the Event # according to the meet flow, and hit the horn to start the races once the Announcer says “Swimmers take your mark.” Easy, peasy! You get to be under a tent ☺
              • Breakfast for Coaches – Coaches have a long, full day on meet days. We love to bring them breakfast (CFA biscuits, fruit, bagels w/ cream cheese, etc.) that they can eat during practice that morning. Please bring enough for all 5 coaches by 9am!
  • We will not be able to have meets without every single role filled. If you cannot commit to a role, please find a replacement (adult/guardian/babysitter willing to help)
