What is a Preference Form

  • The VP of Learning’s office will announce electronic preference forms are available
    • This email usually comes from Sara Mercado on behalf of Amy Shields
      • If you do not receive the form, contact Sara at mercadse@matc.edu
  • This form is filled out by you, the faculty,
    • On what courses you would like to teach
    • On what days you would like
    • At what time of the day
    • At what campus you prefer

How to complete the preference form

The form starts with indicating your name and pathway(s)

Then asks if you would like a teaching assignment in the upcoming semester

Here is an example for Spring 2025

The form will then ask you for your 1st choice

How to complete the preference form

It will then ask in what modality you would like to teach the course, for example, face to face, online, virtual, blended/hybrid

Then it will ask if you would like to enter a 2nd preference

You will want to enter a 2nd preference if:

    • Your first choice is not available
    • You wish to teach more than 1 class
    • You do not have enough seniority, and the course is granted to someone else
      • See slide 14 on seniority Then it will ask if you would like to enter a 2nd preference

It will then continue to ask you unlimited number of preferences in the same format

Again, the more choices you indicate, the better the odds of receiving a course

The form will then ask when you are available to teach.

It will go through each day of the week, and asks the times you are available for each day, including Saturday

Make sure to indicate am/pm

The form will then ask Part-Time Faculty how much load you are interested in accepting.

Part-Time Faculty up to 49.9%

Load examples to hours:

25% load is about 8 hours of work per week

39.9% is about 12.8 hours of work per week

And 49.9% is about 16 hours of work per week

*Refer to your lead faculty for more specifics on load percents and how it relates to the course you want to teach

The form will then ask you to list the campus you prefer to teach at

Put the campus in order in which you want. The first listed should be your first choice.

If you do not list the campus, you will not be assigned to that campus

How to complete the preference form

The form then asks if you are willing to teach at Workforce Solution Section

These assignments offer concurrent high school credit, employer-requested courses for the Workforce Solutions department, or courses for the Wisconsin Department of Corrections (2nd Chance Pell). Such teaching assignments may involve extra or different responsibilities.

Finally, there is a section to add any additional comments, information, etc.

Due dates for preference forms

  • For Fall Semester
    • Preference forms are released to all faculty 1st Friday of February
      • Full-time preference forms are due 2nd Friday of March
      • Part-time preference forms are due 2nd Friday of April
  • For Spring Semester
    • Preference forms are released to all faculty 1st Friday of September
      • Full-time faculty preference forms are due 2nd Friday of October
      • Part-time preference forms are due 2nd Friday of November
  • For Summer Semester
    • Preference forms are released to all faculty 1st Friday of September
      • Full-time faculty preference forms are due 2nd Friday of October
      • Part-time preference forms are due 2nd Friday of November

What happens if I am late or fail to complete a preference form?

If you are late in submitting reach out to your AD and faculty lead informing them you want an assignment and ask them the next steps

Preference is given to those faculty that have submitted on time

If you fail to complete the form you may lose out on a teaching assignment

How are classes assigned?

Faculty leads will strive to meet the top preferences of part-time faculty via longevity; however, you may be assigned any course, campus, time, or day that is designated on the preference form.

Faculty leads will notify part-time faculty via email when assignments are available for review in the Self-Service portal

How are classes assigned?

  • Priority is that full-time faculty get load
  • Unfilled assignments then go to either part-time faculty or full-time faculty who are available to accept overload
  • Full-time faculty indicate availability to accept overload by submitting the Part-time Faculty / Overload Preference form in addition to their Full-time Faculty Preference form

Full Time Overload vs Part Time Assignment

Full-time faculty with more full-time longevity than a part-time faculty will have priority to an assignment

Part-time with more longevity will have priority to an assignment over FTF overload

“Bumping”

Changes in assignments are done that minimizes “bumping” while balancing the rights of the students with those of the faculty.

The faculty lead will promptly notify faculty of all teaching assignment(s) changes.

Problem with a teaching assignment once assigned

Five or More Days Before the Start of the semester

Faculty will be assigned to another class according to longevity and the preference form

Within Five Days Before the Start of the Semester

One of the following options in the order listed:

1. Offer another class to the faculty if a class is available

2. Bump the least senior teacher assigned to the same course based on longevity according to the preference form

3. If feasible, assign the class as an independent study

4. Bump the least senior teacher assigned to a different course based on longevity according to the preference form

5. Provide remuneration for the assignment(s) canceled: a. Payment of $250, or b. Receive 10% of the compensation for that class, whichever is greater

Problem with a teaching assignment once assigned

Semester Has Started but before the section has meet

One of the following options in the order listed:

  1. Offer another class to the teacher if a class is available.
  2. Provide remuneration for the assignment(s) canceled: a. Payment of $250, or b. Receive 10% of the compensation for that class, whichever is greater
