COMMUNICATION

EMAIL

  • Google email is the primary DOE digital communication platform. Check your DOE Google email during the work day.

REMIND

  • Administration shall use Remind to send school announcements to parents. Remind shall be used to send time sensitive and urgent messages to staff. Please encourage parents to sign up for Remind. Staff are also encouraged to subscribe to Remind.

SCHOOL WEBSITE

  • School website shall be updated to post school announcements and procedures.

SOCIAL MEDIA

  • The school Instagram and Facebook accounts shall post pictures to highlight school events and to celebrate students.

COMMUNICATION

BETWEEN TEACHER AND PARENTS

  • DOE Google email is the official digital communication platform provided to teachers for communication with parents. If the teacher chooses to use a different platform (e.g. Seesaw, Classroom Dojo, text messages) to communicate with parents, then the teacher shall ensure parents have access to the platform.
  • Student planner can be used to communicate with parents (Grades 1-5)

  • If you have a new phone number and address, please fill out our change of information form that your information has changed. If you are unable to come to the office, we can update the information if we can verify who is providing the updated information.

STUDENT ATTENDANCE

Infinite Campus

  • Input attendance in Infinite Campus by 8:30 AM. The attendance auto-call will be sent after 8:30 AM. Counselors regularly review attendance data. (Teachers can also keep an attendance record book for their own documentation.)

Definition of Absent

  • The student is not physically present in school for more than half the school day.
  • Students who leave school before half the school day is over (e.g. 10:00 a.m.) should be marked ABSENT on Attendance for that day.

Definition of Tardy

  • The student arrives to school after 7:50 AM.
  • Students who arrive AFTER attendance for that day has been taken, but before half the school day is over (e.g.10:30 a.m.) should be marked tardy.

Absence Notification Procedures

  • 3 absences: Teacher contacts parent regarding attendance procedures/policy and documents it.
  • 6 absences: Teacher and counselor contact parent regarding attendance procedures/policy and documents it. Counselor sends attendance letter 1.
  • 9 absences: Teacher and counselor contact parent regarding attendance procedures/policy and documents it. Counselor sends attendance letter 2 and schedules attendance meeting with parent, teacher, and social worker (if available).
  • 12 absences: Administrator, teacher, counselor contact parent regarding attendance procedures/policy and documents it. Counselor sends attendance letter 3 and schedules attendance meeting with parent, teacher, administrator, and social worker.

HEALTH & SAFETY

WHEN TO STAY HOME

  • Symptom: Fever
    • Students should stay home from school until they’re fever-free for at least 24 hours, without use of fever-reducing medication.
      • A fever is defined as having a temperature of 100.4 degrees or higher.
  • Symptom: Vomiting
    • Students should stay home if a student is vomiting. Students can come/return to school if the student is no longer vomiting and if there is no accompanying fever or other symptoms that impact the student’s ability to participate in learning activities.
  • Other Symptoms
    • If a student DOES NOT have a fever, but has mild symptoms, the student can come to school. Mild is defined as not impacting the student’s ability to participate in learning activities.
    • Other symptoms include: minor chest discomfort, chills, cough, decrease in appetite, diarrhea, fatigue (tiredness), headache, muscle or body aches, runny or stuffy nose, sneezing, sore throat, weakness, wheezing, etc.
    • If the student is feeling unwell due to allergies, an emergency action plan can be created that specifies what the school will do when ill. The action plan will specify when a child should be sent home if feeling ill.

WHEN STUDENTS NEED TO BE PICKED UP AT SCHOOL DUE TO ILLNESS

  • When students are feeling ill and are not well enough to participate in learning activities, teachers will have students go to the Health Room to be screened and monitored.
  • Parents/Emergency Contacts will be called when students have a fever and/or have symptoms that impact their ability to participate in learning activities.
    • When picking up students, report to the office first and they will then you will be directed to the Health Room.
    • We understand parents/guardians might need time to leave work or find an adult who can pick up students. However, please do not delay the pick up so students are not waiting for extended periods of time (e.g. 2 to 3 hours later).

STUDENT ABSENCE NOTIFICATION PROCEDURES

Reporting an Absence

  • Call the school office between 7:30 AM and 8:30 AM. (808-307-6000)
  • Submit a letter to the school office or your child's teacher regarding the absence. When reporting an absence, include your child's full legal name, reason for absence, and date(s) of absence.
  • If your child will be absent from school for an extended amount of time (e.g. family trip), please submit a letter addressed to the principal stating your child's full legal name, reason for absence, and dates of absence. The letter can be provided to the office, your child's teacher, or counselor
    • We highly discourage students from going on trips when school is in session unless it’s due to an emergency. Trips for vacation should be taken during school breaks and holidays. Homework is not a sufficient way to make up for the loss of instruction your child will miss when taking a trip.

RETURNING TO SCHOOL AFTER AN ABSENCE

Re-admit Slips

  1. Students who return to school after an absence should get a readmit slip.
    • For absences due to a non-medical reason, get a readmit slip from the office.
    • For absences due to a medical reason or illness, get a readmit slip from the Health Room.

Morning Drop Off Procedures

Admin, custodial, support staff and EAs shall be assigned to areas of campus for school supervision. Teachers will remain in their classrooms.

Kindergarten/1st Grade

  • Parents are welcome to walk onto campus and drop off student(s) at the classroom or cafeteria (for breakfast). However, parents should not remain with student once the adult supervisor is present at the classroom or the cafeteria. If student is dropped off at cafe for breakfast, adult supervisors in the cafe will monitor students and younger students who need escort assistance shall be taken to class.

2nd Grade/3rd Grade/4th Grade/5th Grade

  • As a school, we are promoting independence. Therefore, students will walk to their classroom and cafe independently. No parents/guardians are allowed on campus accept for Kindergarten and 1st Grade.

Pick Up/After School Procedures

  • All students will be picked up at the classroom from either parent, guardian, sibling or authorized adult.

  • Students may be released unaccompanied from the classroom if consent is given.
  • Students will be picked up at the classroom from either parent, guardian, sibling or authorized adult.

Any student not picked up by parent/guardian by 2:15pm will need to pick up student at the front office and sign student out.

Breakfast Procedures

  • Breakfast is served from 7:05 AM to 7:40 AM.
  • Students can enter the cafeteria from the back entrance
  • Only students are in the cafeteria to eat breakfast. This is a safety procedure to prevent Stranger Danger and keep student safe as they eat.

CHAPTER 19

The purpose of school-administered discipline is to:

  • Promote and maintain a safe and secure educational environment;
  • Teach and acknowledge proper behavior which is beneficial to the educational process and self-development;
  • Deter students from acts which interfere with the purpose of education or which are self-destructive, self-defeating or anti-social; and
  • Maintain proper student conduct to ensure that educational activities and responsibilities remain uninterrupted.

Teachers shall have a classroom management plan (e.g. classroom rules and consequences) and reinforce the 6 Pillars of Character to establish behavior expectations. It is highly recommended that teacher establish two-way communication with parent, especially to notify them of Chapter 19 offenses.
