Tour Managers

Entourage Management Tour Managers will keep the group organized, on schedule, and in the loop from the time you leave the school until the time you return. Our tour managers will facilitate stops throughout the trip, meal breaks, hotel logistics and more!

PARENTS STAY IN THE LOOP

Not only will our tour managers ensure everything is running smoothly at home, they will also communicate with parents at home throughout the trip. You can expect to receive text updates, photos and video links.

Fuel Surcharges

Fuel costs remain one of the most unpredictable variables in travel and transportation planning. While current pricing may be stable at the time of booking, fluctuations in the energy market can occur quickly and without warning. As a result, suppliers such as airlines, motorcoach companies, and other transportation providers may implement fuel surcharges after initial pricing has been confirmed.

In these cases, any additional fuel-related costs imposed by the supplier may be passed along at a later date. This ensures that services can continue to operate without interruption while reflecting real-time operating expenses. Although every effort is made to provide accurate and inclusive pricing upfront, fuel surcharges are outside of our control and are subject to change based on market conditions.

We are committed to transparency and will communicate any such adjustments as soon as they are received. Travelers will be notified promptly, along with details regarding the amount and timing of any additional charges. Currently, we are seeing 9-12% fuel surcharges.

Entourage provides snacks & bottled water on board the coach.

You can expect to see a variety of chips, cookies, crackers & fruit chews.

We will do everything possible to avoid treats containing peanuts and tree nuts should we have any allergies on board.

Participants are welcome to bring along additional items – but please exclude snacks with nuts and dairy.

Disney Imagination Campus

See what it’s like to live the life of a Disney entertainment professional! At Disney Imagination Campus, their Performing Arts curriculum and performance opportunities let participants experience first-hand what it’s like to be a Disney entertainment professional.  

Students will have the invaluable experience of practicing, learning, and performing in unfamiliar settings and in front of new faces. They will learn from real working artists in the industry. This refreshing break from the normal routine provides exposure to other perspectives while serving as a positive and empowering reminder that when it comes to working in entertainment, one must expect the unexpected! Disney hopes to inspire performers with a glimpse of just how far they can go – while creating magical memories and learning valuable lessons that will last a lifetime.

Guestroom Accommodations

410 sq. ft./37 sq. m., one HDTVs, microwave, refrigerator, sofa bed, Wi-Fi.

This spacious suite offers two queen-sized beds and a separate living space with a trundle sofa bed. Prepare and store snacks with an in-room microwave and mini-refrigerator.

Occupancy Options

Students will have the option to select from double to quad/quin occupancy at the hotel. Participants will share existing bedding at the hotel of:

Two (2) queen beds

One (1) sofa trundle bed

If you choose a double or triple occupancy package, you must have pre-selected roommates that sign up at the same occupancy level.

For quad/quin occupancy, students will sign up for roommates at a later time.

We’ll Keep Our Eyes On You!

Private Security will be provided at the hotel to monitor the room block from the hours of

11:00 pm – 5:00 am (or as appropriate for the group’s final schedule.)

Security guards will ensure that students remain in their rooms on their appropriate floors, do not disturb other guests with excessive noise, and receive help quickly should an emergency occur during the night.

We will ensure that the room block is arranged so an appropriate number of chaperone rooms are located on each floor with the students.

Friends & family�Theme Park Tickets

Friends & Family traveling to Orlando separately from the group can purchased theme park tickets through us. Participants will be notified at a later date when they can add tickets to their accounts.

Disney 3-day Starter ticket $362.00 per person

Universal 1-Day Park-to-Park $175.00 per person

Additional family tickets must be paid in full by November 13, 2026.

We will email families regular reminders. Once we place our ticket order we will not make additions.

Trip Pricing

$2,199.00 per student, quad/quin occupancy

$2,270.00 per student, triple occupancy

$2,439.00 per student, double occupancy

Initial pricing will be based on a minimum of 40 participants per bus. It is possible that the group may go into a waitlist as we process registrations for the final coach. We will clear waitlists as quickly as possible!

We will monitor fuel surcharges and make any necessary adjustments to pricing prior to the final payment for the trip.

Chaperones

$1,939.00 per chaperone, double occupancy

$2,419.00 per chaperone, single occupancy

Chaperones will be invited to register for the trip after the student registration period has been completed. You can indicate your interest to chaperone on your student's registration form. Chaperones will be assigned 8-12 students to oversee. Chaperones must participate in all parts of the tour and travel with the group for the entirety of the trip.

Payment Schedule

$150.00 per person deposit + trip cancellation coverage

Due at time of registration, no later than May 15, 2026

(Enhanced Trip Cancellation Coverage must be purchased within 10 days of your initial payment. Cannot upgrade at a later time).

Installment payments of ~10% of your balance will be due on: June 12, July 10, August 7, September 4, October 2, October 30, November 27, 2026; January 1, and January 29, 2027

Final Balance

Due February 26, 2027

It is expected that you will follow the payment scheduled outlined for the trip. Payment reminders will be emailed to you 3 days prior to a due date and 3 days after a due date. Families must continue making scheduled payments while waiting for any fundraising funds to be applied.

Participants that fall 2 payments behind without communication with the Entourage Management Team are subject to cancellation from the trip. We are a flexible bunch, but you MUST communicate with us if you fall behind on payments. We are unable to make financial commitments on your behalf if you account is not current.

Please note that due to the WHO announcement on March 11, 2020, declaring COVID-19 a pandemic, COVID-19 is considered a foreseen event. As a result, certain coverages will not apply.

Online trip registration is to be completed by a parent / legal guardian. Do not use a student email to set up your account.

Registration is not complete until all required information, signatures, deposit payment and optional insurance premium are collected.

Space is first come, first served with deposit payment!

You can sign up for payments to automatically draft per the payment schedule. You will receive an email notification 3 days prior to any payment processing.

Crowdfunding & Donations

An Omella Crowdfunding opportunity will be available to all participants on the trip. Students can tap in to the power of social media and the internet. Participants will have the option to activate a contributions page. A customized trip request will be created for them and an email campaign will be sent to their choice of individuals to ask them for their support.

100% of funds raised will apply to their travel account. Funds raised will be transferred to their school account should a participant cancel on the trip (less any applicable penalties.)

Participants will also have a personalized donation link available on their registration account that can be distributed to friends and family. Donations made through this link will appear on your account immediately.
