Why knowledge management?

What (project) knowledge do you need to manage?

  • Information/documentation: data, code, deliverables, logs
  • Resources: budgets, people, assets, infrastructure, time
  • Risks: safety and security, ethics, finances, relationships, data quality and reproducibility (and loss), fraud, theft, acts of nature
  • Communications and expectations: PIs, partners, donors, policymakers, colleagues
  • 🡪 Tasks and timelines: Emails, calendars, meetings, deliverables, Gantt charts, Asana, Box, Drive, Salesforce… MyRA?

And we recognize that this is spread out all over the place!!!

What happens without knowledge management?

For example…

  • You forget to renew your IRB
  • You have no idea who is working on which version of the survey form
  • You can’t find the backcheck data or corrections from any survey wave
  • You lose access to encrypted files on Box, or even all files on Dropbox
  • You waste time reinventing the wheel and making the same mistakes

  • Chaotic transitions/handovers
  • Repeated mistakes and errors
  • Duplication of effort
  • Missing or poor documentation / code
  • Lost files (missing or encrypted incorrectly)
  • Lost valuable knowledge (project level and globally)

  • Enterprise-grade cloud-based file storage system
    • Box Sync for syncing files
    • Box.com for additional features (explained shortly)

  • IPA’s institutional file storage system
    • With unlimited storage and versions for all IPA users
    • Deleted files can be restored by IT team

  • PII must be encrypted through separate Boxcryptor software

Who has to use Box?

ALL files must somehow make their way onto Box

  • This includes research files/data, grants, operations, etc.
  • Of course, directly using Box works
  • PIs are permitted to use Dropbox if you first make a SkySync request to automatically sync files between Dropbox and Box

Who makes updates to Salesforce?

Depends on your Salesforce permissions!

  • All staff have a free Chatter license
  • All staff should have Global Help Desk access
  • RAs should keep project records up to date, and can check for grant deliverable information
  • RMs can manage projects and grants through entire lifecycle
  • All Country Directors are ultimately accountable for overall project/grant ecosystem

    • Adding the Box link to that MyRA file to your Salesforce project

  • It will help you locate helpful resources, avoid common mistakes, and organize your project for yourself and others (now and in the future)
  • It will also help you prepare for Research Quality Reviews, for which your project can be randomly selected!

  • We are currently conducting Research Quality Reviews on randomly selected research projects globally; new projects are selected each quarter!
  • RQR goals are to:
    • Document that all MMDs are completed
    • Provide project teams a push to increase MMD compliance
    • Develop RA/RC/RM skills for data quality
  • General tips for success:
    • Use MyRA checklists
    • Comply with IRB and data security protocols
    • Organize folders/files/versions
      • For surveys AND backcheck surveys
