  • It will be "Start Session," if it's the very first time

Click the arrow in the top right corner of the Target View toggle hiding the Target View (side bar)

Tips and Suggestions:

  • You can click on “Tree View” (in the Target View) to see a different organization of the targets (helpful when navigating the RBT Sub Plan or Behavior Plan)

Behavior reduction targets will appear in the bar on the bottom of the screen in the Pinned View

ABC data collection can be collected by clicking the ABC icon in the bottom right corner

Collect Session Data- Data Type

Duration Data:

  • If you want duration data on individual instances you must click “Graph Target” in the Analysis View after collecting Duration Data on each instance. Clicking “Restart Timer” will not graph the data.

Task Analysis Data:

  • Clicking the “eye” icon on the target will display all the steps in the task analysis
  • If you want to collect data on another opportunity of the Task Analysis you must click “Graph Target” in the Analysis View.

Collect Session Data- Comments

Additionally, on the Analysis View (side bar on the right side of the screen), at the bottom there is a section, “Comment”.

This provides an area for RBTs to add a comment to add additional information or context for the Behavior Analyst (or other student team members).

  • For example, a major incident may account for a change in behavior/data so it would helpful to document it as a potential consideration with looking at the data

To take ABC data in a session:

  • In a session, select ABC in Pinned View.
  • Select a Behavior.
  • Enter Antecedent information.
  • Enter Consequence Information.
  • Enter Optional Other Fields.
  • Select Submit.

To end data collection, click Graph All (near the top of the left side of the screen in the Target Panel)

  • You may have to click the “4 lines” icon to toggle hiding the Target View

DO NOT click the Stop button (i.e., square icon) unless you want to lose all data collection. Clicking the End Session Button will remove any ungraphed data from the system.

Verify the appointment information (e.g., Date of Service, Authorization, etc…)

  • If the Start time and End time is inaccurate make the corrections on the timesheet (not the Session Note) and document the discrepancy in the “Administrative Noes” in the Session Note
    • See next slide for more information
  • If the Date of Service is inaccurate, exit the timesheet and ensure you have selected the appointment on the correct date
  • If additional appointment information is inaccurate or an appointment is missing, follow your district policies to have these changes made before you complete the rest of this process (e.g., notify your Behavior Analyst).

*Note when changing the start and end time the physical schedule will not change. However the change in time should be reflected on your session note (and billing entry).

Converting Timesheet- Start/End Time Change

To change your start and end time:

  • On the timesheet, navigate to “Time Worked”
  • Change the start and end time to the correct time
  • When you navigate to the Session Note the change will be accurately reflected
    • DO NOT change the time on the Session Note
  • On the session note, be sure to document the discrepancy in the Administrative Notes

Complete the appropriate Session Note

  • Scroll to the bottom of the page
  • Choose one of the following: Mobile Progress Note or Browser Progress Note
    • Either version will work on both mobile devices and computers, but make sure to only complete one
  • If you are using a mobile device, click “Create session note” under SESSION NOTES. Then click “MOBILE: ABA Direct Services (RBT) IIS Progress Note with Signature”
  • If you are using a computer, click NEW NOTE (blue button), under “BROWSER: ABA Direct Services RBT (IIS) Progress Note with signature”
    • One exception is if you are converting the appointment more than a day after the services, you will need to use the Browser Progress Note whether you are using a mobile device or computer

Do not select “Select existing session note” or “SELECT EXISTING NOTE”

For a more detailed description of completing the Session Note, refer to the RBT Session Note slides

  • Included are steps for working on the session note throughout the session

Click Select Session Summary

  • Click Select Session Summary, mark the checkbox next to your session
  • If you are able to “Select a Session to Include Their Summary in The Note”, then in the next section, Manual Entry…
    • Check “Yes” that a Session Summary was selected
    • And type “N/A” in the corresponding text field
  • If you are not able to “Select a Session to Include Their Summary in The Note”*, then in the next section, Manual Entry…
    • Check “No” that a Session Summary was selected
    • Then manually enter some of the Goals/Programs, Data Recorded, and Data Collection Methods for the session
    • *This should rarely happen. Request for assistance if this consistently occurs.

Complete the remainder of the Session Note

After completing the Session Note, navigate to the Service Verification section.

Complete the required fields (highlighted in red)

Only complete the SERVICE VERIFICATION section after completing all other sections…

  • All other required fields need to be completed before completing the signature
  • The Note will lock once the signature is completed

The “Signature of DOE Personnel” will initially display the student’s name.

The DOE Personnel should click on that signature field (i.e., Signature of DOE Personnel) and enter their name for Person signing.

After collecting the signatures, click SAVE & CLOSE

Then click SUBMIT

If successful, appointment will display with a new pattern on the calendar view (i.e., diagonal lines)

If unsuccessful, correct any missing requirements

  • This can be checked by top left corner by clicking the triangle next to Missing Requirements

When you convert, if you receive an error there are a few common issues…

When receiving an error this can be checked in the top left corner by clicking the triangle next to “Missing Requirements”

  • Issue: “At least one note… must be added…”
    • Solution: Complete the missing notes in the Notes & Forms section
  • Issue: “units exceed the… maximum units authorized…”
    • Solution: Check the checkboxes for “Ignore these warnings and allow saving”

Incorrectly Converted Timesheet

If you input the wrong start or end times and complete converting the appointment, that appointment will be locked.

  • You will need to email the appropriate District point of contact
  • They will delete the timesheet
  • You will need to re-convert the appointment

This process will take time potentially creating delays in processing. It is important to ensure the information is correct before completing the conversion process.
