Accomplishments:

  • DA Granted Alberta society status
  • Carried out the 2023 AGM and board elections
  • Onboarded a practicum student from the U of A
  • Prepared a Strategic Plan for board review
  • Represented Alberta at the PSO meetings with Dodgeball Canada
  • Signed DA up with Not-for-Profit access to Google Workspace and Canva
  • Website Management
  • DA representative on the LOC for the inaugural DC Club Championships
  • Completed two online courses on board governance
  • Organized and carried out Provincials with board collaboration
  • Created and began collaborating with the Canadians (Nationals) subcommittee

Plans for the Coming Year

  • Managed a practicum student (completed)
  • Introduce a Provincial Cloth tournament (June 28th)
  • Fundraise for teams participating at Nationals to subsidize team entrance fees
  • Develop a fully formed strategic plan for further growth (completed)
  • Prepare and implement policies and procedures around board positions (roles and responsibilities, onboarding, etc.)
  • Research and develop granting opportunities for dodgeball programming
  • Continue building relationships with schools, community partners, sport organizations, to be able to tap into further growth for dodgeball

Provincials 2024

Director Reports

  • The 2024 Alberta Provincial Dodgeball Championships took place at the Sylvan Lake Multi Campus on March 16 - 17, 2024.
  • We saw 5 Women’s teams and 8 Men’s teams, from Edmonton and Calgary.
  • The livestream team came from Dodgeball.LIVE.
  • With a return to larger team allocations, Alberta sent 4 Men’s teams and 3 Women’s teams to Nationals.

Accomplishments:

  • Large Financial Decisions - oversight, input, and approvals (DA inventory, provincials, streaming and production, cloth combine, etc.)
  • External Communications - jersey suppliers, Dodgeball.LIVE, photographers, other PSO’s
  • Playerbase Communications - events/tournaments, AGM, Dodgeball Canada news, provincials information
  • DA Representative at meetings, tournaments, and events, particularly for fill in of President

Plans for the Coming Year

  • Provide oversight and decision making for National Championship Sub-Committee (alongside S&PD)
  • Execute a successful startup and buildout of the new ‘Director at Large - Volunteers’ board role
  • Execute a successful startup and buildout of the new ‘Director at Large - Youth & League Liaison’ board role
  • Seek and create opportunities for future dodgeball events in Alberta (alongside the Director of Events)
  • Create standardized Board onboarding procedure/checklist

  • Set up the framework for the new Dodgeball Canada National Championship Program, including a sub-committee
  • Hosted a Townhall & released a survey to gain player community feedback

Accomplishments:

  • Growth in engagement and following across social media channels
  • Paid Canva account to allow for brand consistency, creativity + efficient information flow

Plans for the Coming Year

  • Brand: update web + social media with new brand colours + logo, execute following standards
  • Social Media: more video content, social media liaisons in each community, active encouragement + engagement with team accounts
  • Calendar: more collaboration with other directors/areas to better plan

  • Organized player registration and assisted with planning the 2024 Alberta Provincial Dodgeball Championships
  • Maintained financial records, tracked expenses, and processed reimbursements for approved board and volunteer expenses

  • Collaborate with the President to identify and apply for grant opportunities

  • Created a standardized structure to catalogue and organize all Dodgeball Alberta files within the Google Drive repository
  • Compiled pertinent Dodgeball Alberta Society information into a central document for ease of access
  • Document annual process of maintaining Dodgeball Alberta’s society status
  • Document all Board meeting minutes and action items

  • Roll out quarterly newsletter
  • Contribute to the Strategic Plan development
  • Prepare and implement policies and procedures around board positions (roles and responsibilities, onboarding, etc.)

The bylaws are to be amended to remove the director roles and responsibilities and add them into a DA policy�

  • Move 7.1 to after 5.1
  • Move 7.11 to after 5.11
  • Remove 7.2 - 7.9 (added to the policy)
  • Remove 7.10 (If Directors at Large are expected to vote on matters, they should need to be present at meetings)
  • Rename Part 5 to Board Positions
  • Rename Part 7 to Dodgeball Alberta Sanctioned Teams

The bylaws state that the DA board positions will be 2 year terms. As we look to have an even split of board positions coming up for election on alternating years, DA is looking to allow the Director at Large - Events board position to be held until June 2026.

Process

Election

  • The Board position will be announced
  • Chair to call for any further nominations
  • Candidates will be introduced in alphabetical order by last name
  • Candidates will be given 3 minutes to speak; those not in attendance will have their application justification read out by the Chair
  • Acclamations will be shared first
  • Votes will be submitted via secure Google Form where they will be received and tabulated by the Teller
  • Chair will announce the candidate with the most votes; if majority is not achieved, a second vote will be taken
  • Once settled, this will be repeated in a separate ballot for the remaining positions
