Federal I9 - E-Verify Process

The Federal I-9- E-Verify process is mandatory for anyone employed in the United States.

Click HERE for important next steps regarding the completion of your I-9 Section 1 of the Federal I9 Process must be completed on or before the first day of employment.  Section 2 must be completed within three business days after your first day of work.  

If both sections are not completed, your employment may be terminated.

BE PREPARED when you arrive on campus: Review the government’s list of I-9 Acceptable Documents.  Immediately after receiving an official start date from the department HR partner, bring original and unexpired document(s) from List A or List B & C. Copies of documents are not acceptable.  Not having the correct or sufficient documentation can further delay or even terminate your employment.

Payroll

All employees are required to enroll in Direct Deposit.  The bi-weekly payroll schedule can be found HERE.

  • Hourly Student Workers: If you forget to punch in/out, please notify your supervisor immediately with an email. You will not be paid for incorrect punches or time that is not approved.
  • Graduate Student Assistantships are paid with a fixed rate and do not clock in & out.

Intended Purposes - for Student Workers

Hiring Managers: this document is a one-pager that hiring managers can share with an open announcement to students who may be interested in employment. Student employment is secondary to their primary purpose as a student, therefore total hours during the academic year cannot exceed 20 hours/week for undergraduate or 29 hours/week for graduate. It is important students are prepared with proper documentation and expectation, or else students could experience the burden of a late paycheck or termination if they are unprepared for employment.

Student Workers: have a responsibility to be prepared with mandatory & required documents to work at NC State University. Students are at risk of a late paycheck or termination if they are unprepared for employment.

Department HR Partners: this document allows departments to share information as a quick one-pager before a student is contacted for employment in the College of Sciences. The Student Worker Welcome Email is sent after the start date, leaving unprepared students at risk of termination or delayed employment.

It is recommended this document is sent to department hiring managers at least 1 month before common semester start dates (i.e. July for Fall semester, December for Spring semester, April for Summer semesters).

Department Graduate Service Coordinators: this document allows departments to share information as a quick one-pager before a student is contacted for employment in the College of Sciences. The Graduate Terms & Conditions are sent after the start date, leaving unprepared students at risk of termination or delayed employment.

It is recommended this document is sent to department hiring managers at least 1 month before common semester start dates (i.e. July for Fall semester, December for Spring semester).

College of Sciences Human Resources: this document will be regularly reviewed and updated by COS HR. COS HR will assist with sending reminders to College hiring managers at least 1 month before common semester start dates (i.e. July for Fall semester, December for Spring semester, April for Summer semesters).
