Archive vs. delete

A showdown…

mediated by the spam button!

It's annoying, I don't want it, but it is harmless.

Spam (stop) it.

It (and all future emails from that account) will be sent to the spam folder and deleted after 30 days.

I don't need to see it in my inbox because I have dealt with it, but I might need to find it later or search for it.

Archive (file) it.

It will stay in your "All Mail" section and you will always have the email, you just won't see it in your inbox.

I will not need this email ever again, I just want it gone forever.

Delete (trash can) it.

It will get sent to trash. You have 30 days to change your mind before it is gone forever.

Organizing with labels

Why do this?

  • Labels are similar to putting emails in folders, but you can have more than one label on an email
  • Labels make it easier to find emails

In this example, I have two labels, Google Classroom and Hueneme

Notice

  • When the HUENEME label is clicked, it shows only emails that have that label
  • Notice also that the label is visible at the top of the email, and can be removed easily

How do I add a label?

---> click the email

---> use the icon to

  • Move it (add label and remove it from the inbox) OR
  • Add the label

---> options will come up so you can choose the label you need, or create a new one

Why do this?

A filter does something automatically based on search features you set

How do I start?

---> click on an email

---> click the 3 dot menu in the toolbar

---> choose "Filter messages like these"

There are so many things you can filter for… here are a couple I use often

  • from/to a specific person or domain
  • word/phrase is/isn't in the subject or body
  • choose CREATE FILTER

"From" doesn't have to be a complete email.

Why do this?

An email signature gives information to help the reader know who you are and how to contact you

What to include?

Full name

job title

school/district

email or phone

maybe…

short quote or achievement badge

But really, less is more in an email signature.

Type and format your signature

Choose when the signature will be added

Save is at the bottom of the page… scroll down

More than one signature? Why would I need that?

Get fancy! Have a signature for new emails and one for replies.

Or a signature for when you email students and one for adults… with your first name!
