Path to grading in ctcLink

  • Login to ctcLink (https://myaccount.ctclink.us)
  • Please click the applicable link for the District or the College.

  • Select the Faculty Center

Once you have accessed your Faculty Center, you will see several tabs on the left-hand side of the page that are listed directly under the Faculty Center tab that will allow you to perform various faculty-specific processes. �

My Schedule will display your class schedule for the current term. In this display, you may view a different term’s schedule, view a different display option, view your class roster, and view your grade roster when available. If needed, change the term to the appropriate term for grading.

Verify you are viewing the correct term and institution. If necessary, select Change Term to change between terms or institutions.

To view the grade roster, select the Grade Roster icon to the right of the Class Roster icon for which you would like to enter grades. (It looks like an instructor in front of a presentation board.)

In the Display Options box, the *Grade Roster Type drop-down menu offers only one grading options; Final Grade. This is also where you will select whether or not the grades are ready for approval. In the Grade Roster Action box, The *Approval Status drop-down menu offers three different status options; "Approved," "Not Reviewed" (default), and "Ready for Review."

The grade roster displays all students enrolled in the class. This class only has five students enrolled; however, if there were several more, the View All link may be enabled to see the entire roster. By default, only 20 students are displayed, but the View All link will display a maximum of 100 students per page.�

To apply the same grade to all students on the roster, choose the Select All button at the bottom of the grade roster. This will add a checkmark to each row of the grade roster and apply one grade to all students.  Select the grade that you wish to apply to all students from the grade selection drop-down list to the left of"<- Add this grade to selected students" button. Once a grade is selected, choose the "<- Add this grade to selected students" button to apply the grades to all students on the roster. You can also select or deselect students to apply specific grades individually.

Don't forget to select the Save button. If you attempt to navigate away from the roster without saving the grades that you entered, you will receive a warning message. Always select Save after entering your grades.

If you wish to send a notification message to multiple individual students or to notify all students, ensure the checkbox is selected next to the names of all students you wish to notify. Once the Notify Selected Students or Notify All Students button is selected, the Send Notification page appears with the selected students' email addresses populated. After the communication/notification has been drafted, select the Send Notification button to send the outgoing email. Select the Return to Grade Roster hyperlink, the Grade Roster tab at the top of the page, or the Grade Roster tab on the left navigation.

For the appropriate student, select the Roster Grade drop-down list and apply the appropriate grade to the student. If you assign certain non-passing grades to students, a Last Date of Attendance becomes required. If applicable, enter the student's Last Date of Attendance. Select the Save button after entering your grades.

IMPORTANT! After you have entered grades for each student, you must update the Grade Roster Action, Approval Status drop-down menu to “Approved” and click Save in order for Enrollment Services to post your grades.

  • Grades Rosters in "Not Reviewed" or "Ready to Review" will not be posted. 
  • If you need to change the grades prior to posting, change the status back to “Not Reviewed” and click Save.
  • Once grades have been posted, change options are no longer accessible--work with your Enrollment Services offices to request a student grade change.

Students with available email addresses are listed on the grade roster with a hyperlink. To send communications and notifications to individual students, simply select the particular student that you wish to notify, and an email window will pop up, allowing you to draft and send a communication. You can also select the checkbox next to the individual student, choose the Notify Selected Students button, and you will be routed to the Send Notification page through the grade roster.

To download the grade roster to an Excel document, simply select the Download to Excel icon located to the upper right of the Program and Plan section of the Student Grade table.

On the Grade Roster page, you may change between classes by selecting Change Class. The My Schedule page will display. To allow a different class to be selected.

Reminders

  • Make sure you are in the correct term
  • Make sure you are in the correct class
  • Grade every section of your class
    • They will appear separately
  • After all grades are entered and saved, review them for accuracy.
  • In the Grade Roster Action section, choose Approved from the drop-down menu and select Save.
