Updating Basic Information vs. Re-Registration

  • Updating the organization’s basic information on Engage ≠ re-registration
  • Registration is an annual requirement Recognized Student Organizations must complete to remain in good standing with the University.
    • RSOs that do not successfully re-register will be recommended for loss of recognition.
  • The other annual requirement is Administrative training that has now been moved to an online format within MU Engage (instruction included in this powerpoint).

Prior to Beginning the Re-Registration Process

  • The organization’s “Main Contact (President)” should be the person re-registering the organization
    • RSOs can either assign the duty of registration to whomever the organization would like to be the Main Contact (President) or change the Main Contact (President) after the registration is submitted.
  • Ensure the organization advisor listed on the organization's roster is correct.
    • If not, change the position holder to the organization's current faculty/staff advisor.

Advisor Responsibilities

  • After submitting the registration, the organization's advisor will receive an email from MU Engage prompting them to review and approve the registration and complete their Advisor Agreement.
  • The advisor's approval on the registration will act as the advisor's electronic signature verifying and agreeing to the submission details, including the advisor agreement included within the re-registration process.
  • The registration will not be reviewed by the Organization Resource Group (ORG) until the organization's advisor approves the registration.

RSO Constitution

  • During the re-registration process, the Recognized Student Organization (RSO) will need to upload a constitution that is compliant with the requirements outlined in the 2022-2023 Constitution Checklist.
  • Please note certain items need to be listed verbatim. Please pay close attention to the Constitution Checklist when reviewing the organization’s constitution.
  • ORG staff will reach out to the organization’s officers if there is a concern regarding the uploaded constitution.

Resuming the Re-Registration Process

  • The registration process can be continued at any time by clicking “My Surveys/Forms” under “My Activity”
    • Your drafts will found on this page and you can resume them from there.

Step-by-Step Instructions

Step 1

  • Go to engage.missouri.edu
  • Click “SIGN IN” in the upper right hand corner of the screen or Click “Mizzou Login” in the center of the screen

  • You will be redirected to the UM System Login page
  • Sign in using your PawPrint and password

  • Select the organization you wish to register in the “My Groups” section of your profile
    • Click “My Activity” on the left hand side of the screen
    • Click “My Groups” (first option below “My Activity”)

Step 4

  • Here you will see a list of the groups you are a member or officer of.
  • Click the blue “Group Re-Registration” button for the organization you are re-registering.
  • If you do not see this button, please contact ORG or have an organization administrator update your permissions.

Step 5

  • You will be redirected to the organization’s re-registration process starting page.
  • From here you will fill out all of the required fields, which include: RSO Name, Category, Logo, Membership Benefits, Mission, Constitution, Officers, and More! (this information will be on your public Engage page)
  • Once you have filled out this page, please scroll to the bottom of the page and Click “Next”

  • Update the organization’s information by answering the questions in the form.
  • Please note specific instructions about the highlighted registration sections

Highlighted Sections

  • Organization Profile + Logo
    • All information entered in this section will be made public on the organization’s home page.
    • Since this information will be visible to potential members, consider adding information like membership criteria, meeting info, and/or office hours to the “description” section.
    • This information can also be updated throughout the year.
  • Constitution/Bylaws Upload
    • RSOs primarily supported by the Organization Resource Group (ORG) must upload a constitution that meets these requirements.
    • Please pay close attention to the Constitution Checklist when reviewing the organization’s constitution.

Step 6

  • Read through the form and fill out all required fields.
  • You can advance by clicking on the “Next” button in the lower right corner.
  • If you are unable to complete the form in one sitting, you can use the “Save as Draft” button in the lower left corner.
  • There is a green progress bar at the top of the screen to help show you how far along you are in completing the form.

Highlighted Sections

  • Fiscal Information
    • No organization is required to have a bank account; however, if the RSO does have a bank account, the bank account information can be stored on Engage by filling out the “Fiscal Information” page.
  • Risk Management
    • This section allows organizations to identify and evaluate the risk associated with the organization’s activities. Please consider the organization as a whole when evaluating risk.
  • Advisor Agreement
    • After submitting the registration, the RSO’s advisor will receive an email from Engage prompting them to review and approve the registration.
    • The advisor's approval on the registration will act as the advisor's electronic signature verifying and agreeing to the submission details, including the advisor agreement included within the re-registration process.

  • Once you have completed the form, you should see this screen.

  • If you’d like to review the organizations’ submission, click on your notifications icon next to your profile picture.
  • Then click the “2022-2023 Re-Registration for Recognized Student Organizations”

  • You are able to review the submission and your answers to questions. Please do not make any edits after you submit, as the ORG staff will be in the process of reviewing and approving your submission.
  • ORG advises that you click on “Save as PDF” to keep a copy of your submission for your records.

Step 9

  • Administrative Training
    • Return to your home screen and find the “My Checklists” option under “My Activity” on the left side of your screen
    • At least one officer will need to complete administrative training to be approved by ORG.

Step 10

  • Administrative Training
    • Here you will need to complete two tasks to complete your annual requirements.
      • First, watch the Administrative Training Video in its entirety by clicking on the play button. The video is about 30 minutes long.
      • Second, you will complete the Administrative Training Quiz by clicking “Submit Quiz”. You will need a minimum of 80% (8/10) to pass the quiz.
    • Once both of these tasks have been completed, you will see both items be “checked off” and the progress bar at the top will show 100%.

Step 11

  • Your advisor will need to be added as an officer to the organization.
  • See here as to how to add an officer to your organization’s group page.
  • If your advisor is not popping up for you, ask them to log in to Engage and that should add their user to the user list.

Step 12

  • Congrats! You’ve finished your annual requirements.
  • You will receive an email from ORG letting you know that your submission(s) have been approved and that the organization is in good standing or if more information is needed.
  • Please let ORG know if you have any questions.
