CHECK IN/OUT

  • The names and check in/out dates of all attendees staying at the Novotel have been provided to the hotel�
  • Check in is from 2:00pm on the day you arrive, and you can collect your room key from reception�
  • Additional costs such as room mini-bar, additional meals from room service, bar drinks etc. will all need to be paid for individually on checkout

(For people sharing rooms, please work this out with your roommate before check out)

NAME BADGES…

Workshop attendees are required to wear their name badges at all times during the Workshop

Entry to breakfast and lunch will require your name badge to gain entry

EDI BADGES

  • At the workshop members of the EDI committee will be wearing rainbow badges�
  • These badges indicate that the wearer is a designated person I can approach if I am feeling uncomfortable, need support or simply want someone to talk to during the workshop�
  • If I see or experience something that concerns me, or if I just need a friendly ear, I can approach one of these individuals for help

GENERAL

  • The main areas that the workshop will be held are the Illawara Room and Illawarra Gallery on level 3 of the Novotel�
  • There are stairs and lifts to access level 3�
  • The Pacific room 1 will be available as a quiet room and meeting room. Schedule available on Confluence HERE

ILLAWARRA GALLERY

ILLAWARRA ROOM

  • The workshop will mostly be held in the Illawarra room��
  • Tables will be set out in cabaret style as per the image��
  • For most sessions, I can sit anywhere�
  • There will be some sessions where I am asked to sit on a certain table��
  • I can ask for the curtains to be closed if it is too bright�
  • I can wear sunglasses and/or headphones at any session

QUIET SPACES & BREAKOUT ROOMS

  • During the workshop, the main sessions will be held in the Illawarra room�
  • Quiet/break out options during the workshop include:
    • Your hotel room
    • The Illawarra Gallery (except for break times when it will be noisy)
    • Pacific Room 1
    • Going for a walk along the promenade�

DIETARY REQUIREMENTS

Your dietary requirement has been noted with your registration. There will be a table set up with dietary place cards that you need to pick up yours as you enter and place in front of where you sit.

The food service will be managed by Novotel Staff.

During the poster session there will be canapes available that cater to most requirements.

During the workshop dinner Novotel staff will identify where you are sitting at the beginning of the evening to ensure your specific meal will be brought to you.

BREAKFAST AND LUNCH

  • Breakfast will be served from 6:30am to 10:00am in the Palisade Restaurant
  • Morning tea, lunch, and afternoon tea during the workshop will be provided in the pre-function lobby outside of The Illawarra Room
  • I can eat my meals in the gallery, at the tables in Illawarra, in my room, or outside on the deck

DINNERS

  • On Monday night food platters will be provided. Dinner will not be provided on Tuesday, but there will be time to eat before the social activity. You should speak to your local node administrator regarding whether dinner costs can be reimbursed
  • There are many food options within walking distance�
  • The Novotel has dining and bar facilities (for details click on the hyperlinked pictures on following slide)

TALKS

  • ECR science talks are all 10 + 5 (10 minute talk, 5 minutes for questions)�
  • Someone will let you know at the 8 minute and 10 minute marks�
  • Please keep your talks within time!�
  • There will be other talk sessions throughout from guest speakers: each of these will feature an opportunity for a group discussion in the room afterwards

ICEBREAKER

  • The first session will feature an icebreaker bingo activity�
  • I’ll be asked to find the name of someone who fulfills a certain ‘fun’ criterion, and encouraged to keep filling this in throughout the event�
  • I can leave the room if participating in this activity makes me uncomfortable

CULTURAL WORKSHOP

  • Delivered by Multicultural Australia, about cultural awareness in a diverse workforce like one in CDM
  • Three and half hours sessions with two breaks
  • Interactive sessions with discussion and case study
  • We encourage you to share as much as you feel comfortable with
  • There will be a handbook for everyone which will be distributed before the session

COMMUNICATION ACTIVITY

  • This interactive session will focus on scientific communication in a number of styles
  • I’ll be put into a group of 5 people and given 5 questions to consider communicating an answer to, each on the theme of the hunt for dark matter
  • Different communication styles will be rotated through (outreach (children/adults), grant writing, conference presentations, media communication)
  • I’ll be given pointers on communicating in the specific style
  • At some point during the activity, I’ll be asked to pitch an answer to the question to the others in my group, in this style

CLOSEOUT DISCUSSION

  • The meeting will conclude with a 20 minute closeout discussion on what ECRs would like to see from the Centre in the next 3 years�
  • We will aim to provide a summary of key points in the discussion to Centre leadership. This will be anonymised and all Centre members will first be consulted for feedback�
  • The discussion will be based around suggestions left during the workshop on this Mentimeter poll: link�
  • I do not have to contribute to the discussion if I don’t want to

MONDAY SOCIAL

  • On Monday evening, there will be an optional social gathering at the Adrift Pool Bar and Cabanas
  • Food platters will be provided - dietary requirements have been communicated to the catering team�
  • A bar will be available to purchase your own drinks. You should speak to your local node administrator regarding whether these can be reimbursed�
  • The event will start at 17:30 and run to around 19:30 I can leave any time I like

TUESDAY SOCIAL

  • On Tuesday evening, there will be an optional social gathering at Breakout Bar and Escape Rooms
  • We will meet at 7pm. I’m free to get dinner before this if I’d like to
  • We will divide into 2 groups. The first group will divide into smaller groups to complete one of the escape rooms. This session will last for 60-90 minutes. The other group is free to spend time in the bar or one of the karaoke rooms during this time. We will then swap over
  • I can stay in the venue until the booking ends at 10 pm, but I can leave any time I’d like
  • The escape rooms have been paid for, but drinks and karaoke rooms will have to be paid for. You should speak to your local node administrator regarding whether these can be reimbursed
