Quick reminder for staff pre-book reservations

  • In this situation, you are an attendee. If you have questions, read the website, file a support ticket, ask in Discord, etc.
  • Please read the publicly available information. We publish it based on the attendee tickets/questions we receive to ensure information is comprehensive.
  • With nearly 300 staff members utilizing this perk, Hotel Department can’t handle these requests coming to us either by DM or in our Slack channel when it is painfully clear that the person asking hasn’t read our public materials that answer most questions.
  • We’re using this chance to remind people because we’re exhausted on this topic.

As You’re Planning…

  • Ask for help/guidance when you are filling out your Hotel Setup form. We are here to work together to ensure you have the information you need to get the setup you need. Please ask questions either at hotel@magfest.org or in the �#super-hotel-requests Slack channel.
  • Come to our breakout - Sunday 11:30am - 12:30pm in Cherry Blossom Ballroom!
  • If your plans include any food or beverages – tell us. We are long past the “don’t ask/don’t tell” phase of our operations, and Hotel Department can’t help you if we’re surprised by what you’re doing. The answer may still be No - and we can’t help that - but not working with us ahead of time will guarantee that’s the answer.

On our radar for 2025

  • There is a youth curfew that has been passed for National Harbor. We are seeking details about it and will publish the information on our website when we have it.
  • The parking system at Gaylord National has been updated since 2024’s event. We are actively seeking the new details about this system and will get that information on our website as soon as possible.
  • The system for function room keys has changed at the Gaylord, and Hotel Department staff will be having in-depth discussions with departments about your needs.
  • The Gaylord is now cashless - cash can be used to purchased a payment card for use at Gaylord outlets and for payment for your room. This does not impact Marketplace merchants.
  • All onsite function room changes or equipment requests directly to the Gaylord staff will be run through Hotel Department. We do a lot of work to allocate resources for the broadest coverage.

2025 and Beyond

  • Hotel Department has published on our Notion page the sleeping room rates for budgeting and for staff booking.
  • We will also have published the function space and when we pickup certain space and when we release certain space.
  • We will refer questions to that page as the fixed source of that information to use in your planning.
  • Do not keep asking the Hotel Department for items that you have never received through them. If you need 14 water stations and have only ever received 3, your department should plan to fill your needs other ways. Please don’t make us say no every year, it gets old.

On-Site Reminders

  • If you are having any difficulties with:
    • a Gaylord staffer giving instructions that are not what you are expecting,
    • your function room is not set up correctly or is missing equipment.

contact Hotel Department immediately. We cannot control the flow of information within the Gaylord, but we do have the internal contacts to fix miscommunications.

We cannot fix issues we don’t know about in a timely manner. We are on-site and on duty from when the first truck arrives to the last one departs.
