How does PeopleSync fit into the performance management process?

PeopleSync (aka Workday) is NYU’s primary HR and Payroll system that has been expanded to support the Performance Management processes.

The primary advantages of using PeopleSync for Performance Management are:

  • Easier than managing a paper-based process (and more sustainable)
  • Always available for updates and assessing progress against your goals
  • Goals and Performance Communication Form data carries over from year-to-year and manager-to-manager

PeopleSync is a tool which supports the regular cycle of feedback between employees and managers, and as such, the system is not intended to be used to replace the real time conversations. It is most effective when being used as a digital recordkeeper.

What steps are involved in the Year End Performance Communication process?

  1. Employee – Self Evaluation – Complete the form with your thoughts on how you performed over the past year.
  2. Manager – Manager Evaluation – Your manager will write their thoughts, side by side with yours, on your performance over the past year.
  3. OFFLINE – Manager + Employee Conversation
  4. Employee – Provide Employee Review Comments – You receive the manager’s evaluation, and may optionally add comments before signing off.
  5. Manager – Provide Manager Review Comments – Your manager confirms and signs off on the review, and may optionally add comments.

*Note: For certain groups, there may be an HR Review/Approval step before the review is shared with the employee.

Disclaimer: The process and form shown in this presentation is the most common way schools/units have set it up. Some groups choose to not include ratings as part of the form, or may have different valued behaviors, or may not even include a self evaluation. This is normal!

First thing’s first, how to log into PeopleSync:

Log in to home.nyu.edu, and either search for it or find it under the Work tab.

When your Year-end Communication Form is ready…:

You can find your self-assessment once the process has started from the My Tasks page. You can access My Tasks from either the icon in the top-right, or under “Awaiting Your Action” on the home page.

Starting your self evaluation:

Once you’re seeing the inbox, find the Self Evaluation task in the list on the left and click into it. Review the instructions on the page, then click on to access the form.

Navigating through the form:

You can click between the sections on the left side panel, or use the Next and Back buttons at the bottom to move between the sections.

If you want to come back to it later…:

You can complete your evaluation either in one sitting, or come back to it multiple times before submitting. To save your progress, use the Save for Later button found at the bottom at any time.

Comments and Ratings:

Throughout the form, you’ll see sections for you to add comments and/or ratings. These are the areas where you will write in your evaluation content.

Employee comments and manager comments will be displayed side-by-side.

The manager cannot edit the employee’s comments, and the employee cannot edit the manager’s comments.

Goals section:

Goals you wrote at the start of the year should pre-populate into the form.

If you wrote goals but they do not appear, click the button to add a row, and locate the goal using the drop-down menu.

If you did not write goals at the start of the year, document them by adding them on this page, clicking the button for each goal you write.

Other Accomplishments section:

This section allows you to include anything worthy of note that you accomplished over the past year that you’d like included in your evaluation. This section is generally optional, so you can add as many as you’d like, or none at all.

Valued Behaviors section:

This section will display the Valued Behaviors relevant to your school/unit, and include a space for you to comment on how you demonstrated these behaviors during the year. Note that you may also see manager or leadership related behaviors even if you are not a manager or leader – only speak to the behaviors which apply to your role.

Overall and Review/Submit sections:

The Overall Performance section will be the final opportunity to add content to your evaluation. For those schools/units who utilize ratings, you will also see a rating scale, and a description for the value you select. Those groups which do not use ratings will only see a box to add comments.

The final page, Review and Submit allows you to read through all of the content of the evaluation on one page. If everything looks correct and you’re ready to send this on to the next step in the process, submit using the orange button at the bottom of the page.

What managers can expect with the year-end performance communication form:

The way you complete the manager evaluation step is identical to the way the self evaluation step is completed.

Be sure to review communications from your local HR team about the process. There may be additional steps that you are requested to perform outside of PeopleSync.

Be aware that when you submit your Manager Evaluation, your employee will be able to see it immediately in PeopleSync and you will no longer be able to edit. You can download a copy of the form and send it to your employee through email before submitting it in PeopleSync in case you’d like to make additional edits after having your performance communication session.

Access your reviews at any time through the Menu

All employees have access to the Talent and Performance app, which includes information about your performance data.

Managers can access Team Performance, which includes information about your team’s performance data.
